The clients used to forget the date/time of their scheduled video shoot but now with the automated messages sent by Vcita, they remember. I was able to create my terms/conditions prior to payment – this was good. With Vcita, I rarely get double booked.
Pros: It creates an appointment on my calendar with no need for me to call and ask students for their availability. And to be honest, I think that having all my employees listed on there (as opposed to having one employee listed) has worked out way better than I expected and has not crashed yet.
Cons: If two or more customers are registered under the same name, Vcita will merge their information and send the email address of the old customer to the new customer. This is "normal" according to Vcita support which blows my mind. Every time I try to export more than a handful of files Vcita will crash and I’m unable to get my data out, good luck trying to leave Vcita. The pricing is a little too high as well.

Cons: Sometimes, the calendar still takes a while to load. This is the same for desktop, iPad, and phone.

Pros: I've had vcita for several years now and appreciate the comprehensive services they offer besides just the basic booking platform. I transitioned from a different system because I needed extras like being able to sell packages (vs single services), offer occasional discount codes, communicate with clients privately while keeping all the communication in the same place to refer to for later. I also like being able to send out e-newsletters and have an AI feature to help me polish my messages and give suggestions with integrated call to action buttons. And lastly, it gives multiple integrated ways to collect payments and issue automatic receipts that has my branding on everything.
Cons: Currently there's still no automated new client intake forms that is as smooth as a couple of other platforms I had seen. I hope it happens in the future though. I do have a workaround for it, so it's not a dealbreaker but I hope to see an ability to automatically ask all my new clients to complete a few required forms and automatically remind them if they haven't yet completed them before their first appointment (such as Jane app).

Vcita is a powerful platform for us small businesses and they have been a joy too work with and I'm excited when new features go live. They are always updating and enhancing our experiences.
Pros: Vcita took away most of my anxiety around how to best to communicate with my clients. They allowed the user experience to become a white glove experience.
Cons: I like the least the way I have to set up my packages. I recently uploaded new packages and the amount had to match what I already had for itemized items. It was not the best experience. Ii had to go back and change costs of services to match the packages. I should be able to set my prices the wya I see it.

Overall, I find it to be a useful platform for scheduling courses. The dashboard is easy to navigate and it is easy to share links to allow others to register as well. Vcita is a useful platform for single person registration.
Pros: I really appreciate the ability to coordinate the schedule with other schedules. I also appreciate that I can see conflicts from my personal calendar and visa versa. The platform is easy to navigate.
Cons: I wish it was easier for people to schedule groups or appointments without me first placing it on the calendar and sharing the link. I also wish people could sign up more than one person with on email address, as that is a challenge when a parent is attempting to sign two children up for a class. I also wish it allowed clients to choose from open times to schedule for a group

Overall great value for small business. I love all the tools that are available to help support many of the functions of our business. There has been great customer service and they listen to our needs.
Pros: It is perfect for a small, growing business of consultants. Lots of features such as marketing and reporting that helps guide our decisions. The customer service has been outstanding and listens to our concerns and makes updates as possible to help support us better. The calendar integration is great so we do not have to keep switching back and forth between personal and Vcita calendars. Love the client portals that give a sense of security for document management and a level of autonomy for clients to see invoices, pay invoices, and schedule services. The program is very straightforward with a small learning curve but is great for mobile or desktop applications. Truly is a good value for the money.
Cons: While there is great team collaboration, the dashboard is visible to all levels of the organization. Not all staff need the tools for reporting and seeing sales information for the business if not applicable to their positions.

The email customer support was a pain. Took too long to get an answer. By the time I got a reply, I couldn’t see it because I was actively working by then. Email tech support is too time consuming and disrupts my schedule.
Pros: The client portal flow for both the backend and the clients. Clean, easy, and professional looking. I love how I had sort of a “control panel” with functions to choose from without leaving the client portal. The price was reasonable. I love the “contact widget” that is placed on my website. I like the questionnaire feature within the booking flow. I like that’s it HIPPA compliant.
Cons: Google calendar integration. It would block off old events that were deleted months ago from being available by clients. Almost every 3rd Saturday was not showing as available for scheduling. Literally lost potential sales until I discovered it recently. Also, the sms function seems to be unreliable despite having enough credits (only with certain clients from time to time, but recently became more frequent). There wasn’t a true waitlist for service appointments, only for “events”

Overall I feel that Vcita makes it easier for me, but the key factor is that it makes it better for the students that take lessons from me. There are a few tweaks that I believe would make it better that once the student has paid for a package - they can click to where it allows them to schedule a lesson without a payment link attached. Maybe I am missing something.
Pros: Vcita makes my scheduling simple for all my students and sending out marketing. Also allows my students to pay online especially when pay once they book a time.
Cons: I wish that we have access to the better marketing tools as this make my advertising better. I feel that this make it better value.

we have used it for years for our home business and it has helped us keep up with customer's, ease for scheduling for them and contact/follow-up
Pros: value for money, customer capture, ease of setup is good and being able to make changes on the fly to adapt to market/compliance shifts
Cons: adding simple things costs money, basic is basic but effective if you keep up with customers, but overall it works well for getting customer's scheduled and informed

The customer service has been fantastic. Very knowledgeable and helpful. Timely as well. I will continue to use vcita as long as we can.
Pros: the way the calendar works really makes sense to me. It has a lot of great options for marketing but also for the overall organization of the platform.
Cons: There are small glitches here and there. Overall, I really wish we could make outbound calls with our assigned business phone number. That would be a game changer for us. We also have issues with the tipping option for invoices sporadically, and I do wish we could confirm appointments for clients in cases where they tell us directly rather than through the automated system.

We've used this software for over 4 years now and it has added new beneficial features as we've gone along. It has helped us see a much larger percentage of direct online bookings from customers since we've begun to use it.
Pros: It has lots of helpful auto features which allow you to maximise income streams. The multi calendar option also allows our business to offer a variety of different activities at the same time to manage capacity levels. The overall price for this if paid yearly is very reasonable for the functions offered.
Cons: The only element we'd like to see is the ability to book multiple people into one activity rather than needing to do a person by person. This would be an option for a dropdown menu of some type. However this is manageable as we've found suitable ways around this that doesn't impact our customers.

Pros: The client management and invoicing was convenient. The email notifications for each invoice was also helpful.
Cons: Vcita raised their prices very high after I was a loyal customer for more than a year. The price was no longer worth the offering.

Pros: I really like how vcita combines scheduling, invoicing, client management, and payments into one easy-to-use platform. Positive experience, was easy to add it onto my website and clients loved the personalised client portal. I had many complements when using vcita.
Pros: Friendly yet professional customer service. Quick response rate. Professional looking features that add onto websites with ease.
Cons: It was an expensive product, I felt I should have been given more credit for phone messages and confirmations included with the package. As a sole staff member perhaps a cheaper version for individual use.

I’ve used vcita for nearly 10 years. I only stay because I’m familiar with it but I barely use all the functions. I like the scheduling calendar and ability to take notes. That’s really all I use it for. The mobile app has constant issues loading so I don’t use it much. For the price the app should absolutely be better.
Pros: Easy to use for non-technical people. I like the widgets best for booking appointments.
Cons: Expensive with no option to eliminate unneeded features. The mobile app is one star because it always has issues loading.

Pros: Vcita offers many great features. I was eager to user the software because it truly is an all in one business management software. It offers payment collections that can be linked to my paypal and stripe accounts. It also allows my business to schedule appointments integrated via my google account.
Cons: Although the features are worth it, The almost $60 price point is simply not feasible for my business at this time. The free trial however was a nice introduction to how Vcita can a improve my business.

Cons: Not user-friendly with MailChimp or Squarespace. The additional cost for coupons and fliers. Not being able to delete recurring events when the event didn't happen.
