I use Fleetio for many things. When I first came into this role, it was merely being used as a way to pay for maintenance but I've started using it as reminders, for inspections, for documentation of events and for seeing the cost of each vehicle.
Pros: What I like most about Fleetio is the ability to talk to driver's regarding their vehicles maintenance needs through scheduled notifications.
Cons: What I like least about Fleetio is that not many service shops understand how to use auto integrate. They tend to do the work first, then send in an approval request. They tell our driver's that Fleetio is an insurance claim.

Pros: the helpful information and continued updates on the rules of the roads,safety continued law changes and all helpful suggestion to dealing with todays roads and traffic.
Cons: the information was not always useful and understand the different geographics of different branch locations.

I HAVE BEEN USING FLEETIO FOR OVER TEN YEARS AND FOR THE MOSTPART IT HAS BEEN EASY TO USE. I DO WISH THAT I COULD LEARN THE NEW FEATURES BEFORE THEY ARE INSTALLED
Pros: FLEETIO IS VERY GOOD WITH REMINDERS OF MAINTENANCE AND INSPECTIONS COMING DUE. IT IS ALSO VERY HELPFUL WITH TRACKING AND MONITORING UPCOMING DRIVER'S LICENSES UPCOMONG DUE DATES.
Cons: WHEN ADDING NEW FEATURES THERE ARE SOME BUGS AND ISSUES THAT SHOULD BE DISCUSSED BEFORE ADDING THE UPDATES.

Overall, very satisfied. I find it refreshing that the developers didn't just make a program and then let it stagnate. It evolves over time, just like we do.
Pros: What I like most about Fleetio is how involved and proactive the Fleetio team is. There are constant performance updates, integrations, bug fixes, seminars, and more. I find that the system can do pretty much everything I expect with new features rolling out consistently.
Cons: I do wonder if I'm making the most out of the platform. Because of the wide range of abilities of the program, and how deep it can go, I find myself sticking to what I know. It'd be helpful if someone from Fleetio could meet with our team and talk about our specific use case and needs.

great the customer service is great as previously mentioned and the willing to walk you through all the aspects of the program is great
Pros: the easy interface with entering the data and finding data, reports are great and easy to custom also great customer support
Cons: the fuel card entries are not good would like to be able to import them all at once like the vehicle info

Overall, I like the system, and I really have not had any major issues on my end. It has good reports and easy entry capabilities. What you put in is what you get out and by that, I mean you can enter information but if it is not accurate then the reports will reflect that as well and the info will be incomplete.
Pros: I like that everything is in one system and all together. I also like that the menu is organized by category and easy to follow. I like I can go in and pretty much maneuver in there easy enough without help and figure it out.
Cons: Mind you I only do the entry of the service orders; I am not a fan of having to enter every detail of the invoice one by one, but I do understand the information needs to be broke down so we can see what work has been done on the units. I would love to see a way to scan directly into the system and not have to attach the invoices.

Overall Fleetio makes my job much easier. I spend a lot of my day keeping up with trucks service, and parts that run through the business. It integrates with Samsara seamlessly.
Pros: I really appreciate the amount of information you can keep on your vehicles, service and parts, as well as the reminders for renewals.
Cons: Not coming from a trucking background it took me a little while to wrap my head around some of the things Fleetio required, but thanks to the Fleetio academy I have learned a lot

Fleetio has been great. They have great customer support so when there is a problem someone is taking care of it.
Pros: Invoices run through them and great customer support. The invoicing is something only they provide and no one else.
Cons: Getting everything setup was time consuming, but not really a con. It was took time to get all the information into it to be able to start using it.

Great. It definitely took about a year to really hone it in on our needs and get the system tricked out, but then for a couple years it was GREAT! The benefits it gave us were not imagined. We would not go back to a day without Fleetio. This last upgrade has messed us up pretty good, but we'll figure it out.
Pros: General overall organization of Fleet information. We have one place where multiple teams/people can look at a wide variety of things. Our maintenance guys can look at maintenance reports and planning, shop info, invoices, and cost reports. Drivers can do monthly inspections, report issues, review maintenance issues, and send requests. The Admin team can maintain DMV records, smog certs, insurance, etc., and use data to determine End of Life issues and new truck purchases. We can manage our overall operational budgets, fuel and service costs, and manage high use vehicles. Overall a game changer to our Fleet Management system.
Cons: Often times update / upgrades do not make things better. They just make developers and sales folks feel happy that they got to change the UI. The new UI with everything sandwiched together is annoying. Every time there is an update it costs us with the down time to relearn and doesn't really add any benefits to us. Our drivers get frustrated and our mechanic team loses momentum. With guys like this, these kinds of changes really break our system. The frustration causes them not to use the software, and for us to have to do training and get buy-in over again. You need to keep things stable. Add but don't change. This is with all software though.

Good, it helps the operations team day in and out. I strongly agree that even with limitations, the platform is amazing. We as maintenance department, use the platform every day and we have not only managed the fleet, but saved a lot of money sincce.
Pros: Fleet management with detailed issues, work orders and inspections. In our fleetm we need to have proof of assets received in our yards and even the ones that are delivered to new customers. Also, we have an inside shop which is managed throught the stock and equipment management in Fleetio. Our Technicians are all online and fill the fields everyday.
Cons: I cannot customize the dashboards, this is not really good. I would like to create custom dashboards in order to see exact data related to our business, truck leasing. And also, we need to have a linked asset history, but unfortunately we dont.

Pros: What I liked most about Fleetio is the level of visibility it provides on costs and operations. In practice, it’s very similar to managing a portfolio: you can track maintenance costs, fuel consumption, and asset performance in one place. For example, being able to identify which vehicles are underperforming or too costly to maintain is directly useful for decision-making and optimization.
Cons: What I liked least about Fleetio is that it can become quite data-heavy and require discipline to fully leverage it. Without proper setup and governance, you risk having incomplete or inconsistent data, which reduces the quality of analysis. Also, customization and integration can take time in structured environments.

Overall, Fleetio has been a great tool for keeping our fleet organized and on top of maintenance. It’s improved communication, reduced downtime, and made tracking everything much easier. While the mobile app has some limitations, the system as a whole has been very effective.
Pros: 1. Everything is centralized (no more chasing paperwork) 2. Preventative maintenance is automated 3. Real-time issue reporting from drivers 4. Strong reporting & data insights 5. Inventory & parts tracking
Cons: The biggest drawback for me is the limited functionality within the mobile app (Fleetio Go). While the app is great for basic tasks like inspections and issue reporting, it doesn’t provide full access to the same features available on the desktop version. This can make it difficult to manage or review detailed information while away from a computer.

It's a solid platform that allows you to make things work your way given enough time and energy. Data and other experiences are top notch, the team seems very open for improvement and always looking for ways to improve.
Pros: I like how granular you can get with data, and the exporting works great too! I am able to save views for various things and customize labels and statuses for units as well.
Cons: Some work order creations would highly benefit from pre-made template that allow various fields to be prefilled. It would also be great to have a select number of business days rather than just a calendar selector. Some repairs require a lot of service items too, so adding all of the open issues are timely, having a auto smart match would help cut down on WOS creations.

Overall my experience has been very good and saves me time and money maintaining my fleet. Problems with Fleetio and FleetioGO are handled quickly and with customer service in mind.
Pros: Simplicty of navigation, adding custom fields, custom reminders. I like being able to customize fleetio to see the information that is important to me and the job I am doing. I like the service reminder system and how I can customize the services and intervals.
Cons: The P.O. system still doesn't have a reminder for not being closed. I have had P.O.'s set open for more than a month and did not know it. I would like to have FleetioGo flash a warning when a bus is taken out of service in an inspection. I would also like to remove Service Tasks altogether and just use the VMRS codes.

Fleetio was a breeze to implement. Is easy for our drivers to navigate. A lifesaver when it comes to keeping up with PM. LOVE the App!!!!
Pros: With a relatively small fleet it was a chore to keep up with PM. Fleetio makes this a breeze. When divers return a vehicle and submit mileage Fleetio calculates the next scheduled PM sending me a notification. It also helps us ensure vehicles are safe to drive.
Cons: I don't have any cons with Fleetio. From the initial install to day to day use by staff Fleetio has been a win for us.

Overall, our experience with Fleetio has been a positive one. The platform has done a solid job of centralizing our fleet management operations, replacing what used to be a fragmented mix of spreadsheets and manual processes. The interface is clean and intuitive, and the ability to access vehicle records, maintenance history, service reminders, and inspection data all in one place has made a noticeable difference in our day-to-day efficiency. The one area where we've run into difficulty is the telematics integration with our GPS provider, which has not consistently synced data the way it was advertised. It's a frustration we hope to see addressed, as reliable telematics data would take the platform to the next level. Outside of that, Fleetio has proven to be a dependable and user-friendly solution that we would recommend to other fleet operators.
Pros: What I appreciate most about Fleetio is its ability to centralize every aspect of fleet management into a single, unified platform. Rather than jumping between multiple systems or digging through spreadsheets, everything I need — from vehicle records and maintenance history to inspections and service reminders — is readily accessible in one place. The platform is also remarkably user-friendly, with an intuitive interface that doesn't require extensive training to navigate. Whether I'm pulling up a vehicle's service history or logging a new work order, the experience is straightforward and efficient. Fleetio has genuinely streamlined our day-to-day fleet operations in a meaningful way.
Cons: My biggest frustration with Fleetio has been the telematics integration with our GPS provider, One Step GPS. When we evaluated Fleetio, the seamless syncing of telematics data was presented as a key feature and a major selling point of the integration. Unfortunately, in practice, it has not functioned as advertised. GPS and telematics data from One Step GPS does not reliably update within Fleetio, which undermines one of the core benefits we were expecting from the platform. Having accurate, real-time vehicle data automatically populated in the system was a significant part of our decision to adopt Fleetio, so this has been a notable disappointment and something we hope to see resolved.

Pros: Tracking repairs and trends, mechanic tracking fod work orders and time spent on the repair. Really like all the data that is offered
Cons: So much to learn between all of the options on the dash board finding the right report can sometimes be confusing, any way to make it more simple or streamlined

Overall really like the platform and dashboard options available to customize view. The access to the platform for all users has been good with the app option for drivers and desktop version for coordinators and myself.
Pros: The easy of use, it has been very intuitive for my team to use and navigate. I like the workflow of RO approvals where we retain control over services and maintenance of our fleet.
Cons: There have been a few bugs we have seen, as well as some outages over the last couple of years however they seem to be minimal.

Very good. Looking to add more aspects to keep an eye on the fleet. It’s easy to use for myself and our other support staff.
Pros: Easy to use for drivers to get to the shop and get service completed. I like the ease to add shops to the program.
Cons: I liked the finance tab I wish that would return. It’s easier to provide feedback to our finance department.

This is a fleet program that I would not go without. All this does is just a big help and keeps me on top of the fleet
Pros: I like that you can keep track of so much aboutout your fleet all in one place.You can do many different reports and make your own.
Cons: I think that the only thing I would say that I am not a fan of is when you are inputting a work order that you have to put the date in so many times, but that is just a small thing

Fleetio has streamlined our processes. Drivers completing pre-start inspections and technicians completing maintenance inspections all within the same platform has streamlined issue rectification.
Pros: Electronic inspection forms for maintenance and pre-start inspections for drivers. Fleetio is easy to use once set-up is completed.
Cons: Initial set-up can be overwhelming. New features are good, but sometimes hard to implement in an already existing account.

Very easy to use and makes the day-to-day running of our business much smoother and more transparent across different locations.
Pros: Fleetio is a one-stop-shop for our vehicle scheduled maintenance and inspections, and issues reporting. Different levels of user permission allow us to manage our fleet centrally and set up service programs to suit our vehicles.
Cons: Sometimes user roles and record sets can become a little tricky to manage when user/fleet size increases.
