Gatekeeper helps teams manage contracts, suppliers, and approvals with customizable workflows and centralized document control. Its standout benefit is visibility, with users relying on alerts and dashboards to track renewals and compliance. Advanced features like AI-powered risk scoring and PDF contract editing support legal and procurement teams. That said, setup complexity and pricing may not suit smaller firms.

I work for a mid-size company that has been decreasing in business so the cost is making us look for other options.
Pros: Gatekeeper has been noted as a very user-friendly interface that has lots of options in vendor management.
Cons: The cost will make it only worthwhile if you have a large operation or company. In addition, for small companies with simple needs it may be too complex.

Pros: It's pretty good at managing our access controls and keeping track of who's supposed to be where. The dashboard is quite informative, giving us a clear overview of our security posture. The audit trail feature is also a big plus for compliance reasons.
Cons: The user interface could be a bit more intuitive in places. Sometimes finding a specific setting takes longer than it should, and a few of the error messages aren't super clear. It took a bit to figure out some of the advanced configurations.

I keep all my files in one place, which allows me to maintain a more specific order with each supplier and also provide prompt service when information about each contract is needed.
Pros: A well-crafted contract used to take me hours or even days to complete, but now I've reduced my workload by 50%. Knowing that no important point has been left out of the contract undoubtedly makes the entire process of managing a good contract easier when a business agreement is reached with the client. Automated processes provide a simpler approach and make my work stand out for its speed and excellent performance.
Cons: In the time I've been using Gatekeeper, I can only say that it has worked perfectly for me every time, and its tools provide the best service.

my overall experience with Gatekeeper has been a positive one overall and i do use it for backup support in keeping my other profiles safe.
Pros: the thing i like the most about Gatekeeper is that there is more than step to get verified so they do there due diligence in keeping your profiles safe.
Cons: the thing i like the least about Gatekeeper is that the 2-step verification can be a bit time consuming if you're looking for a then and now sign in.

While Gatekeeper was largely effective, I did face some challenges with integrating it seamlessly into our existing systems. The API integration took longer than expected, and there was a learning curve when it came to some of the more advanced features.
Pros: The Gatekeeper team provides extensive implementation support, and the solution is incredibly user-friendly. With its clear search features, easy editing and uploading, workflow building, and custom fields, the user-friendly system makes it simple to add new entries and change old information. You are continually informed about how the system can improve your experience because it is supported by a wealth of user manuals and frequent sessions to update on new features.
Cons: The extra modules cost a lot of money. Certain custom developments might never be made available because they need to be approved by the Ideas Forum.

Pros: The functionality is really amazing. It is a great solution.
Cons: The user experience and look and feel could be better.
Spencer A. · Project Manager · Research · December 12, 2024
Mostly positive and overall works for what we need it for.
Pros: Mostly intuitive use & very responsive contacts/ AMs
Cons: Lots of fiddly changes spread out throughout the system (eg adding a group to workflow, actions need doing in lots of different sections)
Cath C. · Procurement Officer · Information Technology and Services · October 1, 2024
The system is easy to use and the customer service support is really good.
Pros: The customer service from the start of the project and superb ongoing support.
Cons: The current price structure could be better.
Geyssel G. · Controller · Venture Capital & Private Equity · August 26, 2024
Streamlined our Third-Party Management Process with Gatekeeper, made it far more efficient, visible and allowed us to become compliant with relevant regulations.
Pros: Made a disjointed process efficient, reportable and regulatory compliant.
Cons: As a result of it being so configurable, in some cases the knowledge articles are difficult to relate to personalised set ups.
Tanya M. · Head of Operational Resilience · Financial Services · June 21, 2024
Pros: GateKeeper offered many of the features of its bigger competitors but at a considerably more reasonable price point. An unexpected benefit is GateKeeper's workforce support. From sales [sensitive content hidden], to tech implementation [sensitive content hidden], to initial and continued customer support [sensitive content hidden], we have only experienced very attentive and professional interactions.
Cons: There are certain factors in the contract data that we don't think are necessary but are not able to deleted. I think the client should have the option to delete any data points.
Reema G. · Associate GC · Hospital & Health Care · June 14, 2024
[sensitive content hidden] supports the Evander account and is very helpful , it is just a shame we do not have the foresight as a business to purchase the whole package.
Pros: The confidence it gives me that we have a system that helps us with complaince , it is my go to place for all document , would love to have the full system.
Cons: There is nothing within the system we use that i do not like , just want the whole system.
Dale F. · Senior Buyer · Consumer Services · April 29, 2024
Very good. Will make a huge difference to our onboarding and contract management processes.
Pros: Easy to use and has lots of possibilities.
Cons: Finding help in the Help Centre. Not easy to find what you are looking for by searching.

Overall experience has been smooth and easy. Lots of support from the Gatekeeper support team and [sensitive content hidden] from New Zealand.
Pros: Definitely a good option for small to medium sized firms thinking about contract DBMS and its related services with lots of integration extension options with Docusign, Workato etc. ability to add conditional customizable fields Create customized workflows Can integrate to Power BI Easy to use from an admin and a user perspective Good support from the Gate Keeper Team Quick implementation
Cons: unable to edit core/mandatory Gate Keeper fields (atleast the ability to change the name and where it is placed)

I've implemented multiple software solutions in the past, and Gatekeeper has been, without a doubt, the best team to work with throughout implementation and management. We've gone from having very little confidence in the accuracy and completeness of our contract records, to being the team and the solution that the company turns to when they want to know about a contract. Our company's rapid growth and the absence of a good contract management solution left us desperate for a better "way". Having a system that helped us file, organize, and track existing contracts was the most important first step. As we've continued to use the system and commit to the process, we are now able to be pro active with our contracts. Gatekeeper is the single source of truth. We couldn't have turned that ship around without Gatekeeper and the Gatekeeper team's help.
Pros: The ability to customize was key. We strive to support each business unit's unique needs and processes, so a cookie cutter solution would have been too restrictive. With Gatekeeper we can shape our data and workflows to meet our teams' needs, instead of forcing them to conform to a software's built-in process. We knew adoption and integration would hinge on a system's ability adapt to OUR needs, not the other way around.
Cons: The customization's "dark" side is that it can take some time and commitment to learning how to create workflows and manage the custom data. Gatekeeper support was helpful for us in this learning process, though. Our support pros from Gatekeeper always respond promptly and truly listen to our issues and questions.

Very happy with the use of Gatekeeper! An excellent platform that has become the foundation of our contract management throughout the company.
Pros: Easy to implement, can cover all the basic requirements but can easily be extended in so many ways if you need it.
Cons: rather limited to no presence in continental Europe
Tom D. · Procurement Director · Media Production · March 4, 2024
Very positive - simplicity of the system well adapted to small organisations
Pros: The system is intuitive and easy to use.
Cons: Not customizable enough. The system of permissions should be more flexible
Fabien G. · Group Contracts and Procurement Manager · Oil & Energy · February 2, 2024
Good not great, but extremely functional for our current needs. I think the capabilities with Gatekeeper have a ton of promise, like the AI Extract and the Dashboard optimization, but it has been difficult to get the platform to do much more without added manual work on our end.
Pros: I like Gatekeeper's dashboard feature displaying all contracts input and executed agreements showing year over year. It is really easy to run a report if all the meta data is entered correctly. I also really like how sound of a contract repository it is.
Cons: The number of account turnover and the constant push to use GK workflows when our business is just not designed nor equipped to have workflows at the moment.
Chelsey A. · Senior Business Counsel · Sports · January 10, 2024
Fantastic system which has been invaluable to the business since it's implementation over 5 years ago.
Pros: Gatekeeper as brought all our contracts into one environment, allowing stakeholders, Procurement & legal teams to find, review and action agreements.
Cons: Workflows can be a bit tricky to set up, unless you pay for additional resource from GK.
Paul W. · Senior Procurement Manager · Media Production · December 19, 2023
Pros: You can easily upload documents and organise them. It can monitor potential financial risks (risk mitigation). It is like a repository to store all contract related documents.
Cons: It is a bit expensive in my opinion and as a beginner it can be a bit confusing to understand all of its functionalities, especially if you don't have experience in IT.

Time saving. It is quick and easy to locate a Supplier and view a Contract rather than scrolling through hundreds of emaills or searching for saved documents on your PC. Gatekeeper is a safe storage system for all of your secure documents. I have found all members of the Gatekeeper team very helpful, professional and easy to approach!
Pros: Gatekeeper is an excellent platform to store all documentation for each individual Supplier for your business. It is extremely user friendly. The system triggers advanced notifications to alert you when a Contract is due for renewal or an annual review, which can be easily set up to ensure that a Contract is never overdue. The emailing function is good. You can email Business Owners direct from Gatekeeper. All emails are stored within the individual Supplier card.
Cons: Once a document has been uploaded to Gatekeeper, you cannot rename or resave to a PDF. This would be a useful tool for main administrators.
Anna H. · Compliance Lead · Hospital & Health Care · November 6, 2023
We are looking forward to working with our account manager to creating enhancements in gatekeeper to help with our ongoing monitoring of vendors.
Pros: Very intuitive and easy to use system and we are able to track and manage contract's and renewals easily. Easy to navigate and build out workflows from templates yourself is a massive plus. Also the customer support has been great from our account manager who is always on hand to help with enhancements.
Cons: nothing to report we have an excellent experience so far.
Karishma S. · Procurement · Banking · November 2, 2023
Very positive, amazing support.
Pros: Visibility of contracts and lifecycles. Customisable data entry points. Dashboard for key insights and overview.
Cons: Ability to communicate with non users to the platform, i.e. to prompt a named representative even if they do not have a Gatekeeper profile.
Alex S. · Contract Analyst · Utilities · September 21, 2023
Overall it's a great tool and I would for sure recommend it for Contract Management/Supplier Onboarding
Pros: What I like most is that it's fairly intuitive. There are multiple ways to search for contracts/suppliers, and being able to build workflows/workflows from templates yourself is a massive plus. Also the customer support has been great from our [sensitive content hidden].
Cons: Sometimes it's difficult to remove things no longer needed (ex. remove blocked users because they're attached to an archived contract/supplier)It would also be great to export the "status" of the user.
Alexandra W. · Procurement Manager · Financial Services · June 29, 2023
It does its job a a contract repository and is easy to implement and train users in.
Pros: The ease of use. Uploading contracts is very intuitive, navigation and search functions are easy to use.
Cons: The abilities to customise reporting data of uploaded contracts could be improved.
Pauli F. · Insights & Digitalisation Manager · Chemicals · June 1, 2023
Todd has been a great partner is helping us through particular pain points.
Pros: The core functionality for the price.
Cons: Implementation did not convert cleanly from Word to PDF.
