Knowify

Pros: Moving from a more service oriented CRM, job costing was the main reason for the switch. Specifically bid vs actuals and how time is tracked onto projects. The granular nature of the bidding and tracking process has given me a much clearer picture of my producticity and profitability. Additionally, as I'm starting to branch into prevailing wage projects, the natural flow pushes toward AIA bidding which is a requirement on many of those projects.

Cons: Hard to give much criticism so far. The software is pretty robust and comes with a learning curve. That said, the support's been great and to emphasize a previous point, it really forces you to see your business as a whole.

Pros: Definitely the online support. All products do offer same idea on what we need but it is the support that makes this program stand out.

Cons: The plan and track percentage increase option on the labor. Would be so much better if they gave the option for set rates like the Cost plus time & materials option.

Pros: It makes our job costing and management much easier. We used to use paper as backup for our transactions, now mostly everything is electronic, and with the numbering system it's easy to find what you're looking for fast. Invoicing and payments are easy to track. The platform seems secure as well. So far the value for our money has been worth it.

Cons: There are changes made behind the scenes that are not always the best for our business, but they are able to adapt to our needs.

Pros: Project organization. Job expense tracking. Knowify connects with Quickbooks for my book keeper to keep us up to date tracking job costs.

Cons: time in/out tracking on the app. Guys have a hard time with time entry. We have guys fill out hard copies too. Must be an easier way to log in/out

Pros: As a small GC with limited management staff, Knowify is comprehensive enough to cover most things but not too big that the system becomes cumbersome to manage. AIA billing is primary reason we selected this product for our business. The ability to sync financial transactions with Quickbooks is also a key feature we could not do without.

Cons: The submittal process is not ideal, the flow is difficult to manage and it is lacking some functionality that would be nice to help manage the submittal process. Project Management/Scheduling is adequate, but definitely has some room for improvement. And for subcontracts, I don't like that a single subcontract cannot include multiple phases of a project.

Pros: It keeps our expenses organized and all documents regarding projects organized. We’ve ditched the spreadsheets which has given us so much more time for other things.

Cons: I would love more integrations with accounting tasks that don’t require syncing different softwares.

Pros: The ease of most of the software. There are a few things still not working as we need them to. But hopefully they will be rectified soon.

Cons: That I have made suggestions that seem to fall on deaf ears through the feedback portal. They may be merely suggestions to Knowify, but they are must haves for our office staff. We need to be able to search for customers by phone number or address or even their email address. We also need a print function, without having to download and print from there. It is time consuming to have all of these extra steps just to print something.

Pros: I love the fact that Knowify is cloud based, It has given our office more avenues to perform our daily duties.

Cons: What I have found most unfavorable is how when working with the Forman time reporting you have to be very careful of the date. I have not found out where if after time has been added in and the date was not changed at the beginning you have to restart the whole day or go into the review time tab and correct each entry. Can be a time costing mistake to not have the proper day when you start

Pros: The customer service is amazing as someone who has never dealt with Knowify. Also I like that you can really see how your project is doing.

Cons: Im not too fond of the billing aspect of it. Like the fact that you cannot switch to AIA once it is fixed if there is an open change order. I feel like of nothing has been billed you should still be able to change

Pros: I like that Knowify syncs with Quickbooks and allows us greater project management abilities, like tracking hours, project phase, AIA style billing and so much more. There is a slight learning curve when setting up projects and linking things in the background. I believe it is a great value for the money.

Cons: I would like to be able to pick up the phone and make a call occasionally and not have to communicate via email. Although the team has been great about getting a speedy reply.

Pros: Knowify is a good value for the money project management system. It's easy to learn and very user friendly. It's available online & through their app making it easier to manage projects in the field and office. It syncs with QuickBooks allowing you to facilitate and coordinate both your project management and financials in a single entry. Knowify allows you to easily collaborate your project with your client too.

Cons: Knowify has made many improvements that have resolved some of the software limitations but there are still some that exist.

Pros: The ease of creating a Proposal, sending it to a client and allowing them a way of accepting it digitally. Knowify allows you to see the GP of your projects quickly and has a simple ways of accessing many tools.

Cons: The scheduling portion needs an overhaul, employees not assigned to a job don't have visibility of where other employees are assigned. There are times when the time tracking app glitches and closes. time tracking ans scheduling should be cleaner and easier.

Pros: Very user friendly, help desk response time is great. Love that it syncs well with quick books online.

Cons: Would like Knowify to have more options when entering change orders. Just had a meeting with our account manager about this

Pros: Makes tracking jobs, prospects and labor costs easy. I also like how easy it make invoicing. Before using Knowify we didn't really have a true understanding of our labor costs.

Cons: I wish the tasks for the job would be in the actual job profile- not just the task bar. That's really it. The customer support is great.

Pros: AIA billing feature is one of the easiest things I have dealt with. Additionally, we really appreciate the featuring vendor management and compliance. The Development team has been very accommodating on our companies needs. We enjoy working with Terrin and Christina.

Cons: The Gannt chart capabilities are clunky and a little complicated when it comes to dependencies. It may be more of a learning curve than anything. The resource board is a little complicated since our project have mutliple phases that the subcontractors are responsible for and when scheduled on one item they do not go over into other phases. [ie. if we have Electrical Rough in and Schedule Electrician A and we also have phase Electrical Top out it will not automatically pull the electrician into that phase meaning there is a lot of time input to make sure the schedules are correct. ] The bill approval integration with QB is annoying. When the bill is input into knowify it only allows the option to sync with QB or not PRIOR to the approval or rejection. This is annoying because bills that are not approved appear on the QB feed as though they were approved.

Pros: Integrated estimating + project management + billing saves us huge admin time. Love how RFIs, submittals, and change orders all tie back into budgets. The QuickBooks sync is clean compared to other platforms we’ve tried.

Cons: Knowify has helped us run tighter jobs, cut down on back-and-forth, and keep clients updated. It’s become our main hub for estimates, project tracking, and financials. Strong value for a growing contractor.

Pros: It was easy to edit invoice line items and customize proposals.

Cons: It would be nice to be able to move line items around to reorganize items without having to delete everything to move up a line item.

Pros: Knowify is very intuitive. It is easy to use and immensely helps with our daily project needs.

Cons: Knowify can seem sluggish when I am entering numerous bills.

Pros: The integration with QBO is top of the line. Customer service is excellent and quick to address any problems.

Cons: As with anything, the cost could be a little lower.

Pros: I’m in it every day doing my proposals and I just love it because of the ease of use and it’s just really nice to navigate because of the ease of use. It’s pretty much self-explanatory to me but you know I’m not a real big software guy even though I used to be a marketing manager for Computer Associates years ago. I should say and I don’t like software packages. Where you have to scratch your head and just waste time sitting there at the laptop when you have other things to do so this is to me is by far the easiest package I’ve ever used. I love it and I’m lost without it and it just makes my job 50% easier than without it

Cons: I can’t answer that because there’s nothing about Knowify that I don’t like

Cons: One of the pain points with Knowify is the generalities of its permission structure. We are actually working with their developers to create a more granular approach to this issue. Even though this is a "con," the fact that they truly listen and embrace our concerns, and then propose actual solutions is something we value greatly in our relationship with the Knowify team!On a lighter note, some of our folks just didn't like the name "Knowify." So, we took the orange "O" with the dashes on top and decided it was a head with a spiked hairdo. As such, we affectionately nicknamed Knowify. We call him "Spike"!

Pros: Online. Easy integration. Running quickly.

Cons: Client billing, retention and outstanding monies sometimes frustrating. Amending invoices can cause issues.
