Trainual helps small and midsize teams organize onboarding and standardize processes by centralizing SOPs (Standard Operating Procedures) and training paths in one platform. Reviewers value its clear structure, progress tracking, and e‑signatures for compliance. Some note pricing and mobile usability as considerations, but its ability to simplify knowledge sharing and maintain consistency makes it a strong fit for growing businesses.

Trainual is very user-friendly. Easy to add content, quiz employees, keep track of who is completing their training, and to search for content! This saves us hours of time between stopping all of our activities to train a colleague on a task, and with time being money, this is an invaluable tool!
Pros: Trainual takes our processes and lessons and makes them implementable and repeatable, without me having to repeat myself. This saves me a ton of time, daily.
Cons: Nothing! In all honesty, Trainual is the easiest program we have used, and we have tried several, including Wiki and Guru. We ditched them all for Trainual!

I’ve found Trainual really helpful for our team. It keeps our information secure, makes training and onboarding much easier, and helps us stay organized. The search and checklists make finding what I need quick, file management is simple, and the support team is always responsive. Overall, it’s a great tool for small business operations.
Pros: It simplifies our training process, reduces repetitive questions to managers, ensures everyone has consistent information, and helps new team members get up to speed faster.
Cons: Overall, Trainual works really well, but sometimes I find that certain updates or new content aren’t immediately noticeable. It could be helpful to have a clearer way to highlight recent changes or important updates so nothing gets missed

very good tool, It really help us to centrilize all our documents and training information, the best part is that we know who is taking the trainings and thei test scores as well
Pros: I really like how Trainual helps us centralize communication and legal processes for our teams. It's great that we can test our team members and track their progress with training. Trainual has solved the issue of having scattered documents because everything we need is centralized, and everyone uses the same information. It's fantastic being able to know who is engaging with the content. I appreciate the capacity to include presentations and YouTube videos, which was initially tricky but ultimately very useful. The platform also allowed us to update our training library with pre-recorded YouTube materials, making everything easily accessible. Overall, the training sessions were highly productive, and the setup was quite smooth. This organization and centralization have been really helpful for us.
Cons: Not much, we are very happy with Trainual and the provided solutions for our company. all our trainings are being tracked

Overall, it’s been a really positive experience. It’s easy to use and didn’t take much effort to get started, which helped us get traction pretty quickly. We haven’t fully rolled it out yet, but even so, it’s already been a big improvement having processes and documentation in one place instead of scattered across folders and people’s memories. The Trainual University courses are a standout—they make it much easier for less tech-savvy users to get comfortable without feeling overwhelmed. Support has also been consistently excellent—quick, helpful, and easy to work with when something isn’t clear. One thing that really stands out is how involved the Trainual team is. They actually listen to feedback, stay active in the community, and seem genuinely interested in making the product better. It doesn’t feel like you’re just using a tool—it feels like there’s a team behind it that’s paying attention.
Pros: It’s really easy to use and didn’t take much effort to get started. The layout is clean, so you’re not constantly explaining it to people. We haven’t fully rolled it out yet, but even in limited use it’s been helpful having processes in one place instead of scattered everywhere. Also, their customer support is top-notch—quick, helpful, and easy to work with.
Cons: There are a lot of features, which is nice, but it can feel like more than you need when you’re still figuring out your structure. Since we haven’t fully rolled it out, usage has dipped a bit while we work on making it more of a core system. Some areas could also be a little more intuitive, especially when setting things up.

It has helped take the time out of managing my team and their continued education & growth, allowing myself to place time and effort into other aspects of the business in order to reach the goals and growth we are striving for. Trainual has helped form a path of growth within our business, and give the employees direction. The return on investment was easy to see, the amount of time I have been able to save having trainual running for my team has been amazing.
Pros: The ease & ability to streamline training processes for scalability and growth at our small business. Customer support is excellent, they are always there to help with any questions I might have. The ability to upload documents for employee review and ensure they have read through policies and processes.
Cons: The inability to upload videos directly without using an iframe link. I do wish there was a feature that showed hours spent on trainual for each employee.
Colton C. · Operations Manager · Consumer Services · April 9, 2026
Pros: They have improved the main dashboard page when first logging it making it more fun and able to see leaderboards. Clearly see what % everyone in the workplace is at. A good visualization and consolidation of data.
Cons: Nothing I can think of. I think it can still be confusing which items are best to be a Policy vs a Process vs a Subject. Im not too sure if its better the content we have should be a certain type?
Michelle S. · Developer · Human Resources · March 20, 2026
It's a very user-friendly tool. Everyone from management, technicians, customer service and sales use it and go back for information.
Pros: Training new employees has become a moving workflow with Trainual. Everything is so organized and it helps keep our employees on track.
Cons: Any little change to any page sets back our 100% completion. Some changes do not require users to do the whole module again.
Odette A. · Marketing and IT Manager · Construction · March 5, 2026
I like most that it is ideal for documenting standard operating procedures (SOPs). I also think that it helps new hires ramp up faster.
Pros: I like that its has a clean, intuitive interface, both for creators and learners. You can structure content quickly using templates and modules without tech expertise.
Cons: Trainual is fantastic for processes, but it’s not built to be a full knowledge base like Confluence or SharePoint.
Ryan P. · Owner and Lead Designer · Design · February 16, 2026
The onboarding process felt old-school and took a lot of unnecessary time. Trainual helped us make the process smoother, so that anyone can follow it and get up to speed.
Pros: This is the best tool for teaching all employees the company’s processes—simply amazing. Makes the job easier.
Cons: The IA could be a bit more helpful; right now, it feels somewhat limited. There definetly room for improvement in this topic.
DAVID R. · Manager · Logistics and Supply Chain · February 4, 2026
It's a system that is easy to use and configure. It has robust handling of whatever media formats you want to throw at. Staff enjoy the UI and more intuitive navigation experience. It's a win for our company overall.
Pros: Undeniably the ease of use. The developers emphasised a company setup process that is intuitive and easy for a training coordinator of any level to use. I'm the primary training admin for our company - and as such the legwork involved in setting up and configuring training platforms has a very real impact on my time. This undeniably makes my job easier.
Cons: No API to pull training metrics. We live in the age of AI and vibe-coding. Any reasonably tech savvy person has workflows and MCP servers that work with API's - and it is a sore point that Trainual does not yet have this.
Robert K. · Quality Assurance and Compliance Lead · Research · February 3, 2026
My overall experience with Trainual has been very positive. The platform is intuitive and easy to navigate, which makes creating, organizing, and accessing training materials straightforward. Even for users who are new to the system, it doesn’t take long to understand how everything works. One of the most valuable features has been the AI-assisted writing tool, which helps streamline the process of drafting and refining content. It saves time, improves clarity, and makes it easier to maintain consistent documentation across different topics. Trainual has been especially helpful for organizing information in a structured way, ensuring that processes and expectations are clearly documented and easy to reference.
Pros: What I like most about Trainual is how user-friendly and efficient the platform is for organizing and sharing information. The intuitive layout makes it easy to create, update, and access training materials without a steep learning curve. The AI features are especially valuable, as they help with writing and refining content, which saves time and improves clarity and consistency across documentation. Trainual also does a great job of centralizing processes and knowledge in one place, making it easier for team members to find information and stay aligned. Overall, it simplifies onboarding, training, and knowledge management, which improves efficiency and supports consistency across the organization.
Cons: One of the aspects I liked least about Trainual is the formatting experience, which can be tricky and sometimes inconsistent. Adjusting layouts, spacing, and text styles does not always feel intuitive, and formatting changes don’t always apply uniformly across sections. This can make it time-consuming to achieve a clean, consistent look, especially when creating longer or more detailed content. At times, it requires extra manual adjustments to maintain consistency, which slightly slows down the documentation process.

I recommended Trainual to a client and the Trainual team helped them see the value and showed the client how to make it work for their needs. I was able to assist and we have now built a complete training program with Trainual as the backbone.
Pros: Trainual is so easy to use unlike so many software platforms. When you use Trainual you can build a complete training program (I just did that for a client) or use it for one-off needs for communication with your team. AND you can easily verify who has completed which tasks.
Cons: I really cannot think of anything I don't like or anything I'd change at this point. In some cases it takes two clicks when editing to get back to the other courses I'm working on. That's minor, once I did it, it became a standard operating procedure.
Morris S. · CEO, Founder, Business Consultant · Executive Office · January 15, 2026
It is an adequate product that gets the job done, but it is likely not as robust of a tool that would be required for a larger organization.
Pros: It's a fairly easy to use platform that gives us the ability to provide training moduels for our staff on any topic that we need to cover.
Cons: The renewal process is often difficult, and the user interface isn't always as intuitive as I think it should be.
James L. · Director of Finance · Computer Software · December 26, 2025
It looked very promising when we started however its not easy to get teams to update, as the UI and systems are not user frendly . Also, if you want to send a policy via PDF its not possible the display of the information is all over the place.
Pros: It was promising from the sales team, but the system is not great. Some of the features are useful, I am unsure if this system can be used in any company.
Cons: - If you want to disengage out of Trainual, there is NO WAY to download or move data -There isn't a way to download in bulk
Dan H. · President · Real Estate · December 3, 2025
My overall experience with Trainual is that I find it very helpful and able to navigate all around the website.
Pros: I like trainual because it gives us tons of information on the trainings required for our company. There's also the directory where you're able to see the faces of everyone who is in the work place.
Cons: There's not much that I can find that I don't like about Trainual. We are able to find all the trainings needed per role.
Susie W. · HR Genearlist · Mental Health Care · November 12, 2025
I am over the moon with Trainual, the features as well as the support I have received since joining. The price is absolutely worth the features that you have access to and I am so glad that I discovered Trainual when I did.
Pros: Trainual is incredibly user friendly with easily accessible features for the backend AND front end users. Our Team uses Trainual on a daily basis as it has the playbooks that our various Teams utilise for everything that they need to know or learn more about. I also love that you are able to share other department playbooks with everyone so that Teams have a clear overview of everyone's responsibilities and what is expected of them. Trainuals customer service and community is super helpful and I regularly find myself reading through what other people have posted to learn more about the features we have access to. They implementation Team is always looking for new ideas and very happy to take on suggestions from the users.
Cons: Sometimes the mobile app is a bit slow and it doesn't have all the features that the computer version has - we have a lot of Team members on the ground that use the mobile app and rely on it for information while on sites.
Marni R. · Head of People · Hospitality · November 3, 2025
We still use it & like some of the new features they will be rolling out. They continue to evolve and do not just sit on how it used to work.
Pros: Its ease of use & their onboarding was very helpful getting us up and running. Our employees talk about the ease of using the platform.
Cons: They are no longer able to partner with Loom to make easy videos. With Loom the videos just integrated with the trainings we created.
Chris G. · COO · Real Estate · October 31, 2025
Great, so far I think it is well put together and really helps get trainings organized. I use it everyday and have created and updated all the content.
Pros: Org chart is wonderful with all the staff and leadership viewable, content creation is also great with the AI generated summaries and help writing trainings.
Cons: Tables are difficult to work with and are not easy to navigate, changes in management are difficult because each staff member has to be changed individually if management changes
alice g. · Training Coordinator · Non-Profit Organization Management · October 24, 2025
My experience with Trainual has been really positive. It’s given me a solid framework to build a complete sales playbook from the ground up and make it usable for the entire team. The platform is clean, easy to navigate, and flexible enough to grow as our content expands. It’s helped turn scattered information into a clear, consistent system that connects sales, operations, and field practices. Overall, it’s been a strong tool for organizing knowledge, aligning teams, and creating a reliable source of truth for how we sell and deliver our work.
Pros: Trainual makes it easy to build and manage a structured sales playbook without overcomplicating things. I like how flexible it is to design, rearrange, and update pages as the content evolves. As someone developing over 70 hours of material, that flexibility matters. I can organize everything by role and process, link in videos and tools, and keep it all in one clear, accessible system. It’s also been great for the team. They can open a section and immediately find the latest information, templates, and training materials without digging through shared folders. It keeps everyone aligned and saves a ton of time.
Cons: As an administrator, it can be tough to keep track of comments and feedback across a large amount of content. With over 70 hours of material, I’d like an easier way to see when someone leaves a comment and jump directly to it instead of having to search through individual documents. It’s a small thing, but it would make managing and updating content much more efficient.
Trevor N. · Director of Sales · Construction · October 21, 2025
10/10. Would highly recommend to any company looking to use an app where not only you can store company documents but use for processes as well.
Pros: Being able to use it as a way to store our processes as well as company documents. We also use Trainual for New Hires.
Cons: I can’t relate. I love Trainual. Trainual is everything we needed for our company. It makes our lives in the TA and HR departments much easier.
Mariana B. · Administrative Assistant · Executive Office · October 20, 2025
It's ok, basically a SOP with a good search function, you can probably get the same effect with other free softwares. The cost is extremely expensive for small businesses, so unless you have high staff turn over... It's not worth it. The site is always online which is great and the app allows you to access it anywhere you need to, but it's just not right for my business we are not overly complicated and with multiple departments.
Pros: Search function, UI, able to add gifs to articles, have a reminder on how much of the training an employee have completed.
Cons: Cost, inability to export out in a good format or easily export the documents out, they used to allow you to do editing of photos inside the app, like putting arrows and boxes around important areas but not anymore making writing new training materials much harder.
Yan Ke Z. · Director · Real Estate · September 24, 2025
Excellent, can not complain. Really happy our company made the investment to put all the SOP and training in one spot and online for everyone to access easily.
Pros: Great customer support and really helpful for the team. It is worth the set up time you will invest to get this going. It is so helpful for your business management and onboarding.
Cons: They make changes frequestly so sometimes if feels like you have to relearn the systems. Customer support is always there to help and there are plenty of online tutorials.
Christine S. · Business Develepment · Construction · August 26, 2025
it was awesome
Pros: I love the Employee management as it help us to work as a team and make it easy for us to catch up by storing data or subject that we need to learn
Cons: So far, none as it help us to be updated and it help us to work as a team and make it easy for us to catch up by storing data or subject that we need to learn
Rachelle L. · HR · Human Resources · August 7, 2025
My overall experience in Trainual is superb! I will recommend this to my friends in other industry as it helps small company like us in onboarding.
Pros: Trainual helps us in HR department to ease the onboarding process/training purposes for our employees.
Cons: None so far! We at the team really loves the trainual when it comes to user friendly function. It can be use in phone and desktop.
Marianne G. · HR Specialist · Utilities · August 7, 2025
As an audio editor that is constantly switching been different podcast shows, my priority is assuring that I know the guidelines and rules for each show so that they meet the correct standards. Not only that, but it's important that everyone on my team knows the nuances of each show. Trainual helps us solve this problem before it even becomes the problem. New hires use Trainual to learn how to edit a show, and if necessary, more experienced editors like me can reference previous Trainuals to get a quick refresh on the practices and protocol.
Pros: I really enjoy that Trainual is easy to navigate; its structure is very organized and straightforward. Whether I'm navigating through modules as a viewer, or creating content to teach others, the tools make it easy to digest and create material in a simple and stress-free way.
Cons: It's difficult to find downsides about Trainual, but if I have to pick one, I'd say that it's a bit distracting or necessary that my training progress changes to incomplete whenever my teammates add a new page or publish additional content to a Trainual that I previously completed.
