Todoist helps individuals and small teams manage tasks and lightweight projects with structured scheduling and cross-device access. It’s most used by SMBs in IT services, education, and marketing. Users value visual task tracking and flexible editing. While it lacks advanced project tracking, recent updates like AI Assist and calendar batch actions improve planning speed and reduce manual effort.

Todoist has genuinely saved me a lot of mental space and time. It solved a real problem around fast, low-friction task capture — especially that quick-capture shortcut on Mac — and gives me confidence that everything I need to do is in one trusted spot. I did a fair amount of research before committing, comparing it to Things 3, a few other task tools, and Apple's Reminders. Todoist won out because it had the best shortcut and automation functionality plus a steady stream of thoughtful upgrades that show the product is heading in a great direction. After one to two years of daily use on the Pro plan, it's become a core part of how I run my work and client projects.
Pros: Todoist's biggest strength is how fast and frictionless it makes capturing and organizing work. I can dump any thought straight into the Inbox the second it occurs to me, then process and clear that Inbox every day so nothing slips through the cracks. The recurring tasks feature is excellent — the things I need to do daily for clients show up automatically, so I always know exactly what's on my plate and trust that it all lives in one place. Organizing tasks across projects keeps each client's work cleanly separated and easy to navigate. The standout for me is the keyboard-driven quick-capture shortcut on Mac: I can fire up a capture window instantly without breaking focus, which is huge for staying in flow. Setup was very easy, integrations and connections were simple to get running, and on the Pro plan the value is well worth it for how much mental overhead it removes.
Cons: Honestly there's very little I dislike. My main wish is for richer, note-style capture inside each task. Today a task has a description field, but I'd love a proper notes area on each item to go deeper — attaching files, links, and longer-form context rather than leaning on the description or comments. The newer voice/"ramble" capture is promising but doesn't always behave as expected; when I dictate a task with a long description, it sometimes splits the text into several separate tasks instead of keeping it as one task with a description. It's a new feature, so I expect it to improve. I'd also love for the Todoist assistant to be able to read the contents of files and emails forwarded into a task — when I email something in, a lot of the real work lives inside the attachment, and having the assistant actually see that content instead of me opening it manually would make it far more powerful.

My experience with Todoist has been very positive. It helped me stay organized, manage tasks more efficiently, and improve daily productivity.
Pros: Todoist is easy to use and great for staying organized. Creating tasks, setting deadlines, and managing daily to-do lists is quick and efficient. The clean interface makes productivity feel simple.
Cons: Some advanced features are limited on the free version, but the core features work very well for everyday use.

Overall it was good for what I needed at the time but due to the need for upgrading I no longer use the tool.
Pros: Good simple tool to manage your daily tasks. Clean interface that’s super intuitive, even for beginners
Cons: Key features like reminders, labels, and filters are restricted unless you upgrade Lacks advanced project management tools like timelines or Gantt charts

Clear and easy to use, with a good level of notifications to ensure that you are keeping track of your tasks.
Pros: Simple to use, and good level of reminders about ongoing tasks. Notifications keep you on top of your tasks.
Cons: Getting used to having a different app to use, as well as a calendar, rather than having them integrated.

I use Todoist to write down everything I need to do. Once it's on the list, I stop thinking about it.
Pros: Quick to add tasks, easy to set dates. Simple enough that I actually use it. The keyboard shortcuts are also nice.
Cons: Reminders are behind the paid plan, which is frustrating. That should be free because I would be paying just for that and a few other functions.

I’ve been using Todoist to track simple taks I might have during a day, for either my family or my work and Todoist has been a real assistant!
Pros: The fact that it’s very simple to create task and track them compared to other similar products. The interface is clean and simple.
Cons: I would like to be able to sync it with the task app on my Iphone so I can update those task while on the go.
Vincent C. · Principal Technical Level Designer · Entertainment · March 26, 2026
Todoist is consistently solid. I have tried well over a dozen others, so I have done my comparison shopping. Todoist is the one.
Pros: The thing that sets Todoist apart from other similar products, in my opinion, is ease of use. The layout of the product is intuitive, and it provides just the right amount of features, not so many that its boggy but enough that it gets things done.
Cons: No to do app is perfect, and the thing that makes Todoist a go to for me is going to turn off some people who feel like they need every single bell and whistle.

Todoist is one of those tools that just works. It’s simple, reliable, and helps you stay consistent without overcomplicating things. If you’re someone who tends to overthink or get overwhelmed, this is a solid choice. Customer Support is also very helpful whenever questions need to get answered. They also have helpful videos if you need more assistance. I purchased a yearly subscription and I am getting tremendous value for the software, thank you!!
Pros: Simple and easy to use This is the biggest win. You can jump in right away without feeling overwhelmed. Clean layout Everything is organized in a way that just makes sense. It’s not cluttered, which helps you actually stay consistent. Great for daily planning Perfect for mapping out your day, setting priorities, and staying on track. Works across all devices Phone, laptop—everything syncs smoothly, so you always know what needs to get done.
Cons: Can feel too basic at times If you’re trying to build out more complex systems or workflows, it might feel a bit limited.

The radiator in my office is making this strange clicking noise but at least I can see what the development team is working on with regards to the Arctic Ice Thickness Project. We also use Todoist to track our software sprints here and thus far, it has not completely failed us. As a whole, it allows our remote employees to be on the same page without having to have meeting after meeting to discuss who is working on what. I am also grateful that I do not have to use spreadsheets to manually track client hours, nor do I have to manually submit weekly risk reports anymore.
Pros: I like the different views you can use in Todoist, i.e. boards and lists, as a lot of people like to work differently. I think the screenshot/file handling works pretty well, Todoist did not crash today after I tried to complete this. I was surprised that the AI actually broke down a huge task I had created into little pieces for me today, whereas I would normally expect nothing out of these kinds of things.
Cons: When you have thousands of tasks in one project (especially large Web Dev projects that have a ton of subtasks), it can get extremely slow. Another problem I have with Todoist is that you cannot assign a single task to multiple people.
Victor N. · Head of Engineering · Information Technology and Services · March 22, 2026
Pros: Unexpectedly Todoist was great at coordinating tasks across our small team. It offered fast feedback and tracking of who was meant to do what and if it got done.
Cons: I'm not generally a fan of tick lists, but even that discomfort was easy to overcome in light of the productivity gains.

Very positive. I have no reall complaints or issues with the app and continue to use it daily since originally downloading a year or more ago.
Pros: It has a simple clean look to it that doesn't appear childish with colors or over cluttered upon launch of the app.
Cons: The fact that it doesn't have any self help attributes to it at all. It would be pretty simple of them to add in a feature for bible quotes, spiritual quotes or personal improvement quotes to your todo lists to just empower people randomly throughout the day. Sure not everyone would want this feature, but you may save a life from someone that was not doing well and read that one quote that changed their outlook.

Really happy that I use Todoist. My scattered thoughts become work plans that I can work through without losing the bigger picture.
Pros: Where would I be without Todoist? It keeps all my random thoughts and ideas structured and allows me to progress with my work.
Cons: Nothing really. It has continued to be a reliable workhorsethat I can depend on. I would like the text to be larger.
Mike H. · Owner · Alternative Medicine · February 11, 2026
A worthy competitor to Asana! It’s definitely a helpful tool, I just think not as good for my purposes.
Pros: Task tracking, good set of project collaboration and other features, and overall value for money. I do like the UI, which is minimalist.
Cons: Compared to Asana, perhaps not as intuitive or not as comprehensive as it could be. Too simplistic? If the features maybe had an ounce more of ability that would be more helpful (Kanban Board).
Anonymous User · Project Manager · Sports · February 11, 2026
I really like it overall. You can share projects, assign tasks, comment, and attach files which is handy for teams and partners.
Pros: Todoist is visually simple and easy to navigate, making it quick to add, organize, and check off tasks.
Cons: Features like reminders, labels, filters, automatic backups, comments, and file uploads are behind a paywall. It can feel limiting for free users.
Ryan P. · Graphic Designer · Alternative Medicine · February 3, 2026
Todoist helps me structure my days and manage my tasks more effectively in my role as Vice President at FEVO.
Pros: The tool is simple, clear, and very effective for organizing priorities. Task creation, reminders, and project-based views make it easy to maintain a solid overview, even when multiple responsibilities overlap.
Cons: The paid version feels more professional and robust, but it can be a bit expensive for someone who doesn’t yet see the importance of structuring their day efficiently.
Jamie H. · Executive Vice President at FEVO · Information Technology and Services · February 1, 2026
Pros: I have been using Todoist for over a decade to track work and personal tasks. The app makes it easy to categorize tasks across categories, workstreams, and projects, allowing you to stay organized and clutter-free. It integrates fairly well with Outlook, Google, and iOS calendars, as well.
Cons: There is a learning curve with how to best take advantage of the labeling, priorities, and project tags to organize your task manager. The app's calendar features have improved over the years, but there is still room to improve the app's filtering features to see only certain types of tasks at once.
Anonymous User · Associate Director, Evaluation · Non-Profit Organization Management · January 20, 2026
I have used Todoist for a year now and it is still great to run it. These days I’m not a daily user because most of my work is now organized elsewhere
Pros: I appreciate the most the ability of Todoist to add my current tasks from my calendar. Also, the reminders help me a lot to never miss any tasks.
Cons: It is not a free tool and other programs like this offer more versatile features and tools for collaboration and communication.
Mark W. · Owner · Construction · January 9, 2026
Todoist helped me stay on top of priorities and deadlines, especially when handling multiple projects at the same time.
Pros: The interface is clean and fast. Task organization with labels and priorities is very effective, and reminders are reliable across devices.
Cons: Some useful features are limited to the premium version, and it’s not ideal for managing complex team projects.
Scott S. · Project Manager · Human Resources · January 5, 2026
Overall I have been impressed with this app over the past 3 months. I use it for school, work and my small business. This helps me keep things straight for one time tasks or weekly tasks like repeat assignments.
Pros: I love that I can use the app or computer version and they sync consistently. I also like that I can add # to different categories and organize them pretty quickly. Simple reminders help me remember even the daily tasks. This app has been a great body double, keeping me in check.
Cons: Sometimes the daily tasks do not remind me to check them off. So they can build up. This is an easy fix in settings.
Kellie G. · Artist · Arts and Crafts · December 30, 2025
It was an okay experience. Not to bad. I think it could be better but it help me enough to manage tasks and things I had to do.
Pros: I like that I can track my task. I like that it will remind me of things that I have to do. I also like that it is easy to use and if I need to collaborate with other people I can.
Cons: I don’t like that I couldn’t really organize my task. I thought that some of the functions weren’t that easy, maybe it was because I was on the phone.
Quantieshia B. · CEO · Entertainment · December 25, 2025
Convenient and eady. But a bit oversimplified. I love jotting ideas and tasks down in one easy place.
Pros: Easy to use. The speed at which I could throw things on my list was limited only by my ability to think of them.
Cons: Other similar software seems to have more versatility of at least has made me more aware of its versatility
