OneTrust is the industry standard for web privacy for a reason. For us, the technical customization and scalability are the top pros to this tool. I can't even think of which tool would be the runner up unless it were a home grown and implemented solution. We operate on a global scale, so we need our cookie banners and privacy management to be able to change based on current country (and US state's) regulations.
Pros: What I like about OneTrust is that they know their niche and dig deeply into customization. They aren't trying to build a suite of products you do not need for privacy regulation. That being said, it is an enterprise level tool and the cost reflects that. If you are a small shop with a web presence primarily in one country, it's overkill.
Cons: The technical experience to correctly integrate OneTrust with your existing web tracking infrastructure is HIGH. You absolutely need partnership with web development to ensure that you're deploying the tags correctly. This is not the kind of tool a technical marketer can implement and govern on their own.

My overall experience with OneTrust was positive, as the platform provides a comprehensive set of tools that make managing privacy, compliance, and risk programs more structured and transparent. At the same time, its depth and complexity can require a meaningful learning curve, but once configured, it becomes a powerful system for driving consistent, repeatable processes.

Cons: I found OneTrust challenging at times because its extensive feature set can feel overwhelming to navigate. I also found that configuring and maintaining the platform requires significant time and effort, especially for smaller teams.

Over the last 2 years I have had the chance to test other software with similar functions to OneTrust, but I confirm that OneTrust is still the best software to run and record a Privacy programme among the ones I have personally tried. It is a very comprehensive and easy to set up software, with different competent support teams behind it. I really appreciated the new AI Governance features, which allow to record in depth AI models in use, as well as datasets and even single data fields. This allows to easily map where AI is used and for what purpose, and to act on any request to delete data when needed. A great asset to have to run a Privacy programme, especially for companies that handle significant volumes of data and vendors.
Pros: This is a great software, very comprehensive when it comes to Privacy compliance. I am really appreciating the AI Governance tools too, which allow to stay aware and record in detail all data assets, models and data sets used in different functions of a company. The API feature also allows to easily act on data stored in other systems connected to OneTrust (for example to erase them when requested by data subjects).
Cons: OneTrust used to offer many interactive trainings on Privacy, Compliance, AI and new OneTrust features that are constantly launched and updated. I recently heard that, unfortunately, they will not be updating their training materials anymore, at least not for the UK market. While this is unfortunate because I found their trainings easy to understand and useful, the other features of the product are still great.

Pros: The content and the daily updates are awesome. The best place to get info about the privacy regulations around the globe.
Cons: None. I like everything in the OneTrust plataform. It is easy to use, has everything we need and is always being updated.

Pros: You only pay for the services you need. Third party Vendor management is great. It is worth getting someone to help you setup the platform if you’re new to this.
Cons: While OneTrust has many positives, it does have a steep learning curve. Once you fully understand the platform, the potential is great.

My overall experience with One Trust is superb. The website is user-friendly and the contents are very useful and reliable.
Pros: One word: Access. I'm certain to find all data privacy news and updates on One Trust, including easy access to primary sources. This has greatly improved the quality of my research work.
Cons: Inadequate coverage of data privacy in Africa. I would like One Trust to improve on this aspect of its coverage.

Overall, I’ve found OneTrust to be a strong platform for managing privacy and compliance work—especially when you need to meet strict regulatory expectations across multiple jurisdictions. It’s not plug-and-play, but if you invest the time into setting it up properly, it really pays off. It’s helped bring structure and consistency to privacy operations, especially in areas like DPIAs, vendor management, and internal policy enforcement. It’s best suited to companies that are either highly regulated or rapidly scaling their compliance needs. If you’ve got the resources to implement and maintain it properly, it becomes an essential part of your toolkit.
Pros: What really stood out for me with OneTrust was its flexibility. It’s not a one-size-fits-all setup. You can build out your program using only the modules you need, which made it easier to scale things gradually. For example, we started with basic data mapping and DPIA workflows, and later added vendor risk assessments and some of the AI governance tools. It also does a good job at helping you stay aligned with various data protection laws—GDPR, HIPAA, CCPA, and so on—without needing to constantly reinvent the wheel. Templates are built in, but you can tweak them to suit your own use cases. That’s something a lot of other tools don’t offer. The integrations are solid too. Being able to hook it into Microsoft 365, ServiceNow, and Jira saved a lot of time and avoided duplicated effort between teams. Once it's set up, it becomes a central privacy hub that supports collaboration across legal, compliance, security, and even procurement.
Cons: The downside? It’s not exactly beginner-friendly. The platform has a lot going on, and unless you’ve got someone on the team who’s either done it before or is willing to go deep into configuration, it can feel quite heavy. Some modules, especially around risk scoring and third-party assessments, take a fair bit of trial and error to get right. Also, it can be sluggish at times—especially if you're dealing with large volumes of processing records or complex workflows. That’s more noticeable in bigger organisations, but still something to be aware of. And the cost… It adds up. The base platform covers the essentials, but anything more advanced usually comes with an extra price tag. That can be hard to justify for smaller teams unless you’re using it extensively.

Overall, good cookie and policy solution. Cookie banner design is flexible. Initial deployment is tricky. I really like the geolocation logic. I wish sync was faster and payments were more flexible.
Pros: I mostly use the Cookie Consent and Policy & Notice Management features. The cookie banner is pretty straight forward. The initial deployment is a little tricky, but once you do one you can do the rest. I like the geolocation feature for presenting different cookies/policies depending on the region. For example, one policy for Europe/GDPR, and another policy for Singapore/PDA.
Cons: I wish the payment options were more flexible. There is no month-to-month, just annual. Updates to the cookie/policy takes about 4 hours to sync with the live site. I wish this was shorter. Luckily, policy changes are infrequent. I wish OneTrust could handle multi-languages better. Translation is manual.

I’ve been trying to regain access to my OneTrust account for over 45 days after a simple domain change. Despite being a paying customer, I’ve been caught in a loop with no way to log in, no access to support, and no one taking responsibility for solving the issue. I’ve contacted several people, including sales contacts, multiple times. The only consistent response I’ve received is redirection — but no actual resolution. What’s even more frustrating is the contrast: the team was very proactive when it came to contract renewal. But once the contract is signed and paid for, you’re left alone, even if you can’t access the service at all. If you’re a small or medium-sized company, I strongly do not recommend working with OneTrust. Their support structure seems designed for large enterprises, and they don’t care when smaller clients are stuck. A critical tool like this should come with reliable, accountable support. Unfortunately, this has not been my experience.
Pros: The interface is clear, the features seem robust, and it gave the impression of being a solid and reliable compliance solution — which is what led us to choose OneTrust in the first place.
Cons: After a simple domain change, I lost access to the platform and was unable to reset my credentials. Since I couldn’t log in, I also couldn’t contact support — and despite multiple follow-ups over more than 40 days, no one took ownership of the issue. I was passed around between contacts without any resolution. For a paid service, this level of support is unacceptable.

The new interface and AI capabilities are great. The platform is tailored for data privacy professionals who need to stay compliant with complex, evolving privacy laws globally. Though it's a premium priced tool, if you're in HR, compliance, or operations and handle employee or customer data across jurisdictions, it's very valuable.
Pros: I like the country-specific guidance on data protection and privacy laws across multiple jurisdictions. A detailed analysis of GDPR & other global privacy regulations is very helpful. I find the comparison tool very useful for a multinational corporation like us which need to manage cross-border data compliance.
Cons: Budgeting OneTrust is difficult for smaller companies. Core modules often come at a premium, and costs escalate quickly as you scale or expand use cases.

For our team, OneTrust is fundamental in allowing us to proactively identify, evaluate, and mitigate IT and cybersecurity risks. Likewise, it helps us to assess and monitor risks related to third parties and to automate risk management and compliance tasks, thereby optimizing our teams' resources, among other functionalities.
Pros: OneTrust proves to be a fundamental platform for incorporating risk management and compliance into the flow of our daily operations, which translates into greater security, efficiency, and reliability in the handling of technology and information.
Cons: From my perspective, I don't see any disadvantages or criticisms that stand out about this platform.
Christine H. · Senior Director Information Technology · Telecommunications · May 6, 2025
Pros: Using OneTrust’s PreferenceChoice module, we have been able to effectively manage consent and choices on a very detailed level. The flexibility provided in terms of consent experience and user data management has been a great asset in ensuring customers’ trusts and global regulation.
Cons: The setup of initial consent banners and preference centers requires finer work due to the complexity of various area codes of regulations. If not properly addressed, this can lead to long implementation periods.
Abdelfattah H. · Senior Demand Planner · Mechanical or Industrial Engineering · May 4, 2025
Pros: Ethics Policy Management from OneTrust has been very useful for our company as it helps to manage policies in one place. Since adopting a system that enables policy authoring and management panel, the distribution of policies has become much easier.
Cons: The system is sometimes slow to offer full report details during high traffic hours. This may slow down the formation of conclusions for compliance audits in the cases when immediate information is needed.
Martin H. · Purchasing Analyst · Mechanical or Industrial Engineering · May 4, 2025
Pros: The Third-Party Risk Management module in OneTrust has significantly altered the way we approach and monitor the third parties. The flexibility of the risk assessment templates and frequent monitoring tools have enabled us to have updated information about risks inherent and have a concrete way of dealing with them before they happen.
Cons: There are a few things that can be improved, such as more seamless linking to some specific external data. Synchronization problems occur and this makes vendors’ information not to tally on the system which is resolved by manual verification.
Dimitri K. · Cultural mediator · Museums and Institutions · April 28, 2025
Pros: The best thing about OneTrust is their expertise in privacy and their easy to use interface which stands outs from its competitors.
Cons: The thing I liked least about OneTrust is mostly related to the accounting side of things. I found their billing page hard to find and had to reach out to customer support to gain access to invoices.
Mickey v. · Financial Controller · Computer Software · April 24, 2025

Overall, my experience with OneTrust has been really positive. It’s helped streamline our compliance processes and has made it much easier to track and manage data privacy across various regions. Their customer support is also pretty responsive whenever I’ve had questions.
Pros: OneTrust makes privacy management so much easier! The platform is very user-friendly, and the tools it offers for compliance are top-notch. I love how it helps me stay on top of regulations and automate a lot of the tasks that would otherwise take up a lot of time
Cons: One downside is that sometimes the interface feels a bit too busy, especially when there are a lot of different policies and documents to manage. It takes a bit of time to get used to navigating all the features.

i used Onetrust for vendor risk management , the automated reminders helped a lot for regular followups and assessments however it took some time for me to get acquainted with the software completely
Pros: It covers majorly all regulations , almost 50+ regulations and also has automated workflows which reduces manual intervention
Cons: It cannot be fully utilized by novice and requires training for maximum usage

good but some tech aspects can be better.
