Essential productivity tool. Despite its drawbacks it saves a great amount of administrative hours to make it worth the cost.
Pros: Booking times are seamless and take less than a minute. They have a clean interface with built in automated reminders and follow ups.
Cons: Doesn’t support recurring bookings, not many customization options and the free plan is very limited.

Overall, Calendly is one of those rare tools that actually buys you back your time. Before using it, I didn't realize how much "brain fog" was caused just by trying to coordinate three people’s schedules across different time zones. It’s intuitive enough that even my least tech-savvy clients can figure it out in two clicks, which is the ultimate test of any software. While the pricing structure for larger teams can be a bit of a pill to swallow, the sheer reliability and the "peace of mind" of knowing I won't get double-booked makes it a staple in my tech stack. It’s not just a scheduler; it’s a productivity insurance policy.
Pros: The absolute best thing about Calendly is the total elimination of the "When are you free?" mental gymnastics. It turns a 10-email back-and-forth into a single link. Time-Zone Magic: It handles time-zone math automatically. If I’m in New York and my client is in Tokyo, neither of us has to Google "what time is it there" or accidentally schedule a meeting for 3:00 AM. Set It and Forget It: Once you’ve synced your Google or Outlook calendars and set your "buffer" times, the tool just works in the background. It’s like having a digital gatekeeper that won't let anyone double-book you. The Workflow Automation: The automated reminders (both email and SMS) are lifesavers for reducing no-shows. People are much less likely to "forget" a meeting when they get a ping an hour before.

Cons: While it’s the industry standard, it’s not without its "paywall pains" and minor annoyances. The Price Tag for Teams: For a solo user, it’s great. But once you start adding a team and need "Round Robin" scheduling or "Routing Forms," the per-seat cost starts to feel a bit steep—especially with newer, hungrier competitors offering more for less in 2026. Branding Limits: If you’re on the lower-tier plans, that "Powered by Calendly" badge is stuck there. It’s a small thing, but for a high-end brand, you really want a white-labeled experience without having to jump to the most expensive tier. Mobile App Lag: The mobile experience still feels a bit like a "lite" version of the web app. It’s gotten better, but it can occasionally be clunky when you’re trying to quickly toggle your availability on the fly.

Calendly helps save time and avoid a lot of unnecessary back-and-forth. In my opinion, it’s become essential.
Pros: The system is simple and effective. You just share your availability link so people can book a time slot directly that works for them. It avoids long conversations trying to find a common time.
Cons: The booking pages still look pretty basic, and for teams with very specific needs, the tool can sometimes feel a bit limited.

overall i would love to learn how to use it. For several reasons it just did not work for me. one on the reasons was i don't really have a set schedule and that is part of what is required when setting it up.
Pros: For the price the value is their for sure and I think it can be a very useful tool and support a very hectic schedule.
Cons: the part that was most discouraging for me was that am not very computer savvy and i had a great deal of issues in setting it up.

Overall Calendly is a good way to allow others to see what times you're available. It was great when working with a smaller team.
Pros: Calendly offered an easy way to schedule events and meetings while keeping everyone on the same page. It was an affordable option as well.
Cons: There were a good amount of bugs that I experienced, with links not working and appointments not appearing properly.

A really good and popular calendar booking tool. For the extra cost, you do get a nicer looking tool with more features and customization over something that is natively built into M365 (Microsoft Bookings)
Pros: Easy to use and modern looking scheduling tool. Integrates well with Outlook and/or Gmail. Setup is easy to connect to your calendar and then you can either generate a booking link and send it out or embed it into your email signature. Its nice you can generate different booking links for different events or for groups of people. Intergrates with other 3rd party apps well (Zoom, Salesforce, LinkedIn, etc.)
Cons: You need to upgrade to at least the mid tier subscription before you can integrate it with other business apps such as Salesforce and Hubspot. Also need the higher subscription if you want to configure SSO with your IDP (Entra ID or Google Workspace). Pricing is competaitive when compared to other vendors.

Pros: we can modify to show only the available days. This helps us to schedule meetings instantly without looking at conflicts.
Cons: Calendly is recently evolving and have only few features. It would be better if it had more features.

As someone who relies on Calendly specifically for client-facing scheduling via my website, it delivers exactly what it promises. Setting it up wasn't complicated, and once it was live, clients took to it immediately without needing any guidance from me. Customer support has been responsive whenever I've had questions, and the platform has been rock solid — no bugs or downtime that ever disrupted a booking. The value for money on the paid plan is solid given how much time it saves on both my end and my clients'. If you work with clients and want a professional, frictionless booking experience on your website, Calendly is the tool to get.
Pros: Honestly, the biggest win for me has been the time it saves. Before Calendly, I was going back and forth with clients just to find a meeting time, now they just click a link on my website and pick a slot that works for them. It's so easy to use that I've never had a client complain they couldn't figure it out, which says a lot. The features like automatic reminders and setting my own availability mean I rarely deal with no-shows or last-minute surprises anymore. For what you pay, the value is genuinely there, especially once you start using it daily. The platform has also been very stable, I haven't run into any bugs or technical issues that disrupted a client booking. When I was getting set up and had a couple of questions, customer support got back to me without much fuss. Being able to include information in the confirmation email also helped with sharing what clients need before our meeting.
Cons: The free plan is quite limited if you want more advanced features like multiple event types or deeper integrations. Some of the more useful customisation options — like removing Calendly branding or adding routing forms — are locked behind higher-tier plans, which can feel restrictive for small business owners. File sharing or sending documents alongside a booking confirmation isn't natively supported, which would be a great addition for client onboarding workflows.

Pros: Calendly makes it easy for clients or team members to schedule appointments at times that work for both of us.
Cons: The free version is understandably quite limited, but the features unlocked by upgrading are quality.

Calendly is genuinely one of those tools that quietly improves your workflow without you having to think about it. For client-facing scheduling, it's hard to beat. My only hesitation is the pricing structure — I'd love a leaner paid option for users with simple, basic needs. That aside, it's a 5-star tool that I'd recommend to anyone who manages external meetings regularly.
Pros: Calendly has completely eliminated the back-and-forth of scheduling client meetings. I just share my link, and clients book directly based on my availability—it's seamless, professional, and saves real time. Setup is straightforward, and the experience for clients on the receiving end is smooth and polished.
Cons: The pricing tiers feel like a gap. The free plan doesn't quite cover everything you need for professional client use, but the next paid tier has more features than I'll ever use—so it feels like overpaying for functionality that isn't relevant to me. A middle-ground option would make it much easier to justify the cost.

Pros: $94
Cons: There honestly aren’t many major downsides to using Calendly, but if I had to point out a few minor ones, they’re pretty small in the grand scheme of things. Some of the more advanced features—like deeper customization or automation—are only available on the paid plans, but for most basic scheduling needs, the standard features work really well. There can also be a slight learning curve when setting up more detailed workflows or multiple event types, but once everything is configured, it runs very smoothly. Other than that, customization is somewhat limited if you’re looking for a fully branded, built-from-scratch experience—but for what it’s designed to do, it still looks clean and professional. Overall, the “cons” are pretty minimal and don’t take away from how effective and time-saving the platform is.

I use it so that students and alumni can easily schedule meeting times with me that meet their needs and fit into my availability.
Pros: How you can customize your calendar preferences. I was able to set up my scheduling so that meetings must be a certain minimum number of hours out from the time they are made. This way I don't have any "surprise" appointments.
Cons: Not much really. I think the functionality of the system has improved significantly since it first became available.
Heidi B. · Judicial Clerkship Program Manager · Education Management · April 13, 2026
Overall the tool was easy to setup and integrate into my look and feel. I had to consolidate multiple calendars into one master, but that is just good practice I should have done anyway.
Pros: I am using the free version of Canlendly and having good success. I found it easy to setup and configure for integration into my website. I also have been sending the link via text when I need someone to schedule time with me.
Cons: The free version is limited and I imagine I’ll eventually switch to the paid version to handle more appointment types.
Frank B. · Principal Broker · Real Estate · April 13, 2026
The best entry-level scheduling platform that integrates seamlessly with your personal calendar. The free version is unparalleled to other calendar schedulers, while modestly offering one event type. As you grow, Calendly offers affordable price points to satisfy your various scheduling needs.
Pros: Integration with my Google calendar, ability to set up a completely free account with one event type, can add questions to the scheduling link, customization over my hours of availability
Cons: The software integrations are a bit limited but the major apps are listed, only one event type as an option on the free plan, live chat support available but the agents have not always been competent to help me with my issues
Melanie M. · Astrologer · Consumer Services · April 11, 2026
Calendly is part of my daily workflow to manage meetings without the usual back -and- forth emails.
Pros: It’s straightforward and saves a lot of time when coordinating with clients or team members. The ability to share availability and automate bookings makes scheduling much more efficient.
Cons: For more complex scheduling needs, customization can feel a bit limited. It works best for standard meeting setups.
Jamie H. · Executive Vice President at FEVO · Information Technology and Services · April 7, 2026
Pros: Calendly has great features that are user friendly like sharing multiple calendars and not over scheduling multiple events. The video call option is helpful too. The customer support is great and it’s very simple to set up and get started quickly
Cons: Integration with Google is sometimes tricky when events are on the calendar but not marked as “busy” so calendly schedules over them
Tara C. · Counselor · Education Management · April 3, 2026
Pros: I have been using Calendly for a while now and it became an important tool in my daily life workflow. It made scheduling very easier for me. I just need to send a link and people can book into my calendar directly.
Cons: I feel like customization can be improved a bit, you can change how your booking page look but it's not very flexible.
Zain H. · CEO · Information Technology and Services · March 31, 2026
Pros: The ability to create different event types is great, each w/ its own rules, availability, and conditions, makes it easy to handle a wide range of use cases w/o manual coordination. Calendly is most valuable for how flexible it is around scheduling logic. The advanced settings (buffers, limits, availability controls) are useful since I have different needs and types of external meetings. They allow me to protect my time, avoid overbooking, and adapt scheduling rules to different stakeholders and contexts. To sum it up, it reduced back and forth, removed friction from coordination, and made scheduling predictable and scalable, especially in environments, like mine, where calendars are already overloaded.
Cons: There is nothing specific or major that I don't like. On the other hand, currently, I've been using AI tools to manage my calendar.
Samanta J. · Head of Talent Acquisition · Computer Software · March 28, 2026
Good support, good platform, good system and the way we have been using their api for our company have improve our customer journey
Pros: How solid the platform is and after many year of usage it has never dissapoint us and for any startup or company i highly recommend it
Cons: I keep my original review that i haven't found anything that i don't like about calendly they are good.
Osman F. · Marketing Support Manager · E-Learning · March 27, 2026
It provided the bare minimum amount of features we needed for daily operations but did not have the level of detail and options I was hoping for.
Pros: For the most part, Calendly is easy to use but I do think a lot of features could be improved to make the platform more efficient.
Cons: The free version does not have many features at all and when you upgrade to a paid version I still wasn't very impressed with the scheduling options for the high volume of scheduling and variety of appointment types we have.
Caitie W. · General Manager · Health, Wellness and Fitness · March 27, 2026
Good experience, no bugs or issues, sends alerts immediately, we have the free version fo value for money absolutely.
Pros: I found it very easy to set up. Looks professional and works as it should. Simple for leads to book a chat with our team, seems to have lots of features available however for what we need it's simple and easy.
Cons: Do not have any issues with it as of yet. Very simple to set up, adding multiple team members, allotted times etc.
Joe T. · Head of Marketing · Information Technology and Services · March 27, 2026
Overall, I enjoy using Calendly for scheduling appointments. It's pretty simple to set up and allows for an easy user experience.
Pros: I like that Calendly lets me created appointments with people both in and outside of my organization.
Cons: I wish that Calendly offered more events for the free version, but overall I am happy with how it works.
Claire S. · Computer Science Teacher · Primary/Secondary Education · March 26, 2026
Pros: It's convenient, it integrates well with Google and other calendar systems. Clients/students/anyone can book apppointments easily. There are customizations available
Cons: It's a little clunky on the backend; you can customize things but only so much. The round robin feature is good, but more complicated than needed.
Anonymous User · Career Services · Higher Education · March 26, 2026
Overall, I really like big spreads that I had with calendly. It's quite versatile and I like how you think.Customize different things.Even down to the the ending of the link, even if you can't change the actual beginning of it, you can change the end.Which is quite convenient for customization
Pros: I like the fact that even on the free plan, you're still able to have one meeting link that you can use for multiple things.Until you need other ones, and it's quite affordable
Cons: I'm I don't like the fact that when you have the meetings like you can't customize the links to be something else like it has to say calendly almost like you can't mask the fact that you're using calendly. But over at all, that's not any real thing that I didn't like
