Overall, it’s been a good experience. It’s a useful tool once you get used to it, but there’s definitely a learning curve.
Pros: I like how easy it is to see project progress and manage resources. The reporting tools are helpful and give good visibility into what’s going on.
Cons: It can be a bit confusing to use at first, and some things take more steps than they probably should.

Pros: What I liked most about Kantata is its ability to centralize projects, people, and financial performance in one platform. In practice, this is very valuable when managing multiple engagements simultaneously. For example, having real-time visibility on utilization, project margins, staffing capacity, and burn rates helps management make faster and better decisions.
Cons: What I liked least about Kantata is that the platform can feel complex at first. In practice, configuration, reporting logic, and integrations may require internal ownership or dedicated admins. It can also be expensive for smaller teams with lighter operational needs

Overall, I think the idea of having everything available in one program is great for a small account with a few projects, however I feel that a lot of the features go missed with a large account. There are a lot of tasks that require multiple steps and with that needing double checked once complete, which can sometimes feel like you don't have time to manage other responsibilities because there are so many steps with project creation.
Pros: I think Kantana has done a great job in their timeline developments, time tracking, and resource allocation.
Cons: I do sometimes feel as if there are too many moving parts in Kantata which makes it difficult to follow each step involved with project creation, etc. This would be a great resource for a small account, but it tends to get tedious with big accounts with a high volume of projects. Additionally, there are frequently bugs with resourcing allocation where the timeline says one thing, but the hours are behind. So needing to double check every time hours are distributed gets tedious.

Kantata feels powerful and enterprise-ready, especially for agencies or services teams that need visibility into resourcing and financials. When it’s well configured, it gives leadership-level clarity, but it does require discipline and admin effort to keep setups consistent and reporting trustworthy.
Pros: It gives a clear picture of project health in one place—resourcing, budgets, and delivery status are tied together, so you’re not stitching reports from multiple tools. I also like that it makes capacity planning more concrete, especially when multiple projects are competing for the same people.
Cons: It often takes extra configuration to build dashboards that answer simple questions (forecast vs actuals, utilization by team, burn vs budget), and small changes to fields can break a report. It can also feel heavy for day-to-day use: logging time and updating project details can involve too many clicks, and if project setup isn’t standardized, data quality drifts quickly (duplicate fields, inconsistent naming, mismatched project types).

Pros: Some pros for Kantata are great project tracking and customer support team. The project tracking allows effective and in depth revenue management. The customer support team is fast responding and resolving the issue.
Cons: Some cons for using Kantata are it can be expensive for smaller businesses and it is challenging to use when you are a new user. Definitely have to be trained properly.

Having everything (Budget, Billing) in one location gives credibility to clients as we send them reports. Not having to open 5 Tabs at the same time to see the budget and billing information is a plus. I am simply happy that the proofing for those large files will upload, even if it is slow. In the workload planner view, we can determine who is working the most.
Pros: I am writing this message, while the heating unit located in my office is clicking, clicking, clicking I’m glad your Kanban boards moved when I clicked on them, I was afraid they would be extremely slow and therefore annoying. I received a response immediately from [sensitive content hidden] in Support which I did not expect. The system saves me a lot of time creating the template for each of the recurring items. I like the timer feature to track our developers and their billable hours.
Cons: I think the email notifications are way too many unless you turn them off completely. I believe my largest complaint is how long it takes the scheduler to load due to the fact the data gets updated each time I scroll through the scheduler and honestly causes eye strain. When you have very large projects, the mobile app is essentially worthless, it freezes constantly.

The functionality is there but the complexity and setup effort made it hard to justify moving forward. A good option for mature, services-based teams that need deep project and resource management.
Pros: Clean, modern interface and a thoughtful feature set built with real-time inventory visibility in mind. During the free trial, it was easy to explore basic tools
Cons: The platform felt heavy for my needs. There’s a noticeable learning curve and many features require upfront configuration and training to use effectively. For our smaller teams and simple workflows, it felt overwhelming and the value wasn't immediately clear during a short trial period.

Very good experience as the features had great look and feel, helped make invoicing and task management great, I'll recommend it again and again
Pros: Great value for money as the customer support was always avaliable to resolve issues which help with ease of use
Cons: Project collaboration as it requires navigating through several tabs to get to which always take a little bit of time

I enjoyed working with Kantata. Entering the number of hours worked per employee was easy and quick. Setting up and running reports was easy and very essential to manage teams and project teams. This was a very good tool and was tied directly to our project accounting.
Pros: Kantata was a great tool for tracking employee hours worked on different projects. It is easy to use for data entry, and creating and reviewing reports for individuals, teams, and project teams.
Cons: I did not have any negative experiences with Kantata that I can remember. The data entry seemed to work quickly and accurately. Setting up and running reports also seemed to work smoothly.

great, i wish they would add more accounting into the system like project overhead and non-billable peoples hours and behind the scene stuff
Pros: It has alot of depth and capabilities. I like it's abilities to give you actual usable data and for people to connect on the system
Cons: could be a little more user friendly. There is a descent learning curve but once you get the ecosystem figured out you can navigate easily

Since we started using Kantata, we have managed to optimize our workforce and improve their performance. It has facilitated communication and collaboration among staff, which has improved teamwork and efficiency.
Pros: Kantata is a tool that allows you to assign the right staff to projects based on their skills, availability, and costs. It facilitates staff capacity planning, time tracking, attendance, and performance.
Cons: I have no negative aspects to comment on about this tool.

I signed up to use for task management but because of the pricing the sign up process and difficulties navigating around their site along with a poor mobile app I declined to proceed with this company
Pros: Love the features such as task management and the fact it is useful for business of any size
Cons: Expensive! And mobile app sucks which didn't work for me and the site is layed out difficult to navigate on
April W. · Administration · Retail · January 11, 2025
It was overall great, other than the aforementioned issues
Pros: Super easy to setup and get started. Works well.
Cons: Sometimes froze. Seems to have some software limitations, but I can move past that.
Aiden A. · Ceo · Computer Software · November 10, 2024

Hitesh J. · Project Coordinator · Information Technology and Services · August 21, 2024
Pros: Customization and the integration with Jira

Pedro B. · Ops Analyst · Information Technology and Services · August 12, 2024
Really happy with the product and continuing to learn more each day
Pros: User friendly and insights configuration
Cons: Reports not able to update in real time. Takes 30-40min to refresh data
Kiri D. · PMO and Operations Coordinator · Consumer Services · August 9, 2024
My overall experience with Kantata excellent
Pros: Designed specifically for professional services and benefits are measured over time
Cons: The application could be more up to date and visıually simplified
Aziz O. · Co-Founder · Computer Software · June 23, 2024
The overall experience was positive - the implementation went well and the consultant kept us focused on the core items we wanted to implement first.
Pros: The best feature of Kantata is that is provides a combination of Professional Services Automation (the ability to track time, assignments, tasks, project margins, etc.) along with an end-customer collaboration capability to jointly track project task progress, shared documents, and shared task progress.
Cons: The more challenging part of Kantata is the custom reporting aspects. During implementation, we have several custom reports built by the Kantata team. These are working acceptably, but if you want to modify or change those reports it takes a pretty high level of knowledge and experience.
Andy B. · VP, Services and Support · Industrial Automation · May 17, 2024
I can keep track of time, which is what has helped me deliver tasks faster than the final delivery date and keep track of projects to manage the good and bad things to fix.
Pros: It has made it easier for me to assign tasks to each of my colleagues to ultimately bring them together in a single project and be able to make better decisions based on real graphs and thus reduce the final delivery time of each project. I can develop multiple projects at the same time, managing to advance faster in each one without confusion.
Cons: I only ask kantata to improve customer service in terms of response time not being so long since sometimes they are responses that take a week to give a solution, it is the only bad thing I see in kantata
Zoe H. · accountancy · Mental Health Care · April 30, 2024
I streamline and improve the processes, allowing me to have improved control over each one for monitoring and final completion, saving me project completion time.
Pros: It has been a good ally to improve project delivery times, by being able to divide the tasks into different groups and having the follow-up of each one makes time work and gather all the final information already finished. Since I used kantata I manage my way of working better with improved administration with my colleagues and thus we all work more organized and fix in real time what needs to be changed with the monitoring of the progress that is updated
Cons: There is nothing to change or to say that I dislike it, personally the entire system has always worked well for me.
Caroline B. · Bachelor in Supply Chain Management · Consumer Goods · April 8, 2024
Pros: It was available at the moment . It easily helped reorganize my project and was able go recover lost time and get the project back on track
Cons: Price was. Out of reach for me currently and had to pause it.
Kaitlin C. · Executive director · Non-Profit Organization Management · April 7, 2024
Pros: The time tracking and resource allocation features are very well integrated into the system (and with other systems like Jira). This has become our main view of anything to do with scheduling and timesheet management.
Cons: To be fair, this is not about Kantata but the integration. While well done, Kantata replicates all comments from Jira and that leads to duplicate comments and notifications. It is more of an annoyance rather than a real problem.
Hussain A. · Director of Developer Experience · Information Technology and Services · April 5, 2024
Pros: Great to track / approve timesheets and allocate resources in your plan
Cons: Bugs stands forever and it’s not easy to use and navigate for first time users.
Anonymous User · Program manager · Computer Software · April 5, 2024
Pros: The project tracking, in terms of the timesheet collection and revenue management this works great for our business and is absolutely essential.
Cons: From an overall user perspective, the system can be quite clunky to use without adequate training which has caused some hiccups.
Ethan E. · PMO · Financial Services · March 23, 2024
Pros: It was relatively easy to use and teach others how to use
Cons: Overall it felt a bit fussy. There were more options than we needed and it sometimes felt overwhelming.
