Cons: Harder to do more dynamic processes without paying through the roof or the model not fitting my head. Some integrations are missing though

Zapier is the fastest way I know to turn a marketing or sales workflow idea into a live automation. As Head of Growth, I rely on it to keep our acquisition data flowing cleanly between ad platforms, CRMs, and analytics tools without engineering dependency. It's not the cheapest option once you scale, and it's not the deepest for complex enterprise logic, but for speed-to-value and breadth of connectors it's still the default. I'd recommend it to any growth or marketing operator who needs to move quickly — just keep an eye on task usage as you grow.
Pros: Zapier has been the connective tissue of my growth stack. The breadth of integrations is unmatched — I've used it to wire HubSpot to Salesforce, push form submissions into Attio, sync ad lead forms (Meta, LinkedIn, Google) into our CRM in near real-time, and trigger Slack alerts on high-intent activity. The visual Zap builder is genuinely accessible, which means I can spin up a working automation in 10–15 minutes without pulling an engineer in. Multi-step Zaps, Paths (conditional logic), and Formatter are powerful once you understand them, and the recent AI-assisted Zap builder has cut setup time noticeably.

Cons: Pricing scales aggressively as task volume grows. Once you're running enterprise-volume workflows across multiple CRMs and ad platforms, the per-task cost becomes a real line item to defend, and it's easy to blow through your tier without realising it. Some of the deeper integrations are shallower than they appear certain HubSpot and Salesforce actions don't expose every field, which forces workarounds with custom webhooks. Error handling could also be more proactive; you often only notice a broken Zap when downstream data goes missing, rather than getting an immediate alert. For more complex orchestration, I've found tools like Make or n8n more cost-efficient at scale.

Overall, Zapier has become a quiet but important part of how we run Minikaal—handling the repetitive connective work between our property, accounting, and collaboration tools so the team can focus on higher‑value tasks. I’d recommend it to other small property management and service businesses that juggle several cloud apps and want automation without hiring a developer or maintaining custom scripts.
Pros: The biggest pros are the huge integration library, the no‑code editor, and the reliability for simple workflows. It’s straightforward to build basic Zaps off common triggers (new email, new row, new form entry, etc.), and we appreciate being able to start from prebuilt templates and then adjust them for our property management use cases. For a lean team, that means we can “hire automation” instead of hiring another admin just to move information between systems.
Cons: On the downside, pricing does ramp up as you add more Zaps and volume, and you have to watch task counts if you’re connecting multiple apps across a growing portfolio. More advanced workflows can also get complex to debug—especially when there are conditional steps or multiple branches—and support/documentation sometimes require a bit of digging when something breaks

Overall, Zapier is a really great platform and has helped us bring most of our ideas to life. If you want a no-hassle drag and drop interface, and have some technical knowledge or know how to map out conditional logic (if this, then that), then this is the platform for you. If you have really complex logic and do not want to have to code and test python and create sub-automations, then look for something like n8n.
Pros: Zapier is one of the more cost-effective automation platforms out there. It is easy to use with a drag and drop interface, and has plenty of documentation to help you automate whatever use case you can imagine (to some extent, of course). Customer support has gotten a lot better over the years and I would like to say is pretty quick in getting issues resolved. I love all the notifications we get with zapier run errors and the ability to see where exactly the hangup is, what it is, and the ability to in-line edit the data and re-run the errored steps to avoid interruptions. I love that I can have a folder structure as complex as I want to store and organize all of our company's zaps.
Cons: Zapier likes to change their interface a lot. Since 2022 when I first started using Zapier here at the company, I cannot tell you the number of times the UI/UX has changed. Sometimes for the better, but other times with changes that I don't like at all. They also do this without notice and with no guided workflow tool to guide you through the updated interface to find what you need. It is sometimes like learning a new software all over again... Not the best. There are also limitations when it comes to decision paths on how many paths you can have and sub-paths. If you have complex use cases, you have to have zaps within zaps (called sub-zaps), which is not ideal and creates additional overhead from an IT perspective.

Overall, I have found this tool to be incredibly important. Being able to integrate tools that otherwise wouldn't helps improve efficiencies and productivity.
Pros: My use of Zapier has been limited, but has been significant for what I needed. The broad range of integration capabilities is what makes this service so important. In a world of APIs and the need to have constant integrations, you can't go wrong with Zapier. It is fairly easy to use and their customer support is extremely helpful! Compared to other similar integration services, the cost is also appealing.
Cons: It can be a little confusing if you do not understand API integrations. While they are very easy to work with, it is just a different world for some folks.

Using Zapier has made me feel more confident in my technical abilities and encouraged me to simplify my workflows myself, rather than reaching out to technical teams for support.
Pros: Zapier is a great tool for both technical and non technical users! Creating automated workflows between different platforms is something I’m able to do myself as a marketer using Zapier, and was very easy to learn by doing in the moment.
Cons: Because there are so many integrated tools, there is a lot to learn to use it successfully and can take trial and error.

Overall, I’m no longer enamoured with it. I often pop in to find a zap I need only to find it’s not there. Three years on, it’s still missing so many services. I only use it for one thing now, and that’s occasionally.
Pros: I love the way I can make software work with each other when it doesn’t integrate directly. It saves so much time and energy.
Cons: I dislike the heavy reliance on AI for the user experience. And it’s still missing many of the services I use regularly.

J'utilise Zapier depuis plus de 2 ans aujourd'hui et j'ai toujours des zaps qui tournent. Les automatisations cassent parfois, mais je reçois instantanément une notification pour tout régler.
Pros: J'aime le concept d'automatiser certaines tâches : envoi automatique de mails, de factures et entrer de donnée sur CRM . J'ai du mal à créer les automatisations moi-même (les zaps), alors j'utilise des templates.
Cons: Utiliser Zapier est souvent très chronophage. J'ai plusieurs adresses mail Google et pouvoir lier différents comptes à Zapier pour les utiliser différemment, c'est compliqué.

Prior to finding this software my sales tools were not communicating with each other and I had to do everything by hand. It brings my toggl timekeeping info into my cms so I don’t have to keep track of all these different dates. This is better than that other application I spent 5 hours on before I got frustrated and left it for this.
Pros: I’m happy the support team people are pretty good about answering emails quickly as I thought I would be stuck here till tomorrow. They have many drop down options for most things so they’re easy to use no matter how much of a non-computer person you are. I am shocked I did not have to write one line of code to get the google contacts synced. They list alot of applications.
Cons: I feel it’s way to expensive unless you’re using it for every possible thing in your life. Sometimes the french translation will not make any sense and it will be difficult to figure out where the correct button is to press. I am totally annoyed. I also hate it that some of the features such as the time delay feature do not automatically come with the software.

good expierience, but i have gone towards ai nowadays, as it's easier to control and allow ai to repair broken links easier

Zapier enabled me for years to run a business with a lean team. However, the unspoken key is simply working with better softwares that have great APIs, as more native or AI-assisted connecting is happening everyday
Pros: Extremely large, nearly comprehensive connections to software, with an easy non-technical setup, and helpful AI assistance.
Cons: Unreliability veiled through ease-of-use, and byzantine permissions settings that make it difficult to complete integrations sometimes when paired with 2auth related issues

In hospitality we use too many separate apps. This tool acts as the bridge that keeps our data management consistent. It saves us hours of busy work, though the price for higher tier plans feels steep for a small business.
Pros: Moving guest data from one system to another is my favorite feature. It allows me to move guest data between our booking engine and PMS automatically without any manual copying.
Cons: The cost can increase if you are going to do complex, multi-step automation. Debugging specific errors when a connection fails is often confusing for people with little or no experience with network technologies.

It’s the most powerful thing to connect all sorts of different apps. And it’s worth every penny, expensive as the split second you finally get back to yourself. It automates my research process. I recommend it for automating just about anything digital that you have to do over and over again.
Pros: Zapier is magic for my workflow. It integrates my Jotform with Google Sheets for free. I no longer have to copy and paste information. Saves me hours of boring manual effort each and every week. It is amazing.
Cons: This can get expensive if you have lots of “Zaps” running. One connection fails, and sometimes I don’t know why. Creating complex workflows is a bit tricky and will take some experimentation. The “pro” features are expensive for a student.

Overall, we decided to cancel our subscription and move forward using Facebook Manager Suite, as it better fit our needs.
Pros: I love how Zapier handles repetitive tasks automatically. Once it’s set up, everything just runs in the background and saves so much time.
Cons: The setup process took some time. My manager and I spent about a week getting everything configured, and we found it wasn’t very intuitive at first.

I have not used the benefits much, because they do not connect with the other software/websites I need it to, and we can't afford to pay for it to be a service they provide, with how little we would be using it.
Pros: I like the concepts of using this platform to connect our different websites and data flow. There seem to be a decent number of things you can do for free for small nonprofits.
Cons: The programs I needed to connect are not available on Zapier. The options for free things quickly become limited once tasks become clearer. While the idea makes sense, the application seems to require a level of technical understanding that is not always there, or the framework just looks overwhelming at first.
