Karbon

Pros: We love the task and workflow management—it keeps all our client tasks well organised. Having a dedicated customer support person is also extremely helpful.

Cons: There are only minor issues, which are gradually resolved as the product is regularly reviewed and updated.

Pros: The work flow process that you can create, the tags you can add coworkers to an email, you can assign task and mark completion

Cons: Not able to save documents to a portal that clients need to submit for bookkeeping and accounting for record keeping

Pros: The fixed some of the previous issues that were very annoying and were making morw difficult daily tasks

Cons: Still needs to improve UI response. The UI would need an update also soon, starting to look out of date.

Pros: Karbon was the missing puzzle piece in our tech stack. We have now been using Karbon for one year and it has been a game changer for our firm. It has given us the visibility we needed in our workflow management, budget management, time tracking, and reporting. We would be lost without Karbon!

Cons: none- I can't think of anything at this point.

Pros: Features such as AI summarising communications, emailing clients direct from Karbon, task summary boards, assignees, comment features to collaborate and ask questions to colleagues

Cons: The formatting in the task sections can sometimes be a bit clunky and you need to select on multiple areas to edit or change a task detail. I feel this can be improved to find the right balance between ensuring the content is not accidentally written over but is easier to edit sections for efficiency.

Pros: Its user friendly, how it helps in planning and managing tasks. It also keeps documents and information safe. The way it helps our customer to also upload documents using the link and how customer get the support through it.

Cons: The rearrangement of emails and notifications and reminders. The affordability while it giving a lot in return.

Pros: I like the fact that is just makes my work life much easier in terms of efficiency and feeling in control. Karbon really centralises a lot of things and also just makes filing and finding information way easier. In essence it manages my workflow way better than any other software I've used

Cons: Nothing really jumps out and comes to mind, but if I had to find something, I'd say there are small things that used to bother me, but I also got used to it or in some cases Karbon updated their software and now the issues were resolved. Thus it shows how the customer support is also great.

Pros: The best feature for our team is Workflow Management, what a relief to be able to know where each work item / job is at for each client. The Task Management really help with not forgetting some of the simple things that need to be done. The fact that all the files and documents are stored in one spot and they can sync with our Dropbox is awesome.

Cons: Sending emails can be patchy at times and slow at times and there are times when you're just sitting there waiting for example a "Forward email" to load

Pros: Work flow allocation and work creation are good. Easy to create work templates and budget allocation. Timesheets are great.

Cons: Billing module is very tedious and still needs some work to streamline billing. There seems to be a lot of bugs still. Particularly with Xero integration. Contacts integration with Xero XPM is still not seamless. It would be good to be able to create calendar invites from Karbon - full integration to google calendar would be good.

Pros: Karbon offers a robust suite of features that justify its pricing, especially for teams looking to streamline operations. The platform combines CRM, task management, and communication tools in one, reducing the need for multiple subscriptions.The support team is responsive and knowledgeable, offering onboarding assistance.

Cons: Karbon is web-based only, which some users find inconvenient, especially when switching between platforms.

Pros: Karbon is user friendly and task management is easy to follow and understand allowing one to comment for all team members to see if there is. any task still pending and the reasons for the task not to have been completed on time.

Cons: So far, I am yet to come across any reason that I would consider. In terms of complexity, the system is very easy to use.

Pros: The ease of managing my client communications, workflow and priorities. I have received a lot of positive feedback from clients re the 'comment' feature. Customer support is fantastic, responses are always very prompt and detailed.

Cons: The inability to create email rules or auto-replies in Karbon. It would be useful to be able to add editable tables in emails. Also, it would be beneficial to be able to add team members to an account rather than having to pay a full subscription for a team member requiring 'basic' functionality.

Pros: Karbon has completely changed how we manage our workflow and client communication. The shared inbox and email-to-task feature make collaboration much easier across the team. Task management is clear and structured, with timelines, budgets, and responsibilities all visible in one place. It also integrates well with tools like Xero and offers strong security and user access controls. Their customer support team is always responsive and provides practical help when needed.

Cons: Some pages take a few seconds to load when switching between clients or work items, especially when many tasks are open. The reporting feature could also be more flexible, allowing custom views and filters without exporting data. Email notifications can get overwhelming if not managed carefully, but it’s easy to adjust the settings once you get used to them.

Pros: Workflow - able to create a whole step by step instructions for each task that we complete Email notificatons

Cons: Time consuming - unable to delete a number of tasks at once is annying. would like to click on a few & delete or move at once

Pros: I love that it keeps me and my team on track. We always know where each task is up to and what each team member has completed. We love that we have visibility of everything said and done via the timeline. We love that task can repeat accurately and there isn't any chance of something being missed. I love that we can attach emails to the client timeline which makes it much easier to find emails. I love the search function, it can find emails, tasks, anything in a flash!

Cons: The price especially when I have 3 part time employees using Karbon for 2 days a week each. I would love to see a pro rata cost for part timers. Support isn't as good as i'd like it to be - this could improve. Also having a presence in the Karbon facebook group to help with situations that pop up.

Pros: You can turn emails directly into tasks or assign them to team members without leaving your inbox. Shared timelines and visibility into who’s doing what eliminate bottlenecks. You can @mention colleagues, comment on tasks, and see every interaction with a client in one place.

Cons: Setting up templates, workflows, and automations can be time-consuming and requires precision. If not done carefully, it can lead to inefficiencies or missed deadlines.

Pros: I love Karbon, it’s easily the best email and workflow management system on the market. The way it brings structure to client communications and tasks makes day-to-day work far more efficient and transparent. It really helps keep my team and clients on the same page.

Cons: The CRM functionality could be stronger. While the workflow and email tools are excellent, the client record side feels a little limited, and I still haven’t figured out how to make sure emails from contacts automatically attach to their timeline.

Pros: I like that i can use it for task allocation on a weekly basis to determine what ill be doing in a certain week and also fill in my time sheet. In a nutshell it is multifunctional. Additionally, it sends out a verification code after a certain period of having logged in to ensure that the right user is using the email, this ensures security. There are short videos that are available for users to learn about karbon and guide them, this ensures customer support. It is effective but not efficient as explained below.

Cons: It takes more time for emails to reflect when using Karbon than when using other platforms such as outlook. This is something Karbon needs to work on because sometimes all you need is a quick email.

Pros: Karbon is the best practice management tool I've experienced in my 30 years experience. Its easy to use and easy to manage workflow

Cons: There are no cons! Karbon are always enhancing the platform and it gets better and better all the time!

Pros: Integrated mails timeline inside each client, easy recurring tasks for monthly / quarterly cycles, standardized work checklists, clear attribution with due dates, focused comments.

Cons: Search sometimes need be very precise, loading big lists a bit slow, and the initial setup of the templates ask an effort and you can miss stuff if not careful.

Pros: Looks like a good application, but let down by the tedious signup process, and have to wait long for the demo meetings? Problems even before getting started and did not get to experience the application.

Cons: 1. Must have a dedicated Gmail or Microsoft account (not alias and not been told upfront) 2. Must have a Demo meeting. No easy sign up process and start using. You have to wait 1 - 2 weeks for a meeting before you can sign up. 3. Must pay before even testing the system. 4. Extremely poorly trained consultants - cannot even assist with the basic problem soving. 5. Staff not reading email correctly and not responding to all queries.

Pros: The saving emails to contacts, absolutely awesome to find emails. However, sometimes it takes too long to open an email in the past, not sure i encounter it.

Cons: The assignment function, my colleagues assign tasks to me but i usually forgot to tick complete and clear the email, which leave the task incomplete in my colleagues view and i cannot search for every email to tick. Can you please update that function so i can see all the tasks assigned to me at once? Currently can only see the task i assign to others.

Pros: N/A their customer service wasn't great.

Cons: It's weird in 2025 to come across a software that doesn't allow you to subscribe from their website. You have to go through this whole consultation process, which was several days of waiting. I tried reaching out to their customer service and also chatting with the sales team. No one could get me a trial version or order form which I found to be absurd. I'm sure if there's ever a problem you won't be able to get any support for that either so I ended up cancelling the demo and taking my money elsewhere.
