Overall, Zoho Expense has significantly reduced the time we spend on monthly expense reports and approvals. It integrates nicely into our workflow, and despite a slight learning curve at the start, it offers excellent value for the money.
Pros: The automated receipt scanning (auto scan) feature is a massive timesaver; it accurately extracts data so users don't have to enter everything manually. The mobile app makes it incredibly easy to track expenses on the go, and the multi-currency support is seamless for travel.
Cons: The initial setup and configuration of compliance policies can feel a bit overwhelming and rigid for smaller teams. Occasionally, the optical character recognition (OCR) takes a little longer than expected to process a receipt during peak hours.

The biggest strength is that it feels like part of a larger operating system rather than a standalone app. When paired with Zoho Books and Zoho Projects, the workflow becomes very smooth. For a growing renovation or kitchen business, that matters more than flashy design.
Pros: Zoho Expense stands out mainly because of how well it fits into a broader business workflow rather than acting as a standalone tool. When connected with Zoho Books and Zoho Projects , it creates a smooth system where expenses flow directly into accounting and project costing without duplicate entry. The receipt scanning feature is genuinely practical for day-to-day use, especially for on-site purchases, and the mobile app makes it easy to log expenses in real time instead of relying on memory later. The reimbursement process is clean and structured, which is particularly useful when managing personal spend for business purposes. It also supports delegation well, allowing a virtual assistant to handle expense logging without exposing sensitive financial data. Overall, it delivers strong functionality at a very reasonable price point, making it excellent value for small and growing businesses.

Cons: The biggest drawback is the limitation of the free version, which begins to feel restrictive as business activity increases. Limits on receipt scans, users, and access to more advanced features can interrupt workflow once you scale beyond light usage, making an upgrade almost inevitable. The interface, while powerful, can feel slightly dense and less intuitive compared to more modern, simplified apps, especially during initial use. There is also a bit of upfront effort required to properly set up categories, workflows, and integrations to get the full benefit of the system. Without that structure, things can become disorganized. Additionally, some of the automation and notification features can feel excessive until they are carefully refined, which adds to the learning curve for new users.

Very happy with the product and feel it is great value for the price. Will cancel my quickbooks account and move to all Zoho products.
Pros: I loved the ability to categorize expenses across different business (3+) and the ease of auto imports.
Cons: Wish you could multi match expenses if you're not adding receipts. You may be able to do this in another product of theirs; I haven't checked yet.

For our finance team at LiteFi, the unified ecosystem has eliminated reconciliation errors and significantly accelerated our month-end closing process.
Pros: The easy, real-time sync with Zoho Books ensures our expense data flows instantly into our ledgers without any hassle.
Cons: Fine tuning the category mapping between Expense and Books during the initial setup required significant attention to detail to ensure accounting accuracy.

I like Zoho Expense overall. I have used other such as Concur before and Zoho is comparable experience for tracking expense but much more cost effective for a small business.
Pros: Zoho Expense is easy and convenient to use, with its phone app and web interface. The AI scan of receipts is very accurate nearly always. I like that I can just e-mail receipts in and the feature that highlights duplicates expenses helps me match the emailed receipt to the auto generated expense from the company credit card charge.
Cons: I don't like that I can not easily enter small towns or cities as the destination for per diem expenses. I have to determine the nearest large city that that is included in Zoho's list of destinations. I know I can create new destinations, but I am not going through that process for every small town I travel to.

Overall, it's been intuitive and easy to use. However, I haven't had full experience yet with other features and functions so will need to do so in the weeks to come
Pros: Simple, intuitive and easy to use. The logic behind the interface is great as everything appears to be intuitive.
Cons: I haven't had enough time to fully utilize the tool yet, but will do so in the coming weeks. I am more curious on the integration with Quickbooks so will have more updates on that once I've had a chance to use it.

helped me to organise the expense and advances effectively which were in total mess earlier. the approval flow also helped to keep track of the records.
Pros: Almost everything was really good, I like its cost effectiveness, support and the amazing features. the user interface was awesome. there were not much bugs and issues I came across . the initial set up was easy . the security of the software was outstanding as it provides more authentication features.
Cons: nothing much on the current version as I am still evaluating, havent found any issues or cons as of now

Overall, it has been fine/average. If not for the affordability, I may not use the product. Customer service is acceptable. They email frequently to ask if I need help.
Pros: Zoho Expense is affordable for small businesses that would like to reimburse their employees electronically instead of using paper forms and paper checks.
Cons: The learning curve is average/moderate. I come from working with Emburse Analytics (previously Chrome River) and the user interface is different and takes getting used to. It isn't always self-intuitive. Many times I had to use Google to search for 'how to' do certain items. Also, as an admin, it was difficult to go through CSG Forte. They do not have experience with non-profit/union entities and you cannot use a different company for ACH transactions. Had I known how difficult it would be, I may not have subscribed to Zoho Expense.

The overall experience till now is amazing. From demo by the Zoho Tech team to setting up the account and regular help they provide throughout the process is really appreciated. The portal is easy to understand and train others.
Pros: The portal is very easy to understand and use. The interface is also very easy to navigate. The set-up process was smooth and back-end support is very active. This also aligns with our goal of having a budget friendly but secure travel and expense portal to streamline our internal process.
Cons: Some of the features are not available for Indian version like currency change. It affects organization like us who has overseas offices.

Zoho has really opened our eyes to how easy it is to streamline and automate expense and reimbursement processes.
Pros: Both the web interface and the mobile interface are user-friendly and easy to use and truly one of the most valuable features!
Cons: Frankly, the training videos were difficult to understand, and I have yet to find a straight-forward, go-to user manual to share with our team members.
Dawn W. · Controller · Farming · April 15, 2026
Zoho has been incredibly useful at my organization due to its ability to collect receipts and print weeks worth of expenses on a single document. It's user friendly and the approval "alerts" help staff feel comfortable that their expenses are being reviewed and processed.
Pros: Adding users, setting rules, and creating expenses is incredibly simple and user friendly. Additionally the download as PDF and approval networks are excellent.
Cons: The "admin view" can be quite overwhelming. It takes a bit too long to find what you're looking for. For examples "Users" should already be on the left menu main page.
Jay G. · Marketing Manager · Marketing and Advertising · April 15, 2026
It has been very easy to understand and to use. The weekly webinars are helpful and having an opportunity for a 1-1 follow up to get us set up is amazing.
Pros: The ability to add my credit card and synch expenses directly into Zoho makes processing my expense report much faster and more efficient.
Cons: There is nothing so far that I would attribute as a con. I especially like that with 3 users the service is free.

Zoho Expense is a solid expense management tool with an intuitive interface and strong automation features. The approval workflow and policy enforcement save us a lot of time. Would love to see even more customization in reports, but overall it's been a great experience for our team
Pros: The user interface is great, it definitely is value for money. We've been using Zoho Expense for a few months now and it has streamlined our entire expense reporting process. Auto-scan for receipts, multi-currency support, and seamless integration with Zoho Books are standout features. Highly recommend for small and mid-sized businesses.
Cons: The fact that it does not provide a single POC for raising issues. The customer support can be relatively slow to respond.

Zoho Expense has been a very solid solution in our testing, and we’re likely to roll it out more broadly across the business. What stood out most is how much manual work it eliminates. The autoscan feature, email‑to‑receipt forwarding, and automatic creation of expenses from receipts significantly reduce data entry and the risk of human error. Corporate card feeds and automatic matching of transactions to receipts further streamline reconciliation and give finance better visibility over spend. From an admin perspective, configuration is reasonably straightforward, and the system is flexible enough to support different expense categories, projects, and approval flows without becoming overly complex. Reporting and analytics provide a clear view of spending patterns, which helps with budgeting and internal controls
Pros: Ease of navigation in terms of user interface. OCR Scanning feature for receipts and live feeds for card transactions
Cons: Not that i can think of are the limited customisation of reports and dashboards. Workflows are a little rigid

Pros: Value for money as compared to other systems, features and user interfaces that are fit for purpose, and customer support that are readily available in several forms.
Cons: Security is a concern given the vulnerabilities and sophistication of hacking capabilities. In a world of nation-state hackers and phishing pros, I worry about vulnerabilities in third-party integrations or unpatched APIs. We've added extra layers (VPNs, custom policies), but it shouldn't be this much extra work.

It is great to be able to keep track of all of my supplies and other expenses. I love being able to see the receipts and categorized them where needed.
Pros: I love being able to do all of book keeping for my crafting business. I am able to track everything I need to manage all my expenses.
Cons: The only thing that is inconvenient is having so submit requests. I don't have employees, I am a sole-proprietor, I am the one submitting the receipts, and the only one doing the book keeping. It's just an extra step I am having to go through.
Jasmine R. · Owner · Arts and Crafts · March 18, 2026
Pros: It is a great app for my new business. I like how easy it was to get setup in the system with my invoices.
Cons: I have nothing bad to say about Zoho Expense. I love all ZOHO apps and use many of them in my business.
Amanda S. · CEO · Management Consulting · March 12, 2026
Pros: Very helpful. The auto scan feature is absolutely a massive time saver. This literally saves so many hours of time.
Cons: I wish there was a higher daily scan limit as well as a higher monthly limit. They are willing to lift it with temporary exceptions.
Joshua E. · Owner · Real Estate · March 10, 2026
The support is superb and customer service is very efficient. The app is very stable and user friendly.
Pros: Automatic receipt scanning and mileage tracking. It's been a super quick and user friendly app that maximizes efficiency
Cons: Possibly the lack of mileage tracking on the free version. It would be very handy for small businesses.
John O. · General Manager · Consumer Services · March 5, 2026
better than expensify! I'm officially switching. I find it far easier to work with and the price is better, the perfect combo.
Pros: easy! The scans work great, as do emails. I can set up reports and categorize with no issue. And I love the price!
Cons: I don't like how corporate cards can't be set for reimbursement. And deleting cards proved difficult. There's a bit of a learning curve.
Lemuel W. · owner · Writing and Editing · March 4, 2026
Actually, my company was using a manual petty cash process, but after we started using Zoho Expense, the process has been seamless.
Pros: The fact that I don’t need to post petty cash expenses after they have been approved, that the comment section can be used for internal communication, and that all approvers are notified.
Cons: None for now. I would recommend the Zoho accounting package to small business owners because it is easy to understand and use.

The overall experience has been good. The benefits outweigh the cost of the product for our internal team.
Pros: I liked the integration with Quickbooks Online the best, it makes our life way easier to have an expense tool that doesn't have bugs
Cons: The demo process was a struggle with connecting. We had to create our own meeting and have the rep connect to our session.
Jeff P. · President · Computer & Network Security · February 24, 2026
Great and professional. Zoho expenses is a great tool to keep your info updated and have proper register of your company adm.
Pros: The easy menu and all details clear and well structured, make easy to learn and continuo to using the app. Plus the customer support is professional and on time. if you need a personal attention via video or call, they are open to do that ,so you don't need you are only interact with machines.
Cons: i don't have any complaint. Until now, the Service and the User interface make my life easy and my information is well organised.
Elena T. · Logistic lead · Logistics and Supply Chain · February 21, 2026
For our purposes, Zoho Expense works best. I've tried other apps and had too many problems with them - Zoho just works!
Pros: Streamlines expense approvals which frees up valuable time for us. Great interface, fair price, checks nearly every box we were looking for.
Cons: There's one feature that would be huge that's hard to find in an expensing apps: The ability to automatically match when there are multiple charges for one receipt, or multiple receipts for one charge. This functionality would be huge for us!
