Average - some elements are really positive and add value but others are difficult and detract from the platform.
Pros: It's easy to structure and contain information maling it a useful tool for design documents especially when there are multiple linking aspects.
Cons: The fact the information that you can display from Jira is limited OR has to be manually added in. If confluence had its own tracking capabilities it would add so much more value.

Confluence is an industry-standard documentation tool that makes life easier. I relied massively on the tool when I was a beginner at my company to familiarize myself with the processes. Rovo is changing the entire face of the tool. The company does not have to pay for an internal RAG system, as the company documentation tool itself is incorporating it!
Pros: Its one of the best Softwares available for documentation. The layout is user friendly. The adaptation of internal AI agent ROVO is the best feature so far. users can directly ask the Bot questions without navigating to the exact path of the documentation. The templates are also a massive time saver, they prevent you from staring at a blank white screen.
Cons: There are not many cons that I can think of . The search function sometimes is annoying , producing results that are irrelevant. The permission system is actually a time consuming task for the admin eventhough its important for the internal security of the documentations.

Confleunce is a great tool to store all information and documents on the one site , it is like a library for products /projects. Great to share with stakeholders who can view all information in the one place.
Pros: The Pro's of confluence is it allows you to store content about your products in the one place and it allows you put links on to the one page to have all your documentation for stakeholders to view and read easily. It also allows you to link to your Jira page which helps keep everything in the one place
Cons: Cons of confluence are , I have found it quite a learning curve and quite hard to work out how to update confluence. It takes a while to get used to using this.

Overall, my experience with Confluence has been positive. It is a strong platform for internal documentation, file sharing, project collaboration, and knowledge management. It provides good value when teams actively maintain their spaces and use clear templates. The platform is especially helpful for SOPs, IT documentation, project tracking, meeting notes, and onboarding resources. The biggest challenge is governance — without proper structure, it can become messy over time.
Pros: Confluence is very useful for centralizing documentation, procedures, project notes, internal knowledge, and team resources in one place. I like that pages can be organized into spaces, linked together, searched easily, and updated collaboratively. It works well for teams that need a shared knowledge base instead of relying on scattered Word documents, emails, or chat messages.
Cons: Confluence can become cluttered quickly if spaces, page ownership, and naming standards are not managed properly. The editor is generally good, but formatting can sometimes feel restrictive or inconsistent, especially when converting content from other files or trying to build more polished documentation layouts. Permissions can also take some time to structure correctly.

Very useful tool for internal documentation and shared knowledge. Useful to centralize procedures, meeting notes, project pages and team information.
Pros: The best thing is that information stays in one place instead of many emails or lost files. Teams can create pages fast, update documents together and keep history of changes. Very practical with Jira also.
Cons: If governance is weak, spaces can become messy after some time. Too many old pages or duplicate content can make search harder. Need some discipline.

My overall experience with Confluence has been very positive. It’s a powerful tool for team collaboration, documentation, and knowledge sharing. I’ve used it extensively to create and manage documentation, track processes, and maintain a centralized knowledge base, which has significantly improved team efficiency and transparency. That said, the experience can vary depending on how well the workspace is structured and maintained. In well-organized environments, it works exceptionally well, but in larger or poorly managed spaces, it can become cluttered and harder to navigate. Despite a few limitations like occasional performance issues and basic formatting constraints, it remains a reliable and valuable tool for collaboration across teams.
Pros: What I liked most about Confluence is how it brings everything into one centralized, well-organized workspace. It makes documenting processes, sharing knowledge, and collaborating with team members very seamless. The page hierarchy and search functionality make it easy to find information quickly, even in large projects. I also appreciate how easily it integrates with other tools, especially Jira, which helps keep development and support work aligned. Overall, it significantly improves team collaboration and transparency.
Cons: What I liked least about Confluence is that it can feel slow and cluttered, especially as content grows over time. Without proper structure and maintenance, spaces can become disorganized and hard to navigate. The search feature, while helpful, doesn’t always return the most relevant results. I also found formatting to be somewhat limited compared to other documentation tools, and managing permissions can sometimes be confusing.

It’s an powerful tool for team collaboration, and once you start plugging in AI tools to create custom workflows, it gets even better. But I have to take off a star because the lack of a clean, minimalist UI can be exhausting. If they could just clean up the interface and make it less heavy, it would be perfect. Still, since it is the standard, everyone knows how to use it
Pros: One of the coolest things lately is using the ChatGPT connector with Confluence - you can build some really impressive automated workflows for generating or organizing docs. Aside from that, the core teamwork features are great. Multiple people editing, leaving comments, and tagging each other just works well. It’s the industry standard for corporate wikis and documentation for a good reason
Cons: The design is way too cluttered. There is absolutely no minimalism here. The interface is packed with buttons, sidebars, and menus that just get in the way when you want to focus on reading or writing. If you just want a clean, simple space to draft a quick document, Confluence feels way too heavy and visually overwhelming

Great overall and amazing place to document stuffs that are critical for your business . Highly recommend
Pros: I liked the options it gives in form of macros that help me create extremely attractive documents for people to read and refer to
Cons: Primarily for me it would be how its permissions of spaces and pages is layed out , a little confusing for anyone starting

julia k. · commis adrministration et comptable · Construction · April 27, 2026
Pros: I really like how they have added dynamic page tree restructuring and made editing so much more streamlined.
Cons: Sometimes it can still be overwhelming to collate and organize my pages in the app. This is the biggest drawback to any company wiki, however.

Overall my experience with Confluence has been very positive. At NextDay, we use it as our central hub for all technical documentation, including API contracts, front-end and back-end architecture docs, and system flow diagrams. One of the biggest advantages is the ability to integrate with developer tools via MCP or API, which allows us to create and read documentation programmatically using tools like Claude Code. Having a single, reliable place for all our technical knowledge has made collaboration and onboarding significantly easier.
Pros: Excellent for organizing technical documentation in a structured and searchable way. The integration with developer tools through APIs and MCP makes it easy to automate document creation and keep everything up to date. The ability to document architecture, API contracts, and system flows in one place keeps the whole team aligned. Having a single source of truth for all technical knowledge has made collaboration and onboarding significantly easier at NextDay.
Cons: The editor can feel a bit slow when working with large pages that contain many embedded elements. Search could also be more precise when looking for specific terms within technical documents.
Kaynan S. · Senior Software Engineer · Entertainment · April 23, 2026
In general, Confluence is a dependable and indispensable software that ensures the documentation is always up-to-date and team collaboration is supported. As a technical product support person, it is very important for me to have a very good organised knowledge base, and Confluence help me a lot in creating, updating and sharing information through different teams. If you add Jira to the mix, you get a really strong environment for monitoring work and recording workflows. Though there are some issues with large scale organization, it is still one of the best tools for structured documentation and internal knowledge management.
Pros: Confluence very effectively centralizes documentation and provides a single source of truth among many different teams. Its page editor is very easy to use, and it’s very simple to create structured knowledge bases due to its ability to embed Jira issues, diagrams, tables, and multimedia. In addition, Confluence has great collaboration features, such as inline comments, version history, and page permissions; therefore, teams can collaborate on content without losing control of it. Confluence is particularly useful for product documentation, process guides, and cross-team knowledge sharing.
Cons: Unstructured and poorly governed large spaces can lead to navigation challenges. There can be instances when search results bring up old pages and managing permissions for multiple spaces can take up a lot of time. Although the editor is quite flexible, it can sometimes get sluggish for heavy pages. Some advanced formatting features are only available through plugins, which may make things a bit more complicated.
Hadi B. · Product Coordinator · E-Learning · April 23, 2026
Confluence has become our 'single source of truth.' The tool provides effective organization because it replaces our disorganized shared drives. The system becomes efficient after users learn to operate macros which include the table of contents and JIRA snapshots. The system needs time for users to learn its features but it has become essential for our team to manage their knowledge base.
Pros: The main advantage of Confluence software lies in its ability to unify all content into a single system. The 'Spaces' structure makes it very easy to organize documentation by department or project. The real-time collaborative editing feature of the system works perfectly because it stops all problems that come from managing different document versions. The system's built-in connection to Jira enables users to associate their technical work with corresponding documentation which becomes essential for their operational needs.
Cons: The search functionality operates with two main drawbacks because users must already know the exact page title to complete their searches. The page editor software becomes difficult to use when users try to create complex page designs that include multiple levels of table structures which leads to formatting problems.
Enguerran M. · Fullstack web developer · Sporting Goods · April 23, 2026

Pros: $99
Cons: One thing I don’t like about Atlassian Confluence is that it can start to feel a bit cluttered once you’re part of multiple spaces and pages. Finding specific information isn’t always as easy as it should be, and the search doesn’t always give the most relevant results. Performance can also be a bit inconsistent. Sometimes pages take longer to load, especially if they have a lot of content or embedded elements, which can interrupt the workflow. Another downside is that permissions and page structure can get confusing, especially for new users. It’s not always clear who has access to what, and managing that can take some time. Lastly, while it has a lot of features, some of them feel a bit limited unless you start adding plugins, which can increase cost over time.
Anonymous User · Software Engineer · Information Technology and Services · April 21, 2026
Confluence is a solid documentation and knowledge management tool that works best when the team is disciplined about how they use it. The Jira integration and structured page organization make it a natural fit for software and project teams that need a single source of truth. However it does require upfront effort to set up properly and ongoing maintenance to keep it from becoming a dumping ground for outdated pages.
Pros: It centralizes all project documentation in one structured space made it incredibly easy for the whole team to stay aligned without digging through emails or scattered files. The page hierarchy and space organization felt intuitive once set up, making it simple to find the right document at the right time. The integration with Jira was a genuine time saver
Cons: Search functionality is another challenging point as it doesn't always surface the most relevant results, especially when pages haven't been tagged or titled consistently. Page management also becomes harder to maintain over time as spaces grow, and without strict team discipline around naming and organization, things can get messy and hard to navigate quickly.

Useful tool that is a vital part of our agile sprint processes and ceremonies where we can capture vital documentation easily
Pros: Good tool for my team to capture knowledge centrally rather than keeping it in someone’s head or random doc
Cons: Too many documents might make search-ability difficult but that could be due to the way we’ve organised the folders
Anonymous User · Product Owner · Broadcast Media · April 16, 2026
My overall experience with Confluence has been mostly positive. It’s helpful for organizing notes and working on group projects, and it’s fairly easy to use once you get used to it. There are some bugs and slow moments, but overall it gets the job done well for school work.
Pros: Confluence is a good tool for keeping our documentation in a central location and feels worth the money. It’s easy to use, makes sharing of documentation easy with clients and people I work with. It has useful features, but there are some bugs at times.
Cons: Some pages don’t load properly or take a long time to open. Formatting can also break, like text moving around or images not showing up right. Sometimes edits don’t save straight away, which can be frustrating. Customer support is okay, though it can be slow to reply.
Michael M. · Senior Implementation Analyst · Computer Software · April 16, 2026
Overall my experience with Confluence has been very good. It meets the needs of nearly any document writing use case and if future upgrades continue to bring additional integrations with other services I think it would become an outstanding product. I've used Confluence almost daily for several years and will likely be continuing to use it for many more.
Pros: Confluence is easy to use and acts as a common central repository for everything from documentation to meeting notes. I like some of its newer features such as live editing for documents, and search results that can include messages from a linked Slack account. I've used some of its less commonly noted features like blogs to a degree and find them very helpful in some cases (such as publishing a period internal newsletter for other engineers).
Cons: Confluence has historically not had the greatest search functionality in my experience. I think it is getting better and recent improvements are going in the right direction, but more is still needed (finding a document I'm looking for is still sometimes surprisingly challenging).
Gunther C. · Software Engineer · Computer Software · April 15, 2026
My overall experience with Confluence has been positive, especially for organizing and sharing information within a team. It’s very useful for documenting projects, keeping track of decisions, and making sure everyone has access to the same information. Once things are structured properly, it becomes a reliable source of truth for the team. That said, it does require some discipline to keep content clean and up to date. Without that, it can quickly become cluttered and harder to navigate. Overall, it’s a solid tool for collaboration and documentation, particularly in team environments where clear communication and knowledge sharing are important.
Pros: What I like most about Confluence is how well it centralizes knowledge and makes documentation easy to manage. It’s very useful for keeping everything in one place project notes, requirements, meeting summaries so the whole team can access and update information without confusion. The structure with pages and spaces helps keep things organized, even for larger teams. I also appreciate how it integrates smoothly with tools like Jira, which makes it easier to connect documentation with actual tasks and workflows. Overall, it simplifies knowledge sharing and helps teams stay aligned without wasting time searching for information. Select 4 more words to run Humanizer.
Cons: What I like least about Confluence is that it can get messy over time if it’s not well maintained. Pages pile up, outdated content stays there, and it becomes hard to find the right information quickly. The search isn’t always reliable either, especially when you have a lot of content. You sometimes know the info exists but still struggle to locate it. It can also feel a bit heavy and slow, particularly with large pages or when multiple people are editing at the same time.
saidi b. · product designer · Design · April 6, 2026
Confluence is fantastic in theory and mildly chaotic in practice. If your team has discipline, structure, and a shared respect for information architecture, it’s a dream. If not, it becomes a digital attic full of well-intentioned clutter. For storing knowledge, collaborating on documentation, and keeping long-term records, it’s extremely useful. For quickly finding anything during a meeting while someone says “it’s definitely in Confluence somewhere,” it’s a character-building experience. Value for money is solid if you actually use it as intended. If you don’t, you’re essentially paying for an extremely expensive cupboard.
Pros: When used properly, it’s brilliant. A proper knowledge hub where documents, decisions, and meeting notes live in civilised harmony instead of haunting inboxes. The document management is strong, version history is reassuring, and collaboration feels smooth — like Google Docs but wearing a blazer. Search functionality is surprisingly competent. You can usually find that meeting note from three years ago that nobody remembered writing. File uploads are painless, and storage is generous enough that nobody feels the need to delete anything, which is both a blessing and… not. Ease of use is decent once you accept that you are now living inside a wiki from 2007 that has had a few polite refurbishments.
Cons: The navigation. Dear lord, the navigation. Finding information is either incredibly easy or a full archaeological expedition depending entirely on how your team set it up in 2019 and then never touched again. Pages breed. They multiply quietly in the night. Before long you have six versions of “Final_Project_Plan_v3_ACTUAL_FINAL” scattered across different spaces like a documentation crime scene. Customer support is there, technically, but mostly you’ll find yourself Googling your own problems and landing on a forum post from 2016 with no answers.

It's a great platform for documenting protocols, functioning as source of truth for all things related to the business.
Pros: The straightforward interface makes it accessible for all team members, from non-technical users to experts.
Cons: Sometimes the user experience can be particularly tedious, with hidden elements for seemingly easy tasks.
Branko J. · Sales Operations Associate · Financial Services · April 1, 2026
Overall, my experience with Confluence has been positive. It’s a reliable tool for creating, managing, and sharing documentation within a team.
Pros: Confluence has real-time editing feature is very helpful for team collaboration, and the integration with tools like Jira improves workflow efficiency.
Cons: Confluence can feel slow and cluttered, especially when working with large spaces or a lot of pages. The search functionality is sometimes not very accurate,
Prachi V. · Frontend Developer · Information Technology and Services · March 31, 2026
My overall experience is good. We use it in a limited form, we create a page and name it, set up if we require a tree directory so we can have sub pages and folders and build from there
Pros: It's a centralized document management system that allows our team to collaborate and share knowledge to allow any of us to carry out tasks that we otherwise would not have the knowledge to do so
Cons: There is a required learning curve and before a certain level of understanding is attained it can be a little difficult to get setup and going. Each page has to be unique so we sometimes need to be creative with our titles as it can't cope with duplicates under different categories, so for example Google under user process guides, you can't also have Google under say troubleshooting.
Dan H. · Helpdesk analyst · Education Management · March 27, 2026
Overall it is still one of the best tools to use these days. I would recommend to anyone who needs a wiki page for their office
Pros: Still a great tool to get everyone on board to take notes and share notes about their workflow and process
Cons: Can sometimes get a little too messy, may need more tools to help employees with their formatting of entries
