Overall, the challenges I encountered may not apply to everyone, and it was a solid platform for getting started. However, as my business grew, it did not scale in the way I ultimately needed. I operate in a highly regulated environment, which requires more robust capabilities as complexity increases
Pros: I found Insightly to be very easy to get started with, and from a cost standpoint, it felt like a practical, cost-effective option. I liked how simple it was to connect related contacts and keep track of important life events and milestones. Setting up routine tasks and activity reminders was also straightforward, which made it easier to stay organized and maintain consistent, timely engagement with clients.
Cons: The integrations with other applications wasn't as strong as I was looking for at the time. I run an operation with less than 5 people and we use a lot of outside applications for our business to run and it did not play well with them or not at all. This is something that has probably grown over time, but it did not happen in time for me to find another platform that did it much better.

The individual plus plan had very limited features and benefits. The Team plan was a lot more expensive and benefit rich software. I found it to be out of my budget and not very helpful.
Pros: It offers very good Security, has a fair Value for Money for individuals and teams. Good expensive Customer Support if needed. Good amount of Task Management Features and strong Team Collaboration features.

Cons: Customer support for individuals is all by email, or text. Guided Onboarding or Live support available at $1500 to $3000 for Premier Support. The individual plus plan had very limited features and benefits. The Team plan was a lot more expensive and benefit rich software.

It worked when we were a small company, but as we scaled it became worse.
Pros: Highly customisable and cheap CRM to set up.
Cons: Problematic to use and lacks of automation and integrations

It meets our needs, that might not sound glowing, but it is meant to be.
Pros: We can build functionalities that suites us without spending thousands of dollars with developers,Data can also be connected within Insightly, such as connecting contacts and organizations to request and project records.Additionally I like the Kanban view for tracking projects and the ability to pull reports and filter projects.
Cons: Wish we could customize more fields in Kanban view and assign colours for categorization.

By centralizing customer data, communication history, and project details in one platform, Insightly eliminates the need for multiple disjointed systems, reducing the chances of information silos and miscommunication.
Pros: Its intuitive user interface, making it easy for teams to adopt and use efficiently. The customizability of pipelines, dashboards, and reports enable users to tailor the system to their specific needs.
Cons: The reporting and analytics tools to be less advanced compared to other CRM platforms, making it challenging to create highly customized or in-depth reports.

Pros: It was extremely easy to install, even though I wanted to clarify some features and it was impossible.
Cons: I registered, I used it for a while for CRM purposes and then I wanted to close my account. IMPOSSIBLE! Insightly is spamming every day and there’s no way to go out of this day & nightmare
Pier Ludovico B. · CEO · Management Consulting · June 26, 2024
Pros: Very user friendly, custom views for all users is great, reporting is excellent. Custom modules have their limitations but have worked very well for our business so far.
Cons: There needs to be a better way to link related requests to opportunities.

I love it. If not for Insightly I'd be using spreadsheets and going crazy trying to track my long list of clients that includes boiler system bids, direct commercial and industrial system sales, building and maintaining relationships with mechanical engineers and architects, and a good number of residential boiler prospects.
Pros: Insightly's design is intuitive and easy to understand how to set up. I recall starting to use it on the first day, right after an initial walkthrough. We did not hire anyone to assist. Then I evolved the setup as time went by. Opportunities & Projects are key to us and with good naming practices they are easy to refer to as needed in the future after completion: such as "2023..Smith Company-New boiler project". And all parties connected to a Project can be linked so easily. Attach price quotes to it: ours to the client and supplier to us. Automatic tasks when you change from Opportunity to Project can alert others to place orders, put into our financial software, etc...
Cons: They like to push their AppConnect but we really don't need that level of complexity AND they have lots of built-in interfaces into other apps like Quickbooks (which is limited but great for small business situations where elegant interfaces are not needed. Also, we tried their Service apps and found them lacking for the kind of Service that my company does: We install boiler systems and provide ongoing services for them--not free or by annual contract. So we needed a way to easily send invoices and collect $ for work done. Insightly seemed to be oriented to Software service contract situations where annual contracts are the norm and all interactions are free and nobody leaves the office. I suppose it is good for that but not so much where you have trucks driving 100 miles to do a repair.

Overall we are very pleased with Insightly and App Connect
Pros: App Connect is amazing. It really does help with efficiencies and workflow. It does so much more than we initially thought! We especially love how it automatically calculates our numbers.
Cons: It is not as user friendly as it is made out to seem. We really do need the App Connect specialist's support. App Connect is very expensive. We are going through our 10 free hours quickly and we have a lot more project we need help with.
Megan T. · Case Manager · Non-Profit Organization Management · June 5, 2024
Pros: I really like how easy Insightly is to use. It is pretty streamlined.
Cons: Since Insightly is so streamlined, it is hard to make in-depth automations, especially when it comes to actions between different objects
Parker A. · Digital Marketing Manager · Food Production · May 30, 2024
Insightly is great a simple every day tasks, but does not handle complexity very well.
Pros: I like the collaboration capabilities with API via Appconnect, AutoCAD, BricsCAD, Loveland Innovations IMGING, etc
Cons: The cap of fields in a custom object, the automations not triggering correctly -> you have to delay triggers so that automations do not overlap and contradict each other. Sometimes automations to not trigger at all. There are a lot of holes and catch reports that need to be created.
Taylor B. · Director of Design and Engineering · Construction · May 30, 2024
Pros: I like the project management, pipelines, and the ability and ease of adding tasks and comments to various objects.
Cons: There are so many objects and fields, it takes new users a while to get accustomed to the interface. It also does not have intuitive searching and looks for verbatim entries
Elizabeth P. · Senior Customer Care Specialist · Civil Engineering · May 30, 2024
Insightly was being used for various marketing and sales data processing and activation tasks when I joined, and the account was a real mess because there was little control over who could edit which fields. As a result, no-one was following a consistent lead and opportunity management process, things like date fields became a nightmare because when exporting leads, some appeared to be using US date format and some using UK format, so identifying recent leads & opps was tricky.
Pros: The sales pipeline views were good because you could have lots of different pipeline views with filters and segmentation options applied without having to add them every time. It was easy to see pipeline value, create new fields and to move opps from one stage to another. Equally it was great for setting up automated email follow ups from demos and integrate with lots of other tools.
Cons: The lack of user management and access customisation means it is too easy to let poor spiral out of control and ruin your data. Equally the dashboards/Reports section really needs work as it’s unnecessarily difficult to create reports and dashboards for very simple metrics.

Joseph A. · IT Expert · Machinery · April 29, 2024
Pros: Insighty is super easy to use. Being able to set tasks to know who you are chasing/following up means that it's all in one place and you do not have to depend on your outlook calender.
Cons: Reports are good but can be a bit difficult to set up.
Matthew W. · School Support Lead · Information Technology and Services · April 23, 2024
an extremely useful product and runs a core part of our business
Pros: the ease of use and wide range of plugins
Cons: the restrictions on the marketing journeys
Adam H. · Marketing · Information Technology and Services · April 19, 2024
We have evolved from the early days of our organization and Insightly has evolved with us. As we learn its capabilities, we continue to find functions and create objects that increase our efficiency every day.
Pros: We have used Insightly for 8 years now and it has been so user-friendly to build our Program database. From the customizable fields to the reporting features, it does everything we need for it to do. Insightly has helped us to streamline our processes, making our mission easier to manage every day. And the reporting features have allowed us to provide every kind of data to generous supporters who in turn donate to our mission.
Cons: To get some of the features we are using today, the cost has increased significantly.
Nancy S. · Program Specialist · Non-Profit Organization Management · April 11, 2024
Pros: The visual simplicity and the ease of use for end users
Cons: Ramp time to understand how to best use it to get what I want done.
Michele C. · Account Manager and Exec Admin · Management Consulting · April 11, 2024
Pros: Ease of use. Easy CRM tool. We are happy with the services and options.
Cons: We haven't found a con as of yet! We are happy.
Holly F. · Manager · Non-Profit Organization Management · April 11, 2024
A good value option for SMEs- it will cover the basic functions you need and enable you to run basic marketing campaigns but won't give the added functionality of the more complex options out there. At the same time, it is priced quite low at the entry level so may fit your needs!
Pros: It covers all the bases- customisation, data import and export and all the basic features you would expect and I found it intuitive to use
Cons: It is lacking in some areas- automation workflows for marketing campaigns, and lead scporing on the entry level offer
Jake L. · Global Marketing Manager · Transportation/Trucking/Railroad · April 4, 2024
Pros: 1. Good UI 2. Works in less bandwidth 3. Easy to operate 4. Flexible product team
Cons: 1. Relatively expensive 2. App is not optimised 3. Should work according to clients’ workspace/ availability 4. Should have AI integration
Anonymous User · Client Lead · Marketing and Advertising · April 3, 2024
Pros: Fairly easy to setup. The adoption rate is slow because a lot of apps are not available for it especially in an industry that is newer.
Cons: Objects do not talk to eachother making reporting extremely difficult
