Our adjustment to SmartRec was fairly smooth with few hiccups. Our families were able to figure out registration with relative ease.
Pros: SmartRec allows us to automatically charge families for monthly child care costs, have immediate enrollment for programs, and generally manage our registrations.
Cons: In our area, we are required to have printed, physical copies of registration information for each participant. SmartRec does not quite provide an easy system for this documentation.

This streamlined a huge amount of work in allocating spaces available for programs and I would not want to return to any other system for that, but for other aspects of the program, improvements would be great.
Pros: I love how you can set a limit to the number of participants per activity and that families can see the number of spaces available or the number of participants on the waitlist.
Cons: It is difficult to customize some situations, printing the children's files is difficult, and it does not provide yearly tax receipts for families, or sign children in/out multiple times per day, though this is something we were told it would do.

Been good overall, though the ability to not be able to modify is frustrating at times
Pros: The ability to put program registration into the customers hands
Cons: Limited functionality, the is not a lot of room to modify to personal needs
Michael S. · Managing Director · Education Management · February 24, 2025
Pros: Very easy to integrate for developers. The API documentation is fairly robust. The recommendation system is also extremely useful.
Cons: The pricing model may drive away smaller businesses, and teams with limited budgets. The system is also complex especially if you're new to using smart rec.

Pros: The online store was a good option and generally easy to use
Cons: It is not integrated into a website so you need two different platforms

Our clients were seeking a software solution that could easily manage multiple locations and simplify the booking process. We discovered Amilia online and were impressed by a positive review from another client, which led us to explore it further.
Pros: From the initial inquiry to full implementation, the Amilia team were excellent throughout our experience. They provided excellent guidance and support at every step of the way. The software itself is user-friendly, both for our backend operations and for customers. We've received positive feedback from customers about how simple and seamless the booking process is. Additionally, Amilia offers a wide range of features that were crucial to our decision. We needed to manage multiple locations, incorporate a calendar, handle eCommerce, and more—and Amilia provided a solution for each requirement.
Cons: The only downside we've encountered is that tickets cannot be refunded directly, only credited back.

Overall there are some things that I really like but not sure if the things we really dislike are a dealbreaker. We have 6 months left on our contract and feel a little stuck. Doubtful we will renew.
Pros: I like that someone can do their registration and input their own information as well as sign forms. I like that once registered we are able to do the attendance based off of the registration. I also like that is shows how many spots are available when registering.
Cons: The system is very difficult to use. After training and 6 months later, I still have to contact support weekly on how to do stuff because it is difficult to maneuver. Payments take a long time to get into our account (7-8 days) vs the competition (1-2 days). We stopped processing payments with Amilia. Also if you have to stop payments or make changes it is very difficult to do. It's not just cancel and done. Lastly my customers found the installments confusing. It shows the yearly payment. in my industry some people do charge monthly what we charge in a year. I would work better to have installments listed as monthly instead of annually. Also don't like you have to sign up for a yearly contract. We are just stuck with the service if we are not happy. Lastly credit card fees should be deducted when the transaction happens instead of being invoiced at the end of the month.

Our overall experience with SmartRec has been exceptional. The platform’s intuitive design and user-friendly interface have greatly improved our staff’s efficiency and productivity. By streamlining administrative tasks, SmartRec has allowed our team to spend less time on the computer and more time actively engaging with our customers. The CRM’s robust features, including easy customer data management and seamless communication tools, have helped us build stronger relationships with our clientele. It’s truly made a world of difference in how we operate, enhancing both our service quality and team morale.
Pros: The customer service and their willingness to adapt the product.
Cons: Not being able to choose your own credit card processor.
Shannon H. · President CEO · Non-Profit Organization Management · September 6, 2024
Pros: Registrations are easy for members and ADMINS
Cons: Sometimes it's hard for our business to understand how it works/
Mark K. · CSR · Sports · September 5, 2024
Overall, I would rate this system at 3/5 stars. Should customer service enhance, I would be inclined to raise it to 4 stars. If they manage to improve the overall experience by incorporating volunteers, implementing email features, and streamlining the scholarship award process, I would be happy to award them a 5-star rating.
Pros: I really enjoy that Adult and Youth Programs can be accessed through the same interface. It’s such a big help for organizations managing both programs at the same time. I also love the organized home page that lets you see the most recent registrations, merchandise orders, and more. Setting up programs is fast and straightforward, with everything conveniently located in one spot. Gathering data for rosters is fantastic, although the medical form feature could use some improvement.
Cons: $7a

I like that things are growing and expanding. I think updates are less often than I thought they would. I do enjoy the way things are set up for our staff to use, and I like the contracts feature. The support has been good as well.
Pros: I love the user interface and how easy it is for people to navigate on the back end.
Cons: That creating an account doesn't finish the registration. That there is no team or schedule creation feature, and no communication feature.
Eric H. · Parks and Recreation Supervisor · Recreational Facilities and Services · September 3, 2024
Overall, our business enjoys using this but as mentioned there are some aspects that need to be improved and considered. Businesses with funding - the charges on refunds seems high as well.
Pros: Its great for programs that are one time programs such as camps, drop in classes etc.
Cons: I find it difficult and complicated on the administrative side for subcriptions and when clients find loopholes in the system that we did not know exist. Running a child care center with multiple government funding - I am unsure with the subscriptions and our clients running into loopholes like not putting their card details in the system makes it for a longer problem solving process
Amanda K. · Director of Operations · Child Day Care Services · August 30, 2024
Well adapted product for all type of organisation
Pros: Fonctionnalities Friendly users Good support team
Cons: Pricing by trade for non lucrative organisation
David C. · President - administrator · Sports · August 28, 2024
We have just started using it but so far we are pleased aside from a few tweaks/enhancements that would make our work arounds less necessary.
Pros: We love how it integrates class registration and facility bookings with our CRM, Salesforce.
Cons: We would like cancellation policies to be able to be applied to facility bookings and for renters to be able to edit/cancel bookings themselves online based on the policy applied. We would also like membership status to be applied to facility booking renters as we can do for Activities. We would also like the ability to send a "hidden" link to studio/facility bookings in the way we can send a hidden link for an Activity. We would also like the ability to block a client from renting, putting a "do not rent" on their account if behavior or financial matters need to be addressed.
Vanessa A. · Senior Director of Finance and Operations · Performing Arts · August 28, 2024
Pros: Smart Rec is an amazing experience. Easy to use and follow.
Cons: I did not like how members can't find it easier to access.
Brian L. · Customer Service Rep · Non-Profit Organization Management · August 28, 2024
Overall, the experience with SmartRec has been amazing. The entire process from sales, to implementation, to continued support has been stellar. At no point have we been left out to dry on our own.
Pros: The connection between activities and the calendar is seamless. Data is easy to pull and manipulate. End user experience is easy and friendly. Customer support is very helpful and resolute. Any bugs or issues (of which there are very few) are resolved quickly, or updates provided on a regular basis.
Cons: Not having language translations outside of English and French. Not being able to mark attendance as tardy (not just present or absent). Not having as much control/manipulation of the private lesson module.
Amy B. · Director of Program Operations · Music · August 28, 2024
Positive after adjustment time on the front end
Pros: User-friendliness, aesthetics, response-time, customer service
Cons: Lack of reporting capabilities, repetitive information required during purchases, capabilities around mass editing, ability to toggle memberships to different categories in the middle of the month, ability to retain payment information attached to a users account
Kyle G. · CEO · Health, Wellness and Fitness · August 28, 2024
Pros: The simplicity of the program and being able to make it easy for my camp directors
Cons: Reporting section needs to be able to show over a longer time period
Matt Z. · Camp Manager · Sports · August 28, 2024
I love the wide variety of activities available. Whatever my interest, I always find interesting and exciting options to participate in.
Pros: I liked how easy and convenient it makes the registration and payment process for online activities. Before using this platform, I used to waste a lot of time trying to find and sign up for community activities. But now, everything is in one place and I can do it from the comfort of my home.
Cons: I don't like the fact that not all activities offer a refund option in case of cancellation. This can be inconvenient if something unexpected arises and I cannot attend an activity that I have already paid for.
Raul Antonio Z. · Graduate · Entertainment · July 1, 2023
Overall its a great platform to record everything important.
Pros: Its very user friendly and easy to use and navigate. would recommend it any day.
Cons: Can be more detailed what to record and when
Werner S. · operator · Mining & Metals · May 13, 2023
A positive one. To further enhance our experience, it would be incredibly helpful to have the ability to add events via ticking, as well as a map view of our campsites and cabins, and a calendar view that shows facility availability. The addition of these features would greatly improve your product for our needs
Pros: The greatest advantage of SmartRec is the customer service staff's availability and willingness to assist with any issues or queries. From our first conversation with a SmartRec sales representative to our daily interactions with the support staff, these exchanges have been of top quality. If a staff member doesn't know the answer to a question, they promptly provide one.
Cons: Unfortunately, the software currently doesn't offer a map view of our campsites, which would allow our guests to choose the perfect site for them based on its location in relation to amenities such as restrooms, showers, dump stations, office, etc. Moreover, it would be highly beneficial for campgrounds like ours to have a simple and user-friendly calendar that shows the available cabins and campsites. While the current facility calendar provides information about what is already booked, it's not the most efficient way for our front desk staff to convey information to walk-in guests about available sites and buildings.
Jr P. · Director of County Parks & Recreation · Government Administration · February 22, 2023
SmartRec has been an amazing investment for our organizations. The platform enables customers to perform most functions on their own, anywhere with an internet connection. The robust features and reporting capabilities have helped our organization better understand our clients to offer programs and services that are highly desired. The customer support and account team are incredible. Any issues we've encountered have been resolved almost immediately. I would definitely recommend using SmartRec over some of the other "big players" that have typically dominated the parks and recreation software world.
Pros: Amilia's user and administrator interfaces are extremely user-friendly and easy to navigate. The software has many amazing features to streamline all your operations into one software. The customer service is top-notch, and the company is always working on making improvements and enhancements to the platform!
Cons: Coming from a system that was nearly 20 years old, the initial implementation process was challenging for some users, but that is to be expected with learning any new software.
Ryan B. · Deputy Director · Government Administration · February 21, 2023
Jonathan P. · Directeur · Sports · February 8, 2023
We have had very good experience with Smart Rec which we have had for one year now.
Pros: The customer service is first rate. Whenever we have a question or concern the Customer Service team is always available to give a quick answer to any issue we have.
Cons: We are very happy with the software and do not have a what we like least.
