Smartsheet helps small and midsize businesses manage projects, tasks, and workflows using a spreadsheet-style interface. It’s most used by administrative and IT teams for daily collaboration and task tracking. Reviewers highlight its form creation and real-time updates as standout features. Pricing complexity and formula setup are common drawbacks. Recent additions like AI formula builder and timeline view improve automation and visibility.

Overall, Smartsheet offers a practical and structured approach to project and task management. It works well for teams that prefer organised, grid-based tracking and need clear accountability. While it may require initial effort to set up effectively, it becomes a reliable tool for maintaining visibility and control over work.
Pros: Smartsheet provides a structured and organised way to manage projects, combining the familiarity of spreadsheets with project tracking features. It is particularly useful for tracking tasks, timelines, and ownership in a clear and visible format. The ability to create dashboards and automate workflows helps improve visibility and reduces manual follow‑ups.
Cons: The interface can feel less modern compared to other tools, and there is a learning curve for users who are not familiar with spreadsheet-style solutions. Some advanced features, such as automation and reporting, require additional setup time. It can also be less intuitive when managing highly dynamic or agile workflows.

Great for sharing with other companies or clients but as previously stated much easier to navigate once you export into your own spreadhseet
Pros: I like the ability to share data from clients. It can be exported into spreadsheets to share internally within your own company.
Cons: Once the smart sheet is opened, it can be difficult to navigate withing smart sheet. Much easier to export into your own spreadhseet.

Overall, my experience with Smartsheet has been positive. It’s a flexible and powerful tool for managing projects, tracking tasks, and collaborating with teams in real time. The spreadsheet-style layout makes it familiar and easy to get started, while the automation features add real value for workflow management. However, it can take some time to learn fully, and advanced features may require higher-tier plans.
Pros: What I liked most about Smartsheet is its **easy-to-use spreadsheet-like interface combined with powerful project management features**. It makes it simple to plan, track, and collaborate on work in real time, while also offering strong automation and integration options.
Cons: What I liked least about Smartsheet is that it can feel a bit overwhelming at first, and some advanced features are locked behind higher pricing plans.

Smartsheet has been very helpful since I’ve started my new occupation. It helps to plan, track and automate projects in real time.
Pros: Smartsheet keeps my life organized. It is value for money and the ease of use is incredible. Customer support is always just a chat away and bugs and issues are not a thing with Smartsheet. The navigation is so simple and self explanatory and the task management is one of the best to use! I love the project collaboration for work.
Cons: I don’t have any complaints about Smartsheet and I’ve utilized it for 2 years. It’s by far the best option for me.

Overall, the experience has been very positive. The platform is user-friendly, easy to navigate, and helps keep projects, tasks, and communication organized in one place. The spreadsheet-style layout makes it familiar and simple to use, while features like Kanban boards, Gantt charts, automated updates, and alerts help improve workflow efficiency and reduce manual work. However, some advanced tools and features are only available through more expensive plans or paid add-ons, which can be limiting for smaller teams or organizations.
Pros: I really like the easy-to-use spreadsheet style setup, along with tools like Gantt charts and Kanban boards that help keep projects organized and on track. Features like automatic requests, updates, alerts, and moving information between sheets help cut down on a lot of manual administrative work and save time.
Cons: A lot of important features, like Resource Management, are only available through higher-priced enterprise plans or extra paid add-ons.

Neutral - good for a project manager but not great for portfolio management or PMO type organisations.
Pros: Great online version of excel functionality with some portfolio type features. Easy for multipler users to collaborate
Cons: Functionality from a portfolio perspective feels very basic, feels like excel online with limited reporting capability.

Pros: I have been using Smartsheet for a while now and overall I am satisfied. It is very simple to use and user friendly. Features like automated reminders and task tracking saves a lot of my time.
Cons: Sometimes I feel lag when working on large files. And I also noticed that some sheets do not update instantly. Other than that it is a great tool.

Amazing! I use this biannualy to complete our SOC audits. These come with multiple tasks and we share it with our auditors to all stay on the same page.
Pros: The accessibility and easy-to-understand functionality. We use Smartsheet for our annual SOC audits.
Cons: The number of times it would log me out. There is nothing else I discovered I disliked about Smartsheet.

Overall, my experience with Smartsheet has been positive. It is a reliable platform for project collaboration, task tracking, approvals, and process management. It works well when teams need a shared source of truth instead of relying on emails, spreadsheets, and scattered updates. The biggest value comes when it is set up properly with clear ownership, standardized templates, and automation rules. For teams that need visibility, accountability, and structured workflows, Smartsheet is a strong option.
Pros: Smartsheet is very strong for organizing projects, tracking tasks, and keeping teams aligned without needing a complicated project management system. I like that it feels familiar because of the spreadsheet-style layout, but it adds workflow automation, approvals, attachments, comments, dashboards, and reporting on top of that. It is especially useful when multiple departments need visibility into the same project or process.
Cons: The interface can feel a bit overwhelming at first, especially for users who are not used to project management tools. Some advanced automations and reporting features take time to configure properly. It can also become messy if sheets, permissions, and workspaces are not structured carefully from the beginning.

Pros: Familiar Spreadsheet Interface: Users who are comfortable with Excel or Google Sheets can adapt quickly to the grid-style layout, making onboarding easier.Highly Versatile and Flexible: It is not limited to just grid views; it allows users to switch between Gantt charts, Kanban boards, cards, and calendars to visualize data in different ways.Robust Automation Features: Smartsheet allows for powerful workflow automation (e.g., automated alerts, update requests, and approval processes) without requiring coding knowledge.
Cons: Steep Learning Curve for Advanced Features: While the basic spreadsheet look is easy, mastering advanced features like complex formulas, automated workflows, and dashboards can take time.Costly and Restrictive Pricing: Smartsheet does not offer a free plan (only a 30-day trial). The pricing can be high and inflexible, particularly for small teams needing only a few licenses.

Overall, Smartsheet has been a powerful tool for project and workflow management. It’s highly flexible and great for organizing complex processes, tracking tasks, and building reporting dashboards. However, it does take time to learn and set up properly, especially for more advanced automation and customization.
Pros: What I like most about Smartsheet is its flexibility and customization. It works like a spreadsheet but can be built into powerful workflows, dashboards, and reporting tools. It’s great for automating processes, tracking projects, and keeping teams aligned in one platform.
Cons: The biggest downside of Smartsheet is that it can feel complex and not very intuitive, especially when building advanced workflows or dashboards. It also has a steep learning curve and some features are locked behind higher pricing tiers.

I have more that 3 years of experience with Smartsheet software. The software has very effective work automation systems and secure file sharing systems. Integration of the software with other platforms is seamless and its design is friendly.
Pros: Smartsheet is very flexible and suits all sizes all of business. It has professionalised customer support services available 24/7. The software allows milestone tracking and real-time progress tracking. Smartsheet software has drag and drop features and allows colour coding.
Cons: The software has a very wide range of helpful features from reporting and analytics tools, multi use collaboration systems and workflow automation features. It's implementation is also smooth. No complaints.

Overall, my experience with Smartsheet has been very positive. It is a highly versatile platform that works well for a wide range of business functions, including tracking, estimating, project management, and scheduling. While it does have some limitations in handling more advanced calculations and data relationships, it has still been a great tool for our overall workflow.
Pros: The biggest strength of Smartsheet is its versatility. We use it across the company for a wide range of functions, from receipt tracking and estimating pipelines to project management and scheduling, which makes it a valuable all-around platform.
Cons: The main limitation with Smartsheet is its formula structure and overall flexibility for more advanced data analysis. While it performs well for organized, process-driven tracking, it can be restrictive when more dynamic calculations and multidirectional data relationships are needed.
Caleb C. · Estimating and Project Manager · Construction · April 20, 2026
Overall, my experience has been good so far. I mainly use it to track work and manage tasks, and it has made things more organized compared to before. Once you get used to it, it becomes easier to work with and saves time. It’s not perfect, but it definitely helps in day-to-day work.
Pros: What I like most is how easy it is to keep everything organized in one place. It works like a spreadsheet but with better tracking for tasks and deadlines. I also like that we can attach files directly to tasks or rows, which is very helpful when sharing documents or keeping records in one place. It makes collaboration easier since the team can see updates in real time.
Cons: At the beginning, it was a bit confusing to understand all the features. It’s not very difficult, but it does take some time to get used to. Also, some useful features are only available in higher plans, which can be a little expensive.

When you’re managing billing workflows across a jewelry operation like Kilarys, nothing slips through the cracks. Smartsheet helps me stay organized with my tasks, collaborate easily across other departments and keep the project timeline honest. For the price, it adds real value to a finance role like mine.
Pros: Smartsheet for me is really great at task organization. All pending items, visible in one place without me running around trying to catch someone.
Cons: I found the learning curve to be a surprise in the beginning. It took longer than I anticipated to get the team comfortable with it for what’s meant to be an intuitive tool.
Frank R. · Billing Specialist · Luxury Goods & Jewelry · April 13, 2026
Pros: Flexible, spreadsheet-like interface, strong automation, easy collaboration, and powerful reporting tools
Cons: It can be pricey, complex for beginners, limited customization in some areas, and performance may lag.
Samantha R. · Finance · Accounting · April 12, 2026
My overall experience with smartsheet has been excellent and extremely pleasant. This tool helps my business.
Pros: What I like the most about smartsheet is the task management and task organization features that it has.
Cons: What I like the least about smartsheet is the fact that it’s very expensive for small businesses to have.
Juan C. · Manger · Accounting · April 11, 2026
It's good, but it's expensive. You can do pretty much anything you need to with it, when it comes to diagramming with is awesome. But again, cost is a factor for many.
Pros: I like the fact that I can easily create and design giant mockups of anything that I wish, then share them securely and quickly with coworkers.
Cons: I think that the backend administration features can be a bit confusing at first. They could do a bit of work on the Admin Console.
Drew L. · SR SYS Admin · Consumer Goods · April 9, 2026
Real-time comments, sharing, and role-based access Easy to collaborate across teams and external users Useful for tracking complex projects
Pros: Can be used for project management, CRM, tracking, budgeting, etc. Works like a spreadsheet but with much more power Supports templates for many use cases
Cons: Not very intuitive for beginners Spreadsheet-style UI can be confusing initially Pricing can increase quickly for teams
Anonymous User · Sr Architect · Accounting · April 9, 2026
Pros: What I liked most about Smartsheet is its flexibility - it combines the familiarity of spreadsheets with powerful project management features, making it easy to organize, track, and automate workflows. It’s also great for collaboration and scaling across teams, even if it takes a bit of time to unlock all its capabilities.
Cons: What I liked least about Smartsheet is that it can get a bit complex and not very intuitive for new users, especially with advanced features. Pricing can also add up quickly, and some functionalities feel less powerful than more specialized tools.
Elon E. · Compliance · Financial Services · April 8, 2026
My overall experience with Smartsheet has been good. It is very helpful for organizing projects and keeping track of tasks and deadlines in a structured way. Once you get used to it it becomes easier to manage work efficiently.
Pros: I liked how Smartsheet helps organize work in a very structured way. It makes tracking tasks, deadlines and projects easy and everything stays clear and well-managed in one place.
Cons: It can feel a bit complicated at first especially for new users. There are many features, which can be overwhelming and it takes some time to learn how everything works properly.
Anonymous User · Assistant Trainee · Banking · April 6, 2026
I think Smartsheet is a powerful tool, but be prepared to invest some time in learning how to use it effectively!
Pros: I can set up workflows, track projects, and collaborate with my team without getting overwhelmed by complex tools. The interface is clean and intuitive, which made it easy to jump right in. I love how you can customize your sheets to fit different projects, and the automation features have saved us a ton of time. It’s made our meetings way more efficient since we can pull up reports and updates in real-time.
Cons: However, I found the learning curve to be a bit steep. Once I got the hang of it, things got easier, but it definitely took some time and patience.

Having the position of the Sales Representative, I have to ensure maximum productivity in spite of all the pending orders and production deadlines. Using Smartsheet, I am tracking all of my sales pipeline and custom commissions, which is made possible thanks to the flexible and spreadsheet-oriented interface provided by it.
Pros: The simplicity of use with regard to managing tasks is remarkable. With the help of this software, it is possible to track the process of production of new miniatures and to easily collaborate on projects with freelance sculptors and casting contractors.
Cons: Considering the fact that I am not running an enterprise but rather a retail company operated by myself, the price plan of the product seems to be excessively expensive. Moreover, the support service of this company is quite reluctant to assist in solving problems encountered.
