Pros: Takes time to understand the product, but besides that i think it is a great platform. It covers all the basics we need for property management. For the price this is a great product! I have had only one small issue, that im sure will be an easy fix.
Cons: The invoicing and taking payments is a bit confusing. My deposit do not directly link to an invoice, or when i accept a payment i feel like im having to enter in twice.

I hit some bumps in the beginning, some were user error, and some were the system. After the emails or chats, most of the problems were quickly resolved.
Pros: The complete access to what is needed. I appreciate that I can keep all my memos in the same place so that I can review them when I need them.
Cons: I don't like how long it takes to get a personal response though the chat feature, however the information I receive is very helpful.

Overall, PayHOA is a strong option for self-managed HOAs seeking an affordable and user-friendly platform, especially for communities willing to invest some time into properly structuring their accounting and operational workflows.

Pros: $8a
Cons: Unable to pay vendors via ACH/Electronic Payment. Payment via check is time consuming, can take up to 12 days for vendor to receive the payment. While the platform works well for most daily operations, there are occasional limitations and reporting inconsistencies when handling more complex accounting adjustments. Certain transactions, such as reserve expenses, transfers between accounts, and historical corrections, can sometimes appear in ways that distort financial reports if not carefully configured.

It’s a great tool for our organization. Our HOA is very simple so I was skeptical about needing Pay HOA. I thought it would be more than we need, but it has been exactly what we need. It has more features than we will use, but it is still very cost effective for us. It replaces Quick Books and automates our elections , which was the primary reason for getting Pay HOA.
Pros: The accounting/bookkeeping is so simple and easy to use…much easier than Quick Books, which we had been using. We also used the voting module for our annual election, and it worked perfectly. We’ve used the survey model as well and it has been easy and efficient.
Cons: There really hasn’t been anything that we aren’t happy with. It’s been as advertised in all respects.

PayHOA was very responsive by providing online demonstration and education sessions, along with extensive instruction videos and manuals. The software is very intuitive and doesn't require much instruction to use. Onboarding was accomplished easily much of it importing csv files created from QuickBooks export csv files with some manipulation. Support is readily available and issues resolved quickly even responding to enhancement requests when possible. The website builder allowed us to forego annual costs of maintaining a separate website and accounting system and allowed us to use our existing domain name.
Pros: PayHOA affordably met the needs of our 73 Home HOA when we needed a new billing system in 6 weeks. We were able to import most of the homeowner and fiscal data from the previous fiscal year and ready automatic billing in just a few weeks. Some manual entry was required but didn't take more than a few hours total for 12 months of data. Security permissions are robust.
Cons: The website builder is not able to publish links to documents that we want to make available to the general public without a secure login.

Overall it’s a good value for what it offers and it gives a great assortment of features that are helpful for self managed hoas
Pros: The new system for collecting votes on initiatives for the homeowners association is really a great addition
Cons: I wish that the forms and documents that it can generate were more customizable and I wish we could have a spreadsheet for voting.
Samantha E. · Secretary · Non-Profit Organization Management · April 27, 2026
It has been great so far. I would recommend this to any of the other HOAs we come in contact with. Awesome.
Pros: I like that it is user friendly and makes managing our subdivision much easier. The board is also in agreement
Cons: I will need to explore more of the website to find a con. The board has expressed no problems this far.
Blake C. · President · Hospitality · April 27, 2026
We're actually hopeful that this might be something we can use to self manage one day without a management company. Access is simple, paying is simple, we haven't had any issues with finances as the graphs are amazing. And I appreciate that I'm not constantly spammed with marketing emails but helpful support tips and tricks.
Pros: We came from TownSq which was ok, maybe not worth the money. PayHOA does so much of a better job in terms of ease of use, interface, logging in. You really can't mess it up as it is straight forward.
Cons: We've been on it for less than a year, the duplicate accounts and admin privileges were confusing but other than that, there really aren't any complaints.
Chi S. · Director · Real Estate · April 23, 2026
It's a great system that organized everything into one place and make it all easy to find. The most difficult thing I think was getting everyone to actually register, which really isn't a PayHOA problem.
Pros: The ease of use of the website is very nice. I also enjoy how it organized all the relevant documents.
Cons: The community calendar could be a little more prominent. Sometimes it's a little bit difficult to find.
Rob K. · Hydrogeologist · Environmental Services · April 22, 2026
It has been positive and easy to use. In the time I have gone in to use and review it has been very instinctive.
Pros: This is the easiest platform to use and manage our HOA community. I like the notifications, security and best value for the money.
Cons: Haven't found anything yet that I don't like. I am still navigating the site, but it is really user friendly.
Ruth G. · Benefits Administrator · Hospital & Health Care · April 22, 2026
I’ve enjoyed PayHOAs platform and having the ability to manage my condo building. This has save our HOA hundreds in property management fees and gives the board more oversight and ability to control finances
Pros: the convenience of managing my condo building, ease of issuing payments to vendors and ability to reconcile bank transactions all in one place. Also appreciate the prompt responses from PayHOA customer service.
Cons: It’s difficult to differentiate between the vendors and payables pages. Hard to find documents and determining the balance of a given unit
Alex H. · HOA President · Real Estate · April 13, 2026
Overall, the experience is good. However, the mature clientele of our particular HOA do not understand the portal, nor the process of setting up autopay.
Pros: I found the Video Tutorials and Customer Support lines to be helpful. I've self taught myself as I am the office manager of a bookkeeping firm, and frequently guide HOA members with their payment options.
Cons: I would like to print reports with a filter to select exactly what I want to analyze. Older residents do not like the portal or understand the autopay set up. As a bookkeeping company servicing for an HOA, a high percentage of my time with the HOA we service is talking through the set up and payment system with payHOA.

Generally good. This program has great potential and I'm excited to see it develop. Unfortunately, it feels like I'm a tester.
Pros: Ease of use. This is very user friendly and has great potential as a one stop shop for everything related to the HOA
Cons: Financial and bookkeeping. This area still needs work. The system seems to run on a delay and not real time. The bank transactions only update once a day and the reports do not all tie into the same numbers. This area needs a CPA to oversee the final beta testing to ensure accuracy in reporting.
Holly P. · Treasurer · Non-Profit Organization Management · March 25, 2026
More cost-effective than any property management software we've explored. Arguably the cleanest UX/UI on the market. Lots to speculate in terms of additional features and services being rolled out. Will continue to rely on it.
Pros: Super clean user interface. Responsive customer support. Saved us having to keep a QBO and Bill.com subscription, plus granting us property management faculties we really wanted.
Cons: Adopting senior unit owners is hard, but not surprising, regardless of simplicity. No mobile app - if you want to access PayHOA from your phone, you have to do so from a browser with a sub-optimal UX/UI.
Conrad R. · Board Secretary · Real Estate · March 15, 2026
I’m impressed. The financial aspect and having the calendar and possibly a news letter capability will improve communication
Pros: I feel the most important part of PayHOA so far has been the ease of paying the HOA dues online. Residents are happy with that.
Cons: No cons yet as we are not fully functional yet. I hear we will be able to perform our activities financials, but not quite yet.
Jay Lee D. · Activity Director · Civic & Social Organization · March 7, 2026
It's ok. But I haven't used a portal like this in the past, so I have nothing to compare it to. But it's ok so far
Pros: Easy to pay homeowners dues It's Good for receiving email blasts from the community management board
Cons: Too soon to say We have only been using it for a few months. Probably my biggest problem is unsolicited emails
Catherine R. · Member · Facilities Services · March 6, 2026
I have been on both the admin side and as a resident. I am sure there are more things to explore and learn, it's just a matter finding the time and patience to learn it for how we need it to be.
Pros: I like that it is very simplistic and easy to learn, once you find your way through things. The AI aspect for support has been a great asset as well for us on weekends.
Cons: There are some issues with the Accounting aspects and frustrations for our Corporate Treasurer and Activities Treasurer are mounting. Our financial reports are unable to be run reliably still (2 months now) and many entries are double entry. The surveys would be nice if we can do analysis with the results as it seems too simplistic. We are currently going to stay with Google Forms as we can create charts and graphs with the information. Next challenge is having fillable forms vs just pdf for the residents to access for things like Architectural Permits, and waivers.
Stacy S. · Resident · Marketing and Advertising · March 5, 2026
It has been fabulous! As the new Treasurer of our HOA, it has made my life so much easier!!!!! Before, we never knew if our bills were being paid. It took the control of the HOA and handed it back to the homeowners.
Pros: It has helped us tremendously! It is user friendly and hold so much information. We were spending hundreds of dollars a year on letting a Property Management Company handle our HOA. It was a nightmare! PayHOA has been Godsent to us on the board. We can easily send out notices, pay bills, email neighbors, keep up with all our documents and so much more!
Cons: There isnt't anything I would actually change about the software. It handles all of our needs except running to our PO Box and checking the mail!
Karen H. · Treasurer of the HOA · Accounting · March 2, 2026
Very easy process to sign up and implement. The team is especially helpful with addressing any questions or issues.
Pros: Customer support is great, real people to talk to over video calls. User interface is very easy to use and understand.
Cons: I would give it 5 stars but they changed their fees during our onboarding process. We do not use all their functionalities as well so I wish it was more a la carte for what functions you need and pay for.
Brad G. · President of HOA · Real Estate · February 20, 2026
Great experience from initial inquiry to implementation by our HOA transition team. A solid value for HOA management.
Pros: Very intuitive and simple to use for both self-managed HOA boards or management services. Simple process from inquiry to implementation.
Cons: The learning curve is all on our end. No negatives thus far as we are several months into our HOA's transition to PayHOA.
Dorwood B. · President · Non-Profit Organization Management · February 19, 2026
Overall, my experience with PayHOA has been very positive. While there are some bugs and feature limitations that still need refinement, the platform delivers strong value for the cost and continues to improve over time. The system is user-friendly, well-supported by helpful documentation, and backed by a responsive support team. The ongoing upgrades show that the company is actively developing and listening to feedback, which gives confidence that current issues will be resolved. For HOAs looking for an affordable, functional, and steadily improving management solution, PayHOA is a solid choice.
Pros: PayHOA offers great value for the money. Compared to other HOA management platforms, it provides strong functionality at a very reasonable cost. They have been consistently upgrading their system, and you can really see the improvements over time. The platform continues to get better, which shows they are actively investing in development. The site itself is easy to use, both for board members and residents. On top of that, the help articles have been a tremendous resource for residents, making it easy for them to find answers quickly without needing direct assistance. Their support staff — [sensitive content hidden] — are great to work with. They are responsive, knowledgeable, and always helpful when questions come up.
Cons: While PayHOA offers strong overall value, there are still some system bugs that can create frustration. There have been issues with exporting financial statements. PDF exports work fine, but CSV exports do not always match the same format and are sometimes missing information, which requires additional manual cleanup. The voting module also has limitations. It does not allow formatting within ballot descriptions — no spacing, no bold text, and everything appears in one continuous paragraph. Additionally, there is no high-level overview of voting responses. To see how residents voted, you must click into each individual ballot rather than viewing a summary. There have also been occasional instances where transactions were recorded to the wrong account when multiple bank accounts are linked within the system. That said, these appear to be system bugs rather than structural issues, and given their ongoing upgrades, I’m confident these will likely be addressed over time.
Alex C. · Manager · Management Consulting · February 16, 2026
Overall very pleased with the application and service. Very responsive and adding new features and making improvements is a plus!
Pros: Ease of use. Very user friendly. Very reasonable pricing Well designed. Ability to store/access documents
Cons: I find that some of the workflows are not intuitive. I may just need my own quick reference guide (not videos) Overall no other cons for our use.
Tammy B. · President · Real Estate · January 28, 2026
PayHOA is a great platform but comes with a lot of overhead from the company.. there are assumed items that they just think you know right off the bat where we were left in the dark from our prior management company... it made a very difficult transition. Overall the platform is great but we wish there was a little more customization for communities that our unique like ours.. Overall still enjoy the project JB and the support staff have been great in supporting us since our onboarding.. issues tend to get resolved quickly.
Pros: Easy initial setup with minimal technological knowledge required. The application is also easy to use from a homeowner perspective
Cons: Its hard to manage accounting... balance does not true up the way cash accounting would expect... Lack of support on finances in documented resources
Vincent C. · President · Non-Profit Organization Management · January 27, 2026
Very good overall product Great support when needed Very user-friendly once you learn all the ins and outs.
Pros: Customer support is awesome!! Whenever you have a problem, there was always someone there whether it’s through a chat box or a simple phone call. Someone is always there to help.
Cons: Navigating thru the program as a first time user. Once you go through the initial process of adding all the information that is needed it is a very user-friendly program.
Jeff W. · HOA president · Consumer Services · January 26, 2026
Professional and friendly staff, who are extremy patient as we ramp up. The website is user friendly. Great enhancements (on-line voting & Homewise Docs) are added regularly.
Pros: Customer support is fantastic - using rhe built in tool or scheduling a quick 15 min video training session are extremely helpful. Great bang for the buck - the HOA is saving a lot of money, compared to the Property Management company previously used. We are able to easily post documents for Board and/or homeowner access.
Cons: Our homeowners have expressed a desire for an app. Homeowners (both on PCs and/or phones) have experienced webpage slowness.
