Asset Essentials is a maintenance management tool primarily used by small businesses in the education and engineering sectors. It stands out for its customizable work order tracking and preventive maintenance scheduling, with many users highlighting its ease of use. However, some cite mobile notification delays and limited document upload options as drawbacks. Others note that recent updates have improved asset tagging and field visibility.

I typically use Asset Essentials for routine cleaning jobs at the university I work at. I fill out the work done for certain buildings. I also submit new work orders to maintenance when anything is broken. I also have special requests, normally for larger events with lots of tasks needed.
Pros: Asset Essentials helps communicate the tasks that are being accomplished in separate buildings/areas. It provides a layer of security by allowing managers to review data before finalizing the completion of any work order.
Cons: Asset Essentials has a feature to filter work orders by the date they are submitted. I would like to filter by the date the work is being requested for, and I wish there was a dedicated section for this. I have been able to put the date in the comment section and sort in this way.

outstanding, nothing is perfect but Brightly has tremendous support for the rare/occasional issue and it's online chat which means i don't have to pick up the phone or wait on hold
Pros: Easy to use, lots of features and outstanding support. App is very good and it creates an excellent database of assets and work orders and maintenance. Very useful for my team
Cons: Occasionally glitchy or preferences don't always seem to "take" but online live support is always available and always helpful.

Preventive & Predictive Maintenance Schedule automatic preventive maintenance to shift away from reactive “break/fix” work. Reduces unplanned downtime, extends asset lifespan, and lowers repair costs.
Pros: Centralized Asset Tracking & Visibility Keeps all my physical assets Ex. equipment, facilities, infrastructure) in one place with detailed records of location, condition, and maintenance history and managements it in place..
Cons: I did not has any experience in particulars issues on this app. with the least like, most of them are powerfully except, we need some more gramma checking during we typing words in this system.

Asset essentials has changed how we are able to track not just labor but expenditures as well as gives us a better workflow allows for our personnel to generate their own workorders when they come across something, better dispatching of work we no longer have to go back to city hall for new work orders and can go from job to job easily with minimal backtracking.
Pros: Ease of data entry including customizing. Once trained personnel have an easier time communicating with Customer support to resolve issues faster. It's value has shown just in how our work days have been more efficient. The Web interface has a very easy to use and assign.
Cons: lack of options on the mobile app. Mobil app logouts on Iphone that lead to issues logging in in the morning

Overall my experience has been positive. It is easy to use and is a great tool for our organization.
Pros: The ability to keep track of issues and parts for our machines. Can easily see how often these issues occur and how often parts are used.
Cons: Easier to use on the laptop than the phone. Sometimes with the small phone screen it is just quicker to find things or see it on the laptop.

It's been ok. I would like to see better mobile editing options as well as more reporting features. The implementation took a very long time but the support was good. At the time, it was the best option but I'm not sure I'd make the same choice again. It's priced similar to others in the market.
Pros: It's very easy to modify. It has been easy to set up 'views' for different areas to use. Setting up crews is also very easy and makes assigning work easy within a department.
Cons: It's no longer designed just for education so we needed to do a lot of adjusting to make it work for our needs. The reporting and analytics needs work. The adding of labor is more cumbersome than it should be. The security of the 'reporting' feature is not able to be locked down to allow nurses to use it for what we need.

overall its good, its just been a slow roll out for us, which has been frustrating. Wish we would have had someone better be the point person for the initial set up.
Pros: How it communicates with itself. When putting in work orders in it can create an accurate picture of the cost and effort to maintain things around the city
Cons: building it out, the person who chose Brightly for us didn't do a good job deciding how to roll it out, so now we're inputting assets, locations, and parts one by one. I don't feel like the training in brightly academy was detailed enough; it was more about what the software could do, and less about how to set up those configurations. Wish there was more GIS integration

My overall experience with Asset Essentials has been a 10/10, it has made running reports so easy for me and I even get to show other coworkers how to run their own reports as well, which makes things easier for me.
Pros: I like that I get to run reports based off of different departments and I even got to break down the reports with details.
Cons: I haven't found anything not to like yet, I keep finding new ways to make my job easier as the Administrative Assistant in my department.
Donitra J. · Administrative Assistant · Facilities Services · March 3, 2026
The security features seem to be good but it has to be updated on my phone quite frequently. I'm starting get like all the features it has but still would like it to be easier to maneuver around.
Pros: What i like most about asset essentials is that I can look at my pm's and add to them if need be. I can also keep up with my work orders.
Cons: Its not very user friendly for me anyways. It has taken me some time to get comfortable using it and I know it has alot more features I haven't used yet.

I find it extremely easy to create my own work orders for my occupants. I am responsible for a large University School of Medicine and it's very helpful to be able to add my own detailed description of the issue as well as attach phots to help guide the techs. My customers appreciate the support I can give them to resolve their issue.
Pros: I like the ability to get notices when the status of my work order is either closed or changed with notes and updates to the status of the repair.
Cons: Sometimes our techs will close a work order without putting notes on it. Then I have to track them down to find out the outcome or the next step. I think the comments section should be a mandatory box to fill.
Claude M. · Assistant Director Space and Planning, School of Medicine · Education Management · February 26, 2026
My overall experience is very good, if I have an issue that is dragging on contact my client success manager and they look into it immediately.
Pros: I like the fact it is extremely customizable; I have built our system from the ground up and so far, anything that anyone has need it to do, I was able to build a workflow to accomplish the task. We use SSO so security is tight. We are a medium size school system and compared to other application we use the value for is on point. We use this system for all work ordered and asset management, we live and die by it, It always works and if I do have an issue support is timely into looking into the issue and finding a resolution.
Cons: The biggest issue we have is it doesn't offer text message notifications for work orders. The notifications with email are ok, but text messages are much easier.

So far, it is great, there are many checkpoints and way for improvement on my parts to write up worksheets which made them presentable, acceptable and readable to the employer who monitor my work schedule.
Pros: What is the best way to proven to the employer that I am actually working day in and day out? With Assets Essentials app or web based allows me to do just that! I loved!
Cons: AI incorporates with grammars, vocabulary, or better yet with sentences improving that would be great.perhaps that would be something in the future Assets Essentials looking for better way to improve her working orders platform.

It's a joke. Multiple days without access to the system because of their technicians. What good is a work order system that we cannot put work orders into?
Pros: Two years ago, the support was great. Now, it sucks. Over promise and under deliver. School Dude was better.
Cons: Poor support. Cannot use this software across all platforms unless you jump through hoops. The company makes you feel like you work for them and not them working for you.
Mathew R. · Director of Facilities · Education Management · October 2, 2025
I have used SAP, Tabware, and several others over the years, and Brightly is a good program for a Small Business
Pros: I Like that it is very user Friendly and easy to navigate through is screens to go were you want to.
Cons: I need to learn more on how to do a forecast to be able to see what needs to be done in two weeks as well further into so I can plan the work for my Techs.
Bill C. · Maintenance Manager · Food Production · September 29, 2025
Overall I have had pretty good luck with Asset Essentials. It is truly a good system for maintaining your fleet plan. It is nice to be able to put work orders in and see the status of that work order when more than one person is needing to view the information
Pros: Ease of fleet management. Customer support is great and very helpful. Communication is very accessible with email, phone or the help pages.
Cons: Entering and deleting users. Sometimes we have the need to deleting a user from several areas, it is hard to find and figure what areas a person is associated with if you are not the person who originally enter that person into the system.
Peggy G. · Administrative Assistant · Government Administration · September 22, 2025
It has been great. We have been able to instruct all of our lower level personnel on how to access the system and how to find what they are looking for.
Pros: I love the ability to access all pertinent information on a work order so easily. After we got all the assets built it went pretty smoothly.
Cons: It is a lot to put in all the information. But.... once we got the infrastructure built it is so easy to use. I also struggle a bit with the app version in making sure I do not have filters set.

Asset Essentials is a powerful and reliable CMMS that provides a centralized solution for complex asset and maintenance management. Its strengths lie in its comprehensive features, mobile access, and excellent customer support. However, users should be prepared for a learning curve and some potential frustrations with the user interface and mobile app stability. The experience is often described as a trade-off: a functional and feature-rich system that may lack the modern polish and simplicity of some newer alternatives
Pros: its ability to help our center track and assign work orders, which is helpful for our maintenance requests because of the large center.
Cons: problems with filtering work orders, difficulty copying and pasting in text boxes, and issues with file attachments.
Courtney G. · Maintenance Tech · Education Management · September 18, 2025
Evaluated this along with other software solutions for my organization. Good company and technical support.
Pros: Very comprehensive capabilities. Lots of configuration available. Mobile solution is very good- better interface than desktop.
Cons: Interface needs updating/refresh. Cost is average- other options are cheaper depending on specific needs.
Mark D. · Director of Facilities · Higher Education · September 8, 2025
We used the software for around a year, which was an upgrade from a previous version of software we had with the same company.
Pros: It was a good product for the work order needs we had. It helped keep work orders organized and offered great reporting options. The data from the reports was and is still superior to other products out there.
Cons: The mobile aspect was not what we were looking for or needing to support the amount of staff and volume that we have.
Brandi S. · Office Manager · Education Management · June 10, 2025
Very positive---works very well! Easy to navigate
Pros: Easy to get data and customer support is awesome!
Cons: Nothing...works very well! Easy to navigate, very powerful
Jon Z. · GIS Technician · Higher Education · May 6, 2025
Overall we have been using it for some time, and again, it works well. Just need to improve the mobile version.
Pros: Ability to manage assets all in one place.
Cons: The mobile "app" needs some work to make it easier to use. I wish it was a real app and not just a website link.
Joe K. · Director of EVS and Dietary · Hospital & Health Care · February 19, 2025
It is very good software. We do not have any issues with it. The help sections are useful and and issues requiring support were handled in a timely manner.
Pros: The implementation was very quick and easy. The team was very knowledgeable and explained everything throughout the entire process. It is very user friendly and has all the functions we need at an affordable price.
Cons: Limited viewing capabilities for users that can only submit maintenance requests, Free users.
Michael Y. · Quality Manager · Chemicals · December 11, 2024
Migrating to a new platform can initially be overwhelming especially when being familiar with a product that was used for a number of years and was fine- tuned to an organization's use. Overall, now that Asset Essentials is the work order system of the organization with staff utilizing the many features, it is appreciated for its efficiencies.
Pros: Asset Essentials continues to improve the ease of use and output of the data, proving to be an excellent resource for the organization and for the Facilities Management Managers and Staff.
Cons: Brightly continues to work with Clients' use and understanding of Asset Essentials and this is a process. Learning improved ways of working with a product can initially be awkward, but once users become more familiar and comfortable with the how it works, it becomes more automatic.
Patricia R. · Administrative Assistant · Higher Education · October 22, 2024
I am thankful to have it in living. It makes living more interesting to work with.
Pros: Getting the job done! Makes work much more worthy.
Cons: Time wait for process. Having the communication for help is a winner.
