Overall, we are very happy with Clearooms. It has largely been a set and forget solution for us, with users adopting the application without any issues. It is straightforward and does what we need, while still providing the security features we require.
Pros: We implemented Clearooms in early 2023. It was the simplest hot desking management tool to set up, with built in support for SSO and user provisioning. It also came in at a lower cost than competing options. Whenever we have needed assistance, the support team has been straightforward and responsive. An added benefit is that Clearooms supports visitor registration alongside meeting room bookings. Our team accesses the platform through the Teams integration, the mobile app, and the web interface. They particularly value being able to see their booked desk on the uploaded floor plans.
Cons: Placing all desks on the floor plan can be a little fiddly. The app’s design could also be improved but given the overall value it is a minor drawback.

After two years of using this - it is our go to booking system for hot desks around the country. No major issues during our time using it and a very simple symstem to use.
Pros: Its clean and simple to use, we have this rolled out to 250 employees in the UK and very rarely have any issues, the guys at Clearooms are always on hand to support for minor changes I need making to my room plans.

Cons: I find the mobile app a bit glitchy sometimes but its always resolved quickly. This doesnt happen too much so not a huge issue.

Onboarding and support were great, any issues we had were solved very quickly and few and far between.
Pros: Simple, cost effective and easy to train teams on. We implemented for visitors into our shared office and worked like a dream.
Cons: Lack of integrations, would have been great to get the Slack notifications when visitors were on their way up as the emails would get missed.

Pros: Clearooms streamlines desk booking throughout several sites. Being able to upload our own floor plan makes booking so much easier and more accessible, too.
Cons: Some of the more advanced settings can be a little confusing but the support team do help in a swift manner.

We decided to get Clearooms post-Pandemic when hot desking became our new norm. Getting our floor plan created on Clearooms was a super easy process which involved us sending over our floor plan which was then created digitally. If we required any changes, these were really easy to do. It has been great having [sensitive content hidden] as our contact. She provides such prompt responses and is so efficient when we wanted things changed or needed to edit our package. Her customer service has been excellent!
Pros: Clearooms is an extremely easy platform to use. Booking a desk is a 2 second process and it provides a great visual on who is 'in' the office - no need to email people and ask as you can just check Clearooms to see who has booked which desk!
Cons: I think the only thing I would like is the ability to do same day bookings as I don't think we are able to do this, unless I am wrong!

Very happy with the system, pleased to be using it. Not had any complaints from the team which is praising indeed given they build digital solutions themselves.
Pros: Value for money, we have 80 staff 22 desks. The way other systems are costed was disproportionate to the usage we would have. Also, Dawn is so helpful, in my new role I’m dealing with a lot of different systems and struggling immensely with trying to get an account manager or a customer support person to actually listen to me and help me with an issue I have. Dawn has been great for this. Employee of the month.
Cons: As an admin, the back section has quite a lot of intricate detail. I appreciate for bigger companies who have multiple buildings it’s probably required but for our version it feels that may be a lie to touch back system admin would be potentially better. Sometimes I feel lost when I’m looking for something unless I know exactly what it is that I’m looking for.

Clearooms has made desk and room booking much easier for our teams. The floorplan view helps people find open spaces quickly, and the Outlook and Google calendar sync keeps everything in one place. Setup was smooth, and most employees could use it without training.
Pros: Easy calendar sync with Outlook and Google, clear visual floorplans, SSO and kiosk/mobile check-in options, and features to reduce no shows.
Cons: Some pages can be slow under load, integrations beyond the major calendars are limited, and large floorplans may require vendor assisted setup rather than a native bulk import.

Pros: My organisation operates in hybrid setup and clearooms has helped us effectiently manage the available office desks for anyone working from office. This has helped gretaly to reduce overgrounding of office premise and the hr team can well balance the office commute of all employee.
Cons: Nothing as such. The admin team really likes the high level map view of all the seats with color indication.

Clearooms is a simple tool that makes me check availability and book a space in just a few clicks. The interface is clean and anyone can use it without training. The features are limited with limited customizations at the booking level but, it's a great thing to have for day-to-day needs, it gets the job done smoothly.
Pros: What I really like about Clearooms is how simple and stress-free it makes things. I didn't need a demo or guide. I just opened it up and started booking rooms right away. It's super easy to see which spaces are free, so no more back and forth messages or double bookings. It connects with my Outlook calendar, which saves a ton of time.
Cons: Clearooms is super helpful but the load time can be a bit slow at times especially when switching between applications.

We started using this software in our coworking space in Alicante, especially with the summer season bringing in lots of digital nomads. It’s helped us solve the problem of no-shows. People were reserving desks or meeting rooms and then not showing up, which meant others couldn’t book even though the space was actually empty. Since implementing it, things have run much more smoothly.
Pros: The automatic cancellation feature has been a game changer. We have it set to cancel bookings after 30 minutes if the person hasn’t checked in, and that alone has helped us free up unused space quickly and keep things running efficiently. The interface is very clean and easy to use, both on desktop and mobile. It didn’t take long for our team to get the hang of it. I also appreciate the pricing model, it’s based on the number of desks and rooms rather than users, which is much more flexible and cost-effective for our setup.
Cons: Nothing major so far. I’m happy with the software — it’s been smooth to use, and the team has been really helpful since it’s our first time using something like this. I actually discovered the app on Capterra and I’m glad we gave it a try!

The overall experience with Clearooms is good. We found it very reliable in day-to-day bookings. Its customization feature is very easy to use.
Pros: One of the best features of Clearooms is that it is very easy to use, and the user interface is user-friendly, making it very simple for non-tech people to work on it and book their meeting rooms easily. It can also be customized based on your needs and can be integrated with other 3rd party tools such as Google Calendar, etc.
Cons: The load time is very slow, which affects the user experience and also lacks integration with other calendars, such as Apple Calendar etc.

For a first time user of Clearooms, i can say without doubt that it is an easy to use product. The interface is well organized making it easy to access all information about the meeting space. Clearooms has given me the most epic experience in booking and accessing our meeting rooms.
Pros: My learning curve with Clearooms was so brief and i was able to learn all the basics on my own with additional help. Accessing meeting rooms information is so easy which helps keep up with all that is taking place in the meeting rooms. With the space availability tool, it gets so easy to find a slot in our meeting rooms without having to call anyone to book a space for me. Clearooms secure access features like single sign on makes it convenient and secure to access meeting rooms floor plans.
Cons: It lacks many integration options and only integrates with a few other products. Other than this, i have not had any other concern.

Clearooms has resolved a lot of our challaenges around space management. Our team can easily find available spaces without any confusion. It's also nice that it tracks usage analytics, making it possible to optimize our space better. Barring minor hiccups, it delivers well on its core promise.

Pros: It is also important to note that Clearooms is compatible across different platforms. Regarding the access to the system by desktop or mobile devices the same experience will be provided to all the team members to book the spaces.
Cons: As for the reporting analytics it deserves somewhat criticisms as well. The regular gaps that we experience when analyzing space in detail hamper the ability to make informed decisions when managing offices.

Pros: From the features offered by the Clearooms we particularly liked its access control integration. This made it possible for only the authorized members of the teams to book for certain sections thus increasing security.
Cons: Although it is user friendly the user interface seemed slightly dated compared to other tools I have utilized. At times the real-time availability updates were somehow slow resulting to the cases of double bookings.

Pros: The clearoom floor plans show vacant desk space in relation to ocupants hence enabling one to obtain or select suitable open work stations for the team. This feature has helped in enhanced desk allocation within the company.
Cons: There is no option for check-ins where people can book for part of the day on the mobile application. This constraint ensures that the users have to use the desktop version to do this, which may not be the most convenient to an employee on the move.

Pros: I found it rather simple to install and begin utilizing Clearooms. It has been easy to use with the desk and room booking function and the Single Sign-On so employees could use it without too much difficulty.
Cons: I think that the notification system could be better as well as more developed. At times the reminder of the booking made was a little early or no reminder was made at all thus making slight inconveniences.

Pros: Clearooms provide a detailed analysis and a set of reporting features which have actively contributed to quantify the usage of workplaces. This has informed our decisions on changes to the office layouts and the distribution of the resources.
Cons: During the initial setup the desks’ and rooms’ details were entered manually which was inconvenient since our office is quite large. It would have been convenient if this data could be uploaded in bulk.

Pros: Some of the things I loved were the way Clearooms facilitated the booking of desks and meeting rooms. Single Sign-On helped to save time while the integration of access control allowed restricting the availability of spaces only to the specified people.
Cons: Occasionally it was also found that the availability had not been updated from real-time what essentially resulted to double booking. This warranted some manual handling to fix which I found a little bit irritating.

Pros: Clearooms’ use of real-time desk and room availability has enabled easy bookings. Recapturing of the pre-existing calendars enables organization of schedules and coordination in order to avoid clash of dates by everyone.
Cons: I realized that there are no other notifications for low battery on the room consoles other than through Slack or email. It need to be delivered directly within the mobile app to make it easier to respond as soon as possible.
