It’s pretty good overall for the price can’t beat it for a basic CRM up into an advanced CRM. It still works very well for So operations to smaller operations. It can be easily scaled to be used in large operations.
Pros: The system is adaptability to integrate API‘s and workflows in a relatively easy manner. I also enjoy the ease of creating new workspaces.
Cons: I don’t like that. It’s hard to incorporate automated follow ups as well as certain apps don’t integrate within the CRM.

Our firm has been using Podio for 10 years. It has proven to be just as flexible as we need, allowing us to easily expand its functions as our needs change.
Pros: I love that it allowed our small startup company to build out our data and workflow automation needs for our niche business.
Cons: In the morning as things are just getting started for the day, Podio can be a bit slow when opening new tables. After the initial startup however, high levels of productivity ensue.

Overall, my experience with Podio has been positive. It’s a powerful and flexible platform that adapts well to different workflows and team structures. Once set up, it becomes a central hub for tasks, communication, and file sharing. While there are occasional performance hiccups and a learning curve, the productivity gains and collaboration features make it a valuable tool for managing projects efficiently.
Pros: Podio offers excellent value for money with flexible features that scale to different team needs. Its interface is intuitive, making task and workflow management straightforward. Collaboration is seamless with shared workspaces, file organization, and real-time updates. Customer support is reliable, and despite occasional minor bugs, overall usability remains smooth and efficient.
Cons: Podio can feel slow at times, especially with larger workspaces and many embedded apps. The mobile experience is limited compared to desktop. Customization, while powerful, has a learning curve. Notifications can become overwhelming, and occasional glitches or delays in updates sometimes disrupt workflow continuity overall.

Growing to use the system more for real estate but still awaiting a return call or email to increase usage
Pros: Collaboration ease, organizational convenience, growing add-ons. My husband uses the system much more
Cons: Getting a response from their team is a hope and dream. Even if you email. My assistant has been awaiting on boarding after contacting with no resolve

Overall, Podio has been a strong and reliable platform for building customized business systems. When properly set up, it can handle complex workflows, role-based access, and automation very effectively. It works best when implemented by someone who understands both the business process and the technical side, making it a great long-term solution for growing teams.
Pros: Podio is extremely flexible and customizable. It allows us to design workflows, apps, and processes exactly according to our business needs rather than forcing us into a rigid structure. The ability to build custom apps, automate processes, manage permissions, and integrate with third-party tools makes it a very powerful platform for CRM and operations management.
Cons: Podio has a learning curve, especially for new users without technical experience. Advanced automation and integrations often require external tools or technical expertise. The native reporting and UI could also be improved, and performance can feel slow at times when working with very large datasets.

I like how you can get in out, I like the search feature and I like how I can go back and edit and add things that I learned about clients. I’m also inspired knowing that it can do so much more than the basic features I’m using now.
Pros: Tremendous support. All their team members know EVERY nuance. It’s been a great way to track tasks and it’s my go to CRM.
Cons: It’s not really known as a CRM so I think I may be taking shortcuts and not taking advantage of many features and benefits.

Pros: i like how the podio is turning in now for the future and it will be more easier and save time since there will be an AI
Cons: Wha I like least is that AI can sometimes feel overwhelming or confusing at first, especially when there’s a lot of new informational all at once.
Alyssa P. · Assistant Team Lead · Commercial Real Estate · January 28, 2026
In my experience, is a platform really complete that can be customized, integrated, exported whatever you want
Pros: The simply, accountable and clear way of sharing info between teams and manage projects, customers and suppliers.
Cons: All employees must have the same kind of account even if they do not access to change models or create automations
Elena R. · Company consultant · Information Technology and Services · January 28, 2026
I love that I can pull together multiple business departments together. Ive used podio for over 8 years and have stayed loyal till now.
Pros: Globiflow and mallableness. I like that i can build my own apps. I like that its flexible and affordable.
Cons: Changing hands a lot and lack of dashboard improvements. I dont have the technical knowledge to do the best stuff or make procfu look attractive

Podio has been at the core of basically all my workflow for the last 12 years or so and it has been a lifesaver.
Pros: Customizability and flexibility; Task management; Integration with google drive; Team cooperation and coordination
Cons: Some automations could be easier (buttons) and some customization could also be easier (different item layouts).
Fabio M. · Agente Immobiliare · Real Estate · January 28, 2026
My experience with Podio has been great. I like the functions and the ability to collaborate and assign tasks to other team members.
Pros: I like the collaboration and customization abilities that Podio offers. Podio is easy to figure out and learn by yourself. It is Facebook for businesses.
Cons: Reports can be hard to run and confusing. I also dislike the ability to turn off commenting in certain areas of Podio.

Great. Very slick platform, fast uploads, capable, I'm sure it can do more, just need to find now time to stretch it's capabilities to make the most out of it.
Pros: Depth of capability of the software we use. Very fast, compatible with everything things we throw at it.
Cons: It's very good, but I'm struggling with 200 limit of files for document handing. But that's probably me missing something.
Mark G. · Technical Director · Construction · January 28, 2026
Overall it is very seemless to use and very user friendly I just used it for 3 months and I can say it is easy to get used to
Pros: The cost I don't have an idea because I'm from IT, haven't had any issues yet so I haven't contacted customer support, the ease of use is very good easy to navigate and get used to all workflows, task management is very easy and very flexible on navigation, project collaboration is a good feature and gives us flexibility on tasks.
Cons: Just a very few automation, some of our applications are not yet integrated to podio so we have to use zapier to get that running
Mac T. · IT · Translation and Localization · January 28, 2026
I love the automation features, as well as the ability to integrate RightSignature, Dynamic Forms, etc. It's really saves us a LOT of time automating tasks and emails!!
Pros: The customer service response time from our Podio rep is amazing! Jacquelyn is always available to help and super fast to respond and solve our problems when we need her!
Cons: Lack of reporting options. It would be very helpful if Podio had some better printing and reporting options.
Jen P. · Director of Plan Administration · Financial Services · January 28, 2026
Like that it is a crm all in one, coming from working with applications like salesforce. Excited to hear the incorporation of AI to the platform.
Pros: Ease of use and ability to customize. Like that you can see calls and last comments tagged to your email automatically.
Cons: Alerts and ease of making reminder more automated. But can i do more, with the app, that is my limitation.
Craig J. · Associate Vice President · Real Estate · January 28, 2026
I’ve been using for more than 10 years and love it! Collaboration with teams all over the US and Canada can be challenging but Podio makes it like we all are on the same room.
Pros: It’s so easy to use, it centralizes work, love the built-in workflows, it fits to our needs and enhances teamwork.
Cons: I would like more enhancements to add throughout the years. I do see a more internally approach moving forward.
Lisa K. · CSM · Non-Profit Organization Management · January 28, 2026
My overall experience with Podio is very good and I am really happy to use. Exporting report is much easier to find.
Pros: it is easy to use and consolidation is much good. task management is clearly highlighted. It is really value of money.
Cons: The only thing that i dont like is small bugs and issues sometimes that can disrupt the podio tasks.
Mary Muhha M. · Accounting Asst Lead · Utilities · January 28, 2026
Wonderful! It has allowed our team to take accountability forntheir work and allowed management to easily see where everyone is on each ticket.
Pros: Enables our team to communicate with each other and our clients seamlessly and easily. Allows us to keep documentation centralized and easy to locate.
Cons: It's not extremely easy to locate tickets that you were working in once you close the tab. It takes a bit of effort and digging sometimes.
Ashley H. · Marketing and AI Operations Supervisor · Oil & Energy · January 28, 2026
It has provided me with a versatile framework to manage editorial assignments and partnerships, in particular, when our operations do not align with the traditional project templates.
Pros: I prefer to create apps which represent the stages of our journal, so work, notes, files do not exist in different tools.
Cons: I do not like the time-consuming nature of setups, and sometimes bugs cause me to check whether my updates were saved.
Karen M. · Managing Editor · Publishing · December 26, 2025
Pros: Amazing flexibility and platform capabilities - high value for money! Unify all data and workflows in one place.
Cons: Configuration and set up time, but partners and templates can help speed this up to ensure customization is done to meet needs of your business.

I have been working with Podio for over 10 years, and it continues to impress me as an amazing CRM tool. Even today, I keep discovering new features, which speaks to the depth and versatility of the system. Overall, my experience with Podio has been truly excellent.
Pros: Podio is one of the most powerful CRM tools I’ve used so far. It offers huge flexibility, a user-friendly interface, and unmatched customization options — all at one of the most competitive price points in the market. Their support has become outstanding, and the Podio user community remains as strong and helpful as ever. Every business needs reminders and tasks, and Podio’s in-built task system makes this seamless. Team communication is effortless, project management is simplified, and any invoicing or payment-related issues are resolved with impressive speed.
Cons: Podio still has room for improvement with new features. Two key areas that come to mind are: A redesigned, modern mobile app The ability to assign user roles at the app and field level
Anjali Maya J. · Director · Computer Software · August 16, 2025
I've been a Podio user for 13 years. Despite its lack of internal integrations, it has always been one of the most flexible and powerful productivity tools I use. From stand alone apps to fully integrated and automated workspaces and workflows, Podio lets me build and edit custom solutions as and when I need them. I highly recommend Podio and encourage you to give it a try.
Pros: Unconstrained ability to build custom workspaces and apps on the fly. Utilizing the Advanced Workflow Automation capabilities (included with Premium plan) exponentially enhances the capabilities of Podio. With its drag-n-drop interface, Podio is one of the most flexible and powerful tools available. Podio has been a no-code powerhouse before most people even knew no-code was a thing.
Cons: Has been extremely slow to evolve with new features. Also lacks internal integrations with 3rd-party apps, replying instead on API integrators such as Zapier. Because there are no boundaries or restrictions on what you can create, the initial learning curve is a bit of a challenge. Once you begin to think like a relational database, the magic happens.

Amazing. Have dramatically helped out with multiple businesses we run through Podio. Whatever you can imagine, you can build in Podio
Pros: Podio has completely transformed the way I run my businesses. I manage multiple companies across different industries, and Podio handles it all with ease—CRM, project management, task tracking, document storage, team collaboration, you name it. The customization is unmatched; I can build workflows and apps tailored exactly to how I operate, not the other way around. I’ve used platforms like Salesforce and others in the past, but Podio runs circles around them in flexibility, ease of use, and cost-effectiveness. It’s powerful enough to handle complex processes, yet simple enough for my entire team to adopt quickly. The integrations, automation capabilities, and overall adaptability are endless. If you want one platform that can truly scale with your business, keep everything organized, and streamline communication, Podio is hands-down the best choice out there.
Cons: For a while, they were stagnant on implementing new improvements and their customer support was a bit slow in the past responding to issues. Since new ownership has taken over, things are trending in the right direction on both of these.

Me and my team use Podio all day long. I cant imagine how I would be able to run my business without Podio. The structure and ease of use makes our collaboration across multiple locations and time zones seamless.
Pros: Amazing low-code platform that allows me and my team to rethink and structure our business the way we want. Podio is so much for than a CRM and Project management. Its basically the digital backbone of our company. Its where all small or mid-size business process recide. Its where we structure and automate processes and get help from multiple AI powered workflows.
Cons: Its actually difficult to understand the full potential of Podio from the beginning. Also it has a fairly steep learning-curve, but once you get the core concepts in place, then its all up to my teams imagination to problem solve and create value!
Anders Bendix K. · Partner and Founder · Management Consulting · August 12, 2025
Podio has been a game-changer for our team. Its flexibility allows us to setup workflows exactly to our processes. Collaboration across teams has improved significantly, and integrations with other tools have streamlined our daily operations. The value for money and ease of use make it an excellent choice for project and task management.
Pros: Flexibility, ease of use, excellent team collaboration, customizable workflows, and powerful API for external integrations.
Cons: Nothing significant so far, the platform meets ours & our client needs very well. The UI could be more modern, but it works really well and doesn’t affect functionality.
