Reftab is an asset tracking tool used mainly by small businesses in IT services, education, and healthcare. It stands out for its mobile app and customizable fields, with many users praising its ease of use across remote teams. Some cite limitations in accessory filtering and outdated integration tutorials as drawbacks, and label printing is noted as sometimes inconsistent. Pricing is seen as fair for small teams needing flexible asset control.

Pricing is reasonable out of the box, support is awesome, product continues to expand as our organization expands.
Pros: Support is amazing. Quick and very knowledgeable. Software is flexible and easy to navigate. The product has new features being added continuously.
Cons: All of the least like items we have, are either being addressed or on the list to address. Pricing to expand is expensive and could be more reasonable to add on as the organization grows.

Overall, it's a fun easygoing experience. Intuitive easy to pick up. Keeping track of who has what is easy
Pros: Easy to use, simple. I can keep track of everyone within the system. and send out emails of overdue gear right within reftab
Cons: Whenever you click on someone in a list and back out, it takes you back to the top rather than where you were so I have to scroll back down

Have been using Reftab for since 2022. It has increased inventory accountability greatly and helps for alerting when inventory items need to be ordered.
Pros: Keeping track of inventory items with options for setting as consumable or assets. Ability to see stock quantities without having to physically count or check to see if a certain items is even part of inventory (IT peripherals).
Cons: When using the app, not able to see activity of consumable items. Sometimes, need to see if an items was checked out to someone. Using app does not show it so have to go to a PC to look the information up.

Overall it is the best asset management tool I have used as it tracks both the physical and virtual assets in one place. This is nice to be able to track licenses from cloud vendors all the way to physical assets like monitors.
Pros: Reftab offers a clear way to manage both virtual and physical assets. It easily connects to a myriad of systems to ensure the records stay updated.
Cons: The inability to extract the cost per asset per person to excel over a standardized time period. This can be accomplished with someone savvy with Excel but it isn't out of the box. It also would be nice to have some preset images for assets. I am forced to go digging for some which has been interesting as they are not consistent across all assets.

my experience is positive overall. it has greatly improved the way we manage assets as well as our ordering and asset destruction habits
Pros: Love the inventory management features that also allow us to send alerts when low on items. it's highly customizable. as someone in IT, the ability to integrate with our environment using the built in autopilot and dell integrations is also a much appreciated feature.
Cons: you can't have more than one window open at a time. very annoying especially when trying to see assets while also attempting to print asset labels for them.
Joe L. · IT Admin · Legal Services · March 6, 2026
Pros: Easy to check out and check in equipment. Custom device information is a large bonus. Device history is also a plus so you can see how equipment was handled prior to being lent out the latest time.
Cons: Certain user screens are difficult to navigate as they do not direct you to anywhere. An example of this is when you go to Loanees and click on a user and can see their loan history, but you cannot directly click on any item. At this point you have to copy the ID and paste it into the search to find more information.

Reftab is okay; it gets the job done, but it has a few bugs, such as a restocked kit that will not update and will remain overdue.
Pros: It's easy enough to use, but it would be helpful if a training session or a user manual were provided.
Cons: User interface is a bit clunky, we seem to have to navigate across all regions of Reftab to find certain assets. Pressing the back button doesn't take us back by one page, but to the homepage itself. This is time-consuming and frustrating. Reftab claims that the accessories are not bookable even if they have recently been cancelled or have no bookings, it will not be bookable. A Store Desk would be helpful such as what SISO offered with the barcode scanning.

Overall, very good. I will continue to use, and recommend to anyone who needs a better system to track their equipment.
Pros: Reftab is easy to use. The user interface is straightforward. I was able to organize all our tech inventory in a month. The thing i like best is that you can create QR codes to attach to items and then use the phone app for quick checkout. Making equipment easy to track.
Cons: The reports could be better. I find that are difficult to manage and customize to get exactly what I need.
Daniela V. · Help Desk Technician · Information Technology and Services · March 5, 2026
Good with a slight cast of issues as previously said above, need more support and more features to make it more work friendly
Pros: The website is good and accessible sometimes there are some hitches in the system and I wish that there was more support
Cons: I do not like that there isn’t categories for kits or accessories, it makes it a lot harder for our front facing clients to navigate
Luciano N. · Senior Film Technician · Education Management · March 4, 2026
Very enjoyable, specially since it's been a great way to track all of our IT assets in one place and not have to dig for info in different locations as we can add it all in there
Pros: I liked that everything is very straight forward when adding assets or anything like a loanee. Also really liked the way things are named, and you are able to know what you are searching for just from looking at the tab names
Cons: It seems that some of the API pulls don't actually get all the data from the place connected, not sure why, but it means that there is some random people that I have end up adding.
Gabriel A. · IT Admin · Food & Beverages · March 4, 2026
Pros: The interface is easy to use and the layout and look of it is well designed, it's easy to read and figure out where everything is
Cons: It's quite buggy, often doesn't let you check out kit reservations without a detailed explanation to why, just says "asset loaned out already" or "asset unavailable" without specifying which asset or user. You cant check kits out if theres too many accessories as it says "accessory limit reached" which is just silly, why put accessories there if you cant use them. You cant directly print a kit list or export PDF from a booking so we can print a physical kit list to help with our prep, instead we have to export an excel file with all the information and then delete the columns that are irrelevant, incredibly time consuming. When it shows the calendar view of booking availability it shows that its booked but you cant just click on the calendar and see the times and user, it just shows their e-mail in the booking which for us doesnt work as its just a student number.
Ari P. · Senior Film Technician · Higher Education · March 4, 2026
We use it for inventory management of our IT devices. we can check out to users and mark as lost or stolen.
Pros: pretty good inventory management system for us. its easy to find the assets and find who checked them out.
Cons: The ready to checkout doesn't change when you check out an item. also the camera scanning system didn't work very well for us
Linus D. · System Administrator · Non-Profit Organization Management · March 2, 2026
We use this daily at my university for checking in and out expensive materials for the students. It is very helpful for keeping track of our materials and easy to use for the students.
Pros: It is very user friendly. The reserve function is very useful for our students as they often need the same materials, so they can reserve on the day that works best for them.
Cons: I don't like generating my own BAR-CODEs. It would be nice to have an auto generation for that so you know you're not duplicating it but also the option to change it if you wanted to.
Beth D. · Office Assistant · Education Management · March 2, 2026
Its an extremely useful tool and is very user friendly but needs to be streamlined for users as they see alot of non-essential information they do not need.
Pros: The accessibility is phenomenal drivers can really get there pre and post trips done without delay and accurately very easily.
Cons: The amount of information presented at any time it should be streamlined to user so they only see what they need to see and clear up confusion
Jose M. · General Manager · Transportation/Trucking/Railroad · March 2, 2026
Largely positive from a technical point of view, some bugs and issues but always responded to quickly by the development team
Pros: Functionality for asset and license management - stock auditing and checking in/out is noticeably easier than other asset management systems
Cons: The user portal doesn’t work well at all on mobile devices, and making reservations for multiple assets isn’t very streamlined
Dominick H. · Senior Technician · Education Management · March 2, 2026
Overall, my experience with reftab has been great. I inherited the task of running it for my company, and it has been a work in progress for us. With that being said, it has been a huge help in the increase of efficiency for the whole company.
Pros: Reftab has given me the ability to keep my large inventory in order. With the large inventory we have a lot of moving pieces and the automated alerts to our employees have been very helpful.
Cons: The only thing that has not been great is the audit system. I was not able to do an inventory audit on through reftab because it seems to only work if you are scanning the inventory. We do not use a scanning system, so I just did it by hand. If there is a way to work around this, I would love to know.

I have enjoyed using it, it has a lot of quality-of-life features over our previous self-hosted option of SnipeIT.
Pros: I enjoy how well documented it is, usually anything is fixable by looking through the documentation. We also enjoy using our SSO integration to keep it as secure as possible for us.
Cons: I wish it had ticketing built in, hoping this is a feature that is road mapped. Other than this I haven't had any real big complaints besides a billing problem that was quickly fixed.
Andrew S. · IT Specialist · Banking · February 27, 2026
Pros: Easy to manage, straightforward. Easy to track and navigate around and add details and manage multiple assets
Cons: Limited assets to add, sometimes multiple loanees can cause system to overload and cause delays to load.
Vibhore S. · Logistics Lead · Hospital & Health Care · February 27, 2026
RefTab have always been very helpful. The platform is easy to navigate and most of it is self explanatory. I would definitely recommend to anyone looking for a system which can create QR or bar codes for all their assets and for assigning assets either in bulk or singly, this is the app for you.
Pros: I have been using RefTab for a few years now but haven't really used it to its full capacity. It does a lot more than I gave it credit for. I like that it keeps track of all our assets and we know exactly where they are and where they have been. I also like that it can send emails on your behalf to the loanees (a feature I have only just worked out with the help of a very informative and knowledgable member of their team ([sensitive content hidden], thank you for your patience and clear instructions).
Cons: I don't like that I couldn't schedule an email for every six weeks. But that's not too much of an issue. As of last week I didn't even know it could send any, lol.

we had an issue where the software licensing was not working. I reaching out to reftab support where a tech quickly resolved all of our issues 5/5 star support
Pros: Great software management for our needs, With new featuring being added its useful and great support
Cons: N/A We really do not have any complaints reftab meets our needs for our organization any issues have always been quickly resolved
Chris D. · IT Support · Telecommunications · February 20, 2026
Overall, Reftab s a great tool. Behind an apparent simplicity is hidden some really powerful features that can help with reducing day-to-day operations by automating many tasks.
Pros: Reftab offers some powerful integrations with widely used tools and, when coupled with their Automated Workflows feature, it creates some excellent synergies. The UI is clean and easy to use for the most part (There are some confusing things here and there but nothing serious). It also looks like the product is evolving quite quickly to follow the additions made by third-party (Like the recent Apple Business Manager integration)
Cons: The UI lacks some way to personalize how an asset's page is displayed. All custom fields are packed with each others without a way to sort them into different sections for example. That would be my main pain point.
Michaël D. · Senior IT Engineer · Financial Services · February 5, 2026
It really fits the way we work... volunteer crews, rotating teams, chaotic environments, lots of moving parts. It's a good fit, and it suits our team.
Pros: I like Reftab because it just works. No bloat, no bull. It does exactly what I need it to do: keeps track of stuff without becoming another thing that needs managing. It’s clean, fast, and lets me know who’s got what, when it’s due back, and what condition it’s in - Reftab feels built for people who actually do things, not just manage them.
Cons: What bugs me about Reftab is that it still feels a bit rigid. It’s great for tracking assets, but the workflow side can get clunky. I can’t bend it as far as I want - no true automation, no bulk logic beyond imports, and integrations are limited unless I've not worked this out yet. The UI, while clean, can also feel dated. Some settings are buried three clicks deep, and editing lots of items at once is painful.
Tim D. · Acting Lead of Communications Infrastructure · Non-Profit Organization Management · November 12, 2025
It is taking us a little to setup how we need it but that is due to lack of internal resources to dedicate to it.
Pros: The tool is very flexible and continues to add features and integrations often. I really like to integration capabilities, the software licencing management, the diversity in usage, and the price point is amazing.
Cons: Would like to be able to brand and design the interface for color and logo. Not a big issue but a nice to have. Also the location options seem a bit limited. Not all items are assigned to a person so we are figuring out how to assign these things to a generic loanee for consistency.
Charles H. · VP · Sports · October 17, 2025
Great. Love the product. Experience has been great from start to date. I couldn't see us choosing a different solution.
Pros: Reftab is simple to learn and fast to master, yet it’s loaded with the tools teams need to get real work done. You can access it anytime, on any device, without barriers. And with security woven into every layer, your data stays safe while your team moves faster.”
Cons: A more usable pricing structure will reduce decision friction, increase trial-to-paid conversion, and improve long-term retention by aligning cost with value.
Joseph A. · Director of Information Technology · Information Technology and Services · October 16, 2025
Pros: Simple to understand UI, easy to add new items/devices with as little or as much detail as we choose
Cons: Can be a bit of a learning curve for new users that may not be technologically capable. Also takes a bit of tweaking to get barcodes/qr codes just right.
