Overall my experiance has been mostly positive. It’s a solid platform for document management, especially for businesses that need better organization, security, and workflow control. Once users get familiar with the metadata based approach, it can save a lot of time when searching and managing files. At the same time, it may need some training and proper setup to get the best results. Overall it feels like a strong business solution rather than a simple plug and play tool
Pros: What I liked most about M-files is how it organizes documents using metadata instead of just folders, which makes searching for files much easier once everything is set up properly. It helps reduce the mess of shared drives and makes documents easier to find by project, client, date, or other filters. I also like the workflow automtion and version control features which are useful for approvals and keeping track of changes. It seems especially strong for companies that handle a lot of documents and compliance needs
Cons: One thing I didn’t like is that there can be a learning curve, especially for users who are used to normal folder systems. The interface and setup can feel a bit complex in the beginning. Ive also heard some users mention occasional slowness depending on configuration or how the system is implemented. It’s powerful but not always the most beginner friendly option

We were loyal customers for 12 years. We purchased what we believed was a perpetual license — the certificate explicitly stated "License expires: Never." After deciding not to renew our annual subscription, we discovered our data was completely inaccessible. M-Files' position is that we can use our old perpetual license key with software from 2014 — but after 12 years of automatic updates that upgraded our vault structure, that software cannot read our current data. This is a catch-22 built into the system: automatic updates prompt vault upgrades, which makes old software incompatible, which forces ongoing subscriptions to access your own data. Our business records are effectively held hostage.
Pros: The software itself worked well as a document management system for 12 years. The search functionality and metadata organisation were genuinely useful for managing business records.
Cons: Our 2014 license explicitly stated "License expires: Never." After letting our subscription lapse (which we understood to cover support and updates only), we lost ALL access to our vault — our own data, on our own on-premises server. M-Files' solution was to use 2014-era software with our perpetual license. The problem: every update over 12 years prompted us to upgrade the vault structure, warning that "some features may not work" if we declined. Now 2014 software can't read our upgraded vault. This appears to be by design. When we raised this with their Australian partner Storata, we were threatened with "equal and aggressive force" for considering negative reviews.

It has potential if you are solely Windows based but not compatible with other cloud based systems. Works however leaves a lot to desire
Pros: Still provides an efficient and secure method to lock our documents and provide version control aligning with the ISO requirements
Cons: We initially went with M-Files as they promised we could integrate their system with Google which our company is based on. They’ve never been able to fulfill that requirement resulting in us running two systems for documents

Overall it's good alternative for less costly , I'll not use cheaper as it's not cheap but at affordable cost.
Pros: Easy indexing files like you can find a particular file from a pile of files. Easy to use with good AI feature with faster response.
Cons: Support is not up to the mark as it's slow and if you stuck you can not go further. As it has too much feature sometimes confusing.

En general, M-Files me ayudó a tener más control sobre la información de la empresa. Una vez que le coges el ritmo, se vuelve una herramienta muy poderosa para mantener todo en orden y evitar duplicados. No es perfecto, pero cumple muy bien su propósito y termina ahorrando tiempo.
Pros: Lo que más me gustó de M-Files es la forma en que organiza los documentos. No tienes que estar pensando en carpetas infinitas, sino que todo se busca por metadatos. Eso hace que encontrar un archivo sea rápido y sin estrés. Además, la integración con otras herramientas de oficina es bastante fluida.
Cons: Al principio la curva de aprendizaje es un poco dura. La idea de trabajar con metadatos en lugar de carpetas tradicionales puede confundir a los nuevos usuarios. También la interfaz, aunque funcional, se siente algo anticuada en comparación con otros softwares más modernos.

M-files is very easy to use and you can access it over Mobile apps.My experience has been superb and very fruitful. Kudos Mfiles.
Pros: Let's all agree that M-files is the best document and information management software you can ever get. My favorite feature is the security and compliance tools. Automate your approvals, notifications and tasks with M-files. The fact that it integrates with with so many software makes it the right one.
Cons: Mfiles has really helped me and I will be so selfish to complain. Your customer support is so incrediblly helpful.

Now I do not need to manually check for documents or shuffle through shared drives. It made my work faster and now I store my documents in a organized way.
Pros: In M-Files I manage all project documents, here I can quickly tag all files. It takes few seconds to find any contract or document. So it actually saves us a lot of time.
Cons: Atfirst it took me some time to get used to using it but now all good. Sometimes it can get slow but it works best with good internet connection.

We mainly use it to manage legal and administrative documents within the company. It’s also used to share files securely and efficiently with clients.
Pros: The search function is extremely accurate — just type a keyword and the system instantly finds the right document. The ability to access files from any device, even outside the office, is a major advantage.

Since we started using M-Files, we’ve achieved complete control over all our internal documents. Scalability is a major advantage, whether it's a small project or a large customer, M-Files grows with them.

Cons: Accordingly, I have no criticism for any features. Very fast loading timea of the input forms. This is what I call perfect.

Overall it was fantastic experience with secure file management and ensuring we are securely sharing them.
Pros: Ability to control document meta data and document sharing with top-notch security was something we found very impressive. Managing files of larger size and sensitive information was critical as well.
Cons: Sometimes the file search showed error for duplicate file type. Customer support was slow to take our queries initially which was resolved later.

It made it easier to manage and track my payment related documents across different departments. Once you get a hang of it, it helps reduce confusion and it keeps things pretty consistent.
Pros: What I mainly like about M-Files is that it's easy to keep everything organized making what I need easy to find. I deal with a lot of transactions record as a payments agent and it makes it easy to locate the right file instantly.
Cons: At first, it could feel a little bit too technical, especially when setting up workflow and all that. I guess it just takes a little getting used to. Also, search result can be a little too broad if the tags aren't used consistently by my team.

Over time, M-Files became the backbone of our document workflow. The search is so fast that no one wastes time looking for old versions anymore, and the control we have over information made teamwork much easier. I honestly can’t imagine going back to shared folder chaos.
Pros: I especially liked how it handles version control. No duplicates, no confusion — every edit is tracked, and I can roll back at any time without losing a thing. The Outlook integration was also a lifesaver, letting me store emails and attachments directly into the repository with just a click.
Cons: It wasn’t all smooth sailing, though. Getting used to thinking in “metadata” instead of “folders” took me a couple of weeks. Once that mindset clicked, though, everything started flowing naturally.

We use it to digitize and automate document processes - for example, for incoming invoices, contract management and archiving. This central, structured filing system saves time, reduces media disruption and supports cross-location collaboration.

We originally used M-Files purely for document management. We now also use it as a mail archiving solution. Since the system stores not only regular correspondence but also documentation and various other files and documents.
Pros: As an open source standard software, it is like a chameleon, adapting to any business environment. Regular tasks are completed highly efficiently and with significant time savings, whether in a ten person operation or with hundreds of users. Connects processes from ERP systems, emails, file structures and CRM/accounting programs. The system enables central storage of all documents and content, making information quickly retrievable and avoiding redundant data.
Cons: Even though the documentation is really helpful and offers many examples, you should plan for a somewhat longer training period both for your own development and for administrators.
