Microsoft To Do has matured into a reliable personal task manager, especially within the Microsoft ecosystem. The integration with Outlook Tasks and Teams assignments makes it a natural fit for Microsoft-centric workplaces. For lightweight personal productivity and daily planning, it does the job beautifully — though users needing deeper project management may need a complementary tool.
Pros: Microsoft To Do integrates seamlessly with the Microsoft 365 ecosystem, making it ideal for users already using Outlook, Teams, and OneNote. The My Day feature, smart suggestions, and recurring task functionality help keep daily priorities organized. The clean, minimalist design makes it easy to pick up and use immediately.
Cons: Microsoft To Do lacks some advanced project management features like subtasks beyond one level, time tracking, or Gantt-style views. Collaboration features are fairly limited compared to dedicated team task tools, and there is no built-in calendar view for tasks across lists.

Being able to access my lists on all of my devices is a great thing to have. If I forget my laptop at work, I can access my list from my phone at home.
Pros: I really like that I am able to easily create a schedule and make a list of things I need to get done at work. Being a teacher, I have many things that need to be completed at certain times of the week. This makes my life much easier.
Cons: I have not come across anything I dislike about the software. Everything has been great so far when using the software.

Everything works perfectly, and the app is easy to use. Tasks scheduled in the Microsoft To Do app help me manage my time and get things done faster. Now I never forget anything.
Pros: Fast performance and a wide range of options. Resizable windows. Compatibility with Outlook. Clear task list.
Cons: I haven't had any negative experiences using the Microsoft To Do app. Everything works fine; I haven't noticed any bugs.

Pros: Keeping track of tasks is still super easy, and the fact that my colleagues can get notified when they are added to a task is a big plus.
Cons: Honestly, I'm very pleased with the product. The UI could be better from a consumer viewpoint, but functionality is 10/10.
Brett S. · Corporate Paralegal · Legal Services · March 19, 2026
Pros: I still use and like about the way it helps me organize and plan my tasks on a daily basis. This is very easy to access from phone.
Cons: There are not enough features to modify or sort the list in one file according to different categories.

I use Microsoft To Do on a constant basis to keep track of my projects, tasks, and other general needs around the business. I can share the load, or take on other tasks as needed with zero issues. It's truly helped me be my best self when it comes to project management and time management.
Pros: Microsoft To Do has some great features, and really helps me keep track of my day. As someone who can be all over the place, this product helps me keep my task list organized so I can best prioritize what needs to be done. I can manage each project, one at a time, based on how I scheduled myself to do so in To Do. And even better, I can assign some of these tasks to other users, allowing us to collaborate better. It's part of our overall M365 package, so I would say it's worth the money.
Cons: I ran into a few issues earlier on, regarding collaboration, and when I reached out to customer support, they were helpful, if not a bit slow, in realizing that we had incompatible versions of the software installed. A quick update and we were good to go.

I use Microsoft-To-Do every day, both personally and professionally, within the Outlook desktop app & the iPhone app.
Pros: I find Microsoft-To-Do extremely easy to use & find the task scheduling/repeat function the most useful
Cons: The thing I like the least about Microsoft-To-Do is the limitation in the app with regards to scheduling

My overall experience of Microsoft To Do has been great is it helped me manage my lifestyle my business with to do tasks and deadline due dates it helps me keep everything organized and helps me. Keep myself on top of everything.
Pros: What I love most about Microsoft to do is it’s a free app, easy to use, easy to schedule and follow. This app has truly made my life easier. From creating deadlines to checking off daily tasks completed and keeping everything organized.
Cons: What I like least about Microsoft to do is that once you have a lot of to do items and tasks the app does start lagging and moving slower

Pros: I like that there's some level of personalization to yhe losts, in therms of themes, colors, emojis, so we can really arrange it how we like it!
Cons: It would be good to have some sort of integration/synchronisation with external calendars like outlook or google m!

Practical and efficient. I’m satisfied with how efficiently it works across devices and how reliable the sync is.
Pros: It’s practical, clear, and helps me stay focused on what needs to be done without adding complexity.
Cons: I am very satisfied. If I had to add something it would be more flexibility for grouping tasks and projects.

An easy to use, close to hand and simply designed To Do list with a more limited task and project management capacity. Great for getting started as a basic to-do list, but not quite suitable for power users.
Pros: One of the most accessible and in-built to-do list tools available as stock with the Microsoft Suite. You will find it built in to Outlook across desktop and iOS Apps. This makes it feel close to hand and enables easy task management and collaboration across teams.
Cons: Whilst it is built in and close to hand, the thing I like least is how quickly the number of tasks quickly gets out of hand, or where, task management becomes more difficult. I would like it more if you could more easily group tasks into categories and visualise them across timelines.

Microsoft To Do is a simple and effective tool for managing daily tasks and personal workload within projects.
Pros: The app is easy to use and integrates well with Outlook. Task lists are clear, reminders work reliably, and it helps stay organized throughout the day.
Cons: It lacks advanced project management features, so it works best for personal task tracking rather than team-wide planning.
Scott S. · Project Manager · Human Resources · January 4, 2026
Overall my experience is good. I use it mainly for daily and work tasks and it helps me stay organized. It is not perfect, but it does what it promises and keeps things clear and simple.
Pros: I like that it is very simple and easy to use. It helps me organize my daily tasks fast and I can access it from different devices. The integration with Microsoft account is very useful.
Cons: Sometimes it feels a bit limited for more complex projects. I miss more advanced options for tracking progress or working with bigger task lists.

Overall, I'd say Microsoft To Do is a solid solution for lightweight task management especially if you’re already deep into Microsoft 365 and just need personal lists and reminders. However, it wasn’t enough for my broader work needs.
Pros: I was hopeful about Microsoft To Do because it integrates nicely with the broader Microsoft ecosystem. The app is clean and lightweight. It also feels very familiar if you use Microsoft apps regularly.
Cons: While integration with Outlook and Microsoft 365 is a strong point on paper, To Do ultimately felt too minimal for how I manage work. It’s great for simple tasks but lacks depth for project organization and team collab.

I have enjoyed To Do for years. By far out of all the apps ive used to create lists and stay organized this is the one that keeps me on track.
Pros: This is my holy grail of an application. I don't believe I use an app more than I use microsoft to-do. This is one of the few applications that keeps me on track on all my work and personal projects. I also enjoy how it's integrated itself into my calendar so I don't always have to look at the app to see what I have slated for the day.
Cons: I wish there was more space for customization, but the task of the application is rather simple and does a good job doing what it needs to.

I find that I'm not using it as often as I have in the past. It's helpful to list my tasks and events for the month, but I would prefer more information about completing tasks beyond my current knowledge and experience.
Pros: It's a simple way to keep track of my art events, marketing plans and timing for each. It's convenient to use this function on my mobile devices.
Cons: It is too simple for my needs now that I'm growing my business. I would like to see more subcategories under the tasks section. I don't use ai often, but it would be a nice addition to quickly help me with marking tasks.

Great I’ve had no issues with it. Easy to use very clean look to it. Simple but effective way of organization. My team like it as they are operationally focused and have a lot of fact finding within their roles so they will flag an email add to the to do and then go back to it once the task is complete.
Pros: It is a free list tool to keep track of my daily lists. I like it due to its clean look and the fact you can link it to the flagged emails, as I work off multiple devices at once and have to move around offices multiple times a day coordinating with multiple teams to meet with different stakeholders it keeps me on track of my own work as I add to it.
Cons: Could have more deeper team sharing ability. To be able to link projects into this on greater detail would be good
Carly J. · Operations manager · Civic & Social Organization · December 22, 2025
Pros: I really appreciate how simple and organized Microsoft To Do is. The ability to break tasks into subtasks and set reminders keeps our workspace operations running smoothly. I also like that it syncs across devices
Cons: The collaboration features feel a bit limited. While I can share lists, it’s not always as seamless as I’d like when working with multiple team members.
Nava A. · Assistant Manager · Commercial Real Estate · December 11, 2025
Helped me get into routines and keep ideas and tasks safe for later usage. Nice that you can delegate things.
Pros: It's free. Works without bugs or issues. Not needed customer support. It's easy to use and the team can see what I have done or need to do. Helpful for keeping tabs on projects and scheduling or delegating tasks.
Cons: Sometimes i use my daily/weekly checklist and sometimes I don't. I wish there was an easy way to skip some dates when doing recurring instead of it piling up forever.

Microsoft To Do helps me keep little tasks out of my head for the day at SoftWeb PK; I give quick break to feature and set a due date which makes me less anxious about not remembering small fixes.
Pros: What I like about Microsoft To Do is how light and clean it feels; I’m able to quickly jot down tasks, set reminders for them, and share rudimentary lists with my colleagues without them needing any training.
Cons: The annoying part is when sync lags between desktop and mobile; now and then shared lists update slowly, and for client projects that tiny delay causes me to double-check everything.

I never forget tasks that I need to do in the day. I check it in the morning, in the middle of the day and at the end of the day. Love the reminders.
Pros: My day is right there, popped up on my screen. Can never forget a To Do with such a helpful aid as Microsoft To Do.
Cons: Nothing I didn’t like. It’s a great feature I. The software to allow you to plan your day at the start of your day.

Overall, my experience with Microsoft to do was a handful of time use. This means it’s not something I would go back to to use all the time but that it was a really nifty tool to try for a few of my task, but it just wasn’t for me.
Pros: What I like about this is that it is fairly simple to schedule tasks and to manage projects to ensure that you stay within your deadline. You can also schedule several tasks and set the due date and time for them in case you have a longer list of items to do. What’s nice too is that you can set deadlines for the future, which is helpful in case you have yearly items to complete.
Cons: For first time users, it’s not the easiest thing to use in regards to user interface. It did take me some time to set up a task and after using it a multiple times, I still did not find it to be the easiest to set up or schedule a task.
Carly G. · Curriculum Designer and trainer · Food & Beverages · November 29, 2025
I use it to keep my thoughts and tasks straight at work. It can be very easy to get interrupted in my workplace and then forget what I was working on. Or have multiple projects going at once.
Pros: To Do is super straightforward with a friendly interface and has plenty of customization features to keep tasks organized
Cons: I really have nothing bad to say about it. I feel that it accomplishes everything you would expect it to do.
Kevin D. · Regulatory Coordinator · Transportation/Trucking/Railroad · November 25, 2025
Pros: As someone with ADHD, Microsoft To Do helps me keep track of daily tasks and plan ahead for future deadlines.
Cons: Nothing negative to say - the app helps me immensely to stay on top of all my work responsibilities.
